Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).
The warehouse has closed the monthly recount, and you're brought three discrepancy reports. One is a "planned inventory count," the second is a "surprise cash-and-goods check," the third is a "reconciliation based on a customer complaint." The report lumps everything together, and you can't tell which discrepancies to write off as natural loss allowances and which to charge to the financially responsible person. So that such situations don't turn into manual sorting, the configuration has a small but useful reference — "Check Types". It organizes all your control activities into clear categories, and afterward any report can be built by these types.
Let's agree on the main point right away, so there are no false expectations: this is a classifier reference. On its own, it doesn't create accounting entries, doesn't issue e-invoices (ESF) or e-waybills (SNT), and doesn't affect taxes. It only provides a convenient "shelf" onto which the check documents place their data. Entries and electronic documents originate in the documents that reference this type, not in the reference itself.
1. Purpose
The "Check Types" reference stores the list of types of control activities (inventory counts, recounts, reconciliations, audits) that you carry out at warehouses and departments. Its task is to classify checks so they can be selected and grouped in lists and reports. This is a user-defined reference: you build the list yourself according to your regulations.
2. Where to find it
The reference is a service one, so it's usually not shown as a separate command in the main section menu — it's opened from the documents and settings where the check type is selected. The most reliable way to open it directly:
- Menu "Service" → "Functions for technical specialist" (or via the navigation bar), command "Go to navigation link".
- Paste the link and click "Go":
e1cib/list/Справочник.ВидыПроверок
The full list of reference items will open. From there you also have access to the "Create", "Create group" (if the reference is hierarchical), "Copy", and "Mark for deletion" buttons.
The exact place in the interface from which the reference is called "naturally" (the check/recount document card) depends on which functionality is enabled in your delivery — this is the only point in the whole guide that is worth checking on your own release via the master data and sections settings. The navigation link above works in any case.
2a. How to find out your release
Menu "Help" → "About the program". In the window that opens you will see two lines:
- the platform version (e.g., 8.3.24.xxxx);
- the configuration release — "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)".
It is the second line that determines which version this instruction applies to. If your release differs, the set of fields and the place the reference is called from may differ slightly.
3. How to fill it in
The reference is simple, with few fields — filling it in is quick. Let's go through each one.
| Field | Required | Why, and what happens if it's an error |
|---|---|---|
| Name | Yes | This is what you'll see in the selection list and reports. Write it the way employees refer to the activity: "Planned inventory count," "Surprise check," "Complaint-based reconciliation." If you name it vaguely ("Check 1," "test"), you won't be able to tell one type from another later, and you won't be able to group the report in a human-readable way. |
| Code | Filled in automatically | A unique item number. 1C assigns it automatically in sequence. There's no need to touch it manually; it's not advisable to change the code of a type that's already in use — it may break the sort order. |
| Group / Parent | No | Appears if the reference is hierarchical. Allows you to fold types into folders (e.g., "Warehouse," "Cash," "Documentary"). For a small list, you may not need it. |
| Comment | No | A free-text note: which regulation describes this type, who is responsible, how often it's carried out. It doesn't affect posting or reports — it's a note for colleagues. |
Procedure:
- Open the list via the navigation link.
- Click "Create".
- Enter the Name — this is the only thing without which the item won't be saved.
- If needed, specify a group and a comment.
- Click "Save and close".
Tip: set up the reference once "for the future" — 4–6 clear types — and then simply select them. There's no need to keep creating new items for each check: the type describes the kind of activity, not a specific report.
4. Worked example
Let me show this using an end-to-end scenario, because the value of the reference is best seen in combination with a check document.
Situation. On September 23, 2026, you create the check type "Planned warehouse inventory count" and use it in a goods recount document for the "Main" warehouse. For the item "Ground coffee," the recorded balance is 100 kg at 3,000 ₸ (book value 300,000 ₸ on account 1330), but the actual amount on the shelf is 95 kg. The shortage is 5 kg worth 15,000 ₸, which partially fits within natural loss allowances: 2 kg (6,000 ₸) — within the allowance, 3 kg (9,000 ₸) — over the allowance, charged to the responsible person.
What you do:
- Create the reference item "Planned warehouse inventory count."
- Create a Goods recount document, selecting this item in the check type field.
- Based on the discrepancy, post a Write-off of goods shortages.
The entries are generated by the write-off document (not the reference!) using the figures from the example:
| Operation | Dr | Cr | Amount, ₸ |
|---|---|---|---|
| Write-off of shortage within allowance (to expenses) | 7010 | 1330 | 6,000 |
| Write-off of shortage over the allowance, charged to the responsible person | 1250 | 1330 | 9,000 |
| VAT reinstatement on the over-allowance shortage (16%) | 1250 | 3130 | 1,440 |
Regarding VAT: for the shortage over the allowance, the previously offset tax is reinstated at the rate of 16% (the VAT rate in Kazakhstan starting in 2026): 9,000 × 16% = 1,440 ₸. No reinstatement is required for the shortage within the loss allowance.
The "Check Types" reference itself did not create a single entry in this story — it only allowed you to later build a "Goods recounts" report with a filter "Check type = Planned warehouse inventory count" and see all planned audits separately from surprise ones. That is exactly its job.
5. Operation types
The classifier reference has no "operation types" in the sense that documents do. There are only actions with list items:
- Create — add a new check type;
- Create group — add a folder (if hierarchical);
- Copy (F9) — quickly create a similar type;
- Mark for deletion (Del) — hide an unused type (permanent deletion — only via "Deletion of marked objects" and only if no one references the item).
The "operations" that produce postings and taxes are located in the check/recount documents that use this reference.
6. What is generated when posting
The reference is not posted — references are saved, not posted. Therefore:
- Accounting entries — none. They are generated by documents (Goods recount, Write-off/Posting, Inventory count) where a check type has been selected.
- Electronic documents (ESF, SNT) — none. ESF is issued in the ESF IS from sales/purchase documents, SNT from goods movement/turnover documents; they have no relation to the check types reference.
- Register movements — when saved, the item only appears in the reference itself; it does not affect any accumulation or accounting registers.
Remember the division: reference = how to name the check; document = what actually happens in accounting as a result.
7. Printed forms
The reference has no printed forms of its own — there's nothing to print for a classifier. If you need to print the list of types, use the general "More" → "Output list" command above the reference list: it will export the columns (Code, Name, Comment) to a spreadsheet document or Excel.
Printed forms (INV-3/INV-19 inventory count acts, discrepancy statements, write-off acts) belong to the check documents, not to this reference.
8. Common errors
"The 'Name' field is not filled in" — when trying to save an empty item. Enter a name and save again.
"The object cannot be saved because an item with this name already exists" (or a duplicate in the list) — you've created a second "Planned inventory count." Don't create duplicates: open the list, find the existing type and use it; mark the extra one for deletion.
"The data cannot be deleted because it is referenced" — when trying to delete a type that is already selected in recount/check documents. Direct deletion is not possible. Either leave the type as is (just stop using it), or use "All functions → Deletion of marked objects" to find and re-issue the referencing documents, then delete it.
The type exists but the report is empty — you didn't select a type in the check documents (the field was left blank). Classification only works if the type is specified in the document. Check the documents and fill in the field.
Looking for the reference in the sections and can't find it — it's a service reference. Open it via the navigation link e1cib/list/Справочник.ВидыПроверок using the "Go to navigation link" command.
9. FAQ
Q: Does the "Check Types" reference create accounting entries? A: No. It's a classifier. Entries are generated by documents (recount, write-off, posting, inventory count) that reference the check type selected in them.
Q: Is an ESF or SNT issued from it? A: No. ESF (ESF IS) and SNT are issued from goods movement and sales documents. The check types reference has nothing to do with electronic documents.
Q: Why don't I see the reference in the sections menu?
A: It's a service reference and isn't shown as a separate command. Open it via the navigation link e1cib/list/Справочник.ВидыПроверок using "Go to navigation link."
Q: How many check types should I create? A: Exactly as many as the types of activities regulated for you — usually 4–6: planned inventory count, surprise check, complaint-based reconciliation, control recount. Don't create an item for each individual report.
Q: Can I delete an unneeded type? A: If there are no references to it — yes, via marking for deletion and "Deletion of marked objects." If there are references, 1C won't allow the deletion; simply stop using it.
Q: How do I print the list of check types? A: Above the list, click "More" → "Output list" and export it to a spreadsheet document or Excel. The reference has no separate printed form.
Q: Does the check type affect the VAT rate or tax calculation? A: No. Rates and amounts (in 2026 the VAT rate in Kazakhstan is 16%) are calculated in documents and depend on the item and operation, not on what the check is named.
Q: Can I rename a type that is already used in documents? A: Yes, the name can be changed — the references in documents are preserved because the link is by internal identifier, not by text. It's better not to touch the code of an item that's already in use.
Q: What's the difference between a document's "Check Type" and "Operation Type"? A: Check type is your own user-defined category label from the reference. A document's operation type is a scenario predefined by the developer that determines the entries and movements. You configure the first one; the second one is fixed.
Q: How do I build a report broken down by check types? A: In the check/recount document reports and lists, add a filter or grouping by the "Check Type" attribute — and you'll see the data separately for each type of activity.
10. Related documents
Based on what the reference is filled in: nothing in particular — you maintain it manually, based on your internal control regulations and accounting policy.
Where it's used (what references this reference):
- goods recount / inventory count documents at the warehouse;
- shortage write-off and surplus posting documents issued based on check results;
- reports on inventory counts and recounts — as a grouping and filtering dimension.
The connection logic is simple: the reference provides the name of the check type → the recount document uses it and generates movements → write-off/posting documents based on discrepancies produce entries (1330, 7010, 1250, 3130) → reports group all of this by check types.
