Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).

You spent half an hour setting up the trial balance report: you added a filter for one counterparty, collapsed unnecessary sub-accounts, enabled grouping by contracts, and hid empty columns. You generated the report, reconciled the figures, and left. A month later, you open the same report — and everything is reset to factory settings. Set it up again? No need. Everything you configured and saved once is stored in the directory "User Report Settings". This is your personal "memory" for each report.

1. Purpose

The directory stores the report settings you saved: filters, groupings, sorting, composition and formatting of columns, as well as named report variants. It is a service directory: entries appear automatically when you click "Save Settings" or "Save Report Variant" in the report. This object does not create accounting entries or tax movements — it is about convenience in working with reports, not accounting.

2. Where to find

There is no direct menu item "open the directory entirely" in the interface — you work with the entries directly from the report:

  • Report section (for example, "For the Manager", "Reports" or the corresponding section) → open any report → button "Settings" (gear icon) → "Save Settings…” / from the menu "More" → "Save Report Variant…”.
  • Previously saved settings can be selected there as well: button with the list of variants at the top of the report form → "Select Settings".

To see the directory as a list (for cleaning and transferring), open it via the navigation link. Menu "Service" → "Functions for Technical Specialist" (or main menu → "All Functions"), then in the address bar, paste through "Go to Navigation Link":

This will take you to the complete list of all saved settings for all reports and users.

2a. How to find out your release

"Help" → "About the Program" (in the "Taxi" interface — main menu, icon in the upper right corner → "About the Program"). In the opened window at the top — platform version ("1C:Enterprise 8.3.x.xxxx"), below — configuration release "Accounting for Kazakhstan", version 3.0. The instructions are relevant for release 3.0.74.2; the behavior is the same for similar releases.

3. How to fill in

Usually, you do not create anything manually — the entry is generated from the report. However, it is useful to understand the fields because during transfer and cleaning, you will see them.

Field Purpose What happens if set incorrectly
Name (mandatory) The name under which the setting will appear in the list of report variants. Be specific: "Trial balance by counterparty, collapsed". Empty or "Setting 1" — in a month you won't find the needed variant among a dozen identical ones.
User / Author (mandatory, filled automatically) The owner of the setting. The setting is visible and applies only to this user. If you manually specify someone else's — your variant will "disappear" from your list and go to another.
Object Key / Report A technical attribute indicating which report the setting is linked to. Filled by the system. Do not touch it manually — otherwise, the setting will "detach" from the report and will not apply.
Variant Key Which report variant (main, named) the settings relate to. Changing the key = the setting will "stick" to the wrong variant.
Settings (storage) The body of the settings: filters, groupings, formatting. Formed by the report. Not edited manually.
Only for author / Available to all Visibility flag of the variant: whether it is personal or shared with all users. All colleagues will see the shared variant — do not save personal filters "for yourself" there.

Practical order of saving (what you actually do):

  1. Open the report, configure: filters, groupings, fields, formatting.
  2. "Settings" → "Save Settings…” — if you want to remember the current state.
  3. Or "More" → "Save Report Variant…” — if you want to create a separate named variant that will be listed next to the standard one.
  4. Provide a clear Name and, if necessary, uncheck/check the "Available to all" flag.
  5. Click "Save". A new entry will appear in the directory.

4. Analyzed example

Task. You run an LLP under the general regime. The director requests a monthly report on sales for only one major client — LLP "Astana-Snab", with amounts and VAT, excluding other counterparties.

The VAT rate in the RK in 2026 is 16%. Conditional shipment for the month:

  • Cost of goods excluding VAT: 1,000,000 ₸
  • VAT 16%: 160,000 ₸
  • Total payable: 1,160,000 ₸

The sale itself is documented by the "Sale (goods, services)" document and generates entries (for context understanding — they are generated by the sale document, not our directory):

Now your step with the settings. Open the report "Trial Balance by Account 1210" → "Settings" → add filter: "Counterparty = LLP 'Astana-Snab'" → grouping by contracts → generate. Confirm that you see the turnovers: Dr 1210 = 1,160,000 ₸, of which VAT 160,000 ₸.

Next: "More" → "Save Report Variant…”, name it "Sales for Astana-Snab (with VAT)", uncheck the "Available to all" flag (this is your personal filter). Saved.

Result: an entry with this name appeared in the "User Report Settings" directory, linked to you and to the trial balance by account 1210. Next month, you simply select this variant at the top of the report — the filter by client and grouping will be applied instantly, no need to set it up again.

5. Types of saved settings

The directory stores several types of entries — they can be conditionally called "operation types" for this object:

  • User settings — "quick" state of the report: filters, collapsed state, field values. Saved by the "Save Settings" button.
  • Report variants — named configurations that appear in the list of variants next to the standard one (created by "Save Report Variant").
  • Personal (only author) — visible only to you.
  • Shared (available to all) — visible to all users of the database; convenient for standard forms of the department.

6. What is generated upon saving

Honestly and to the point: this directory does not generate accounting entries, movements in accounting registers, electronic invoices (ESF), tax returns, or other electronic documents. It does not participate in tax and accounting.

Upon saving, only the following is generated:

  • Entry in the directory "User Report Settings" with the body of settings in the value storage.
  • Your variant appears in the list of report variants from which it was saved.

Electronic documents of the RK (ESF in the ESF IS, tax returns) are issued from sale/purchase and transfer documents — they have no relation to report settings.

7. Print forms

The directory does not have its own print forms — you will print the reports to which the settings are linked. Through the saved variant, the already configured view of the report (trial balance, account analysis, account card, etc.) is printed using the "Print" button in the report form.

8. Common errors

"Report settings do not match the current version of the report" / variant does not open. Reason: after updating the configuration, the structure of the report has changed, and the old setting does not apply to it. Solution: open the report, restore standard settings ("Settings" → "Set Standard Settings"), reconfigure and resave the variant. Delete the outdated entry from the list via the navigation link.

"A report variant with this name already exists". You are saving under a name that is already taken. Provide a different name or save over (overwrite the existing variant).

The saved variant has "disappeared" from the list. Most often, the variant was saved as personal under another user, or you logged in under a different account. Check the User field in the directory list — the setting applies only to its owner.

The filter "for myself" has gone to all colleagues. When saving, the "Available to all" flag was checked. Open the variant and remove the shared access or resave it as personal.

The report list is "cluttered" with dozens of identical variants. This happens when frequently using "Save Settings" without names. Open the directory via the navigation link and delete unnecessary entries — this does not affect accounting data.

9. FAQ

Does this directory affect accounting or tax accounting? No. It only stores settings for the appearance and filters of reports. It does not generate entries, declarations, electronic invoices (ESF), or tax returns.

How to transfer a configured report to a colleague? Save the variant with the "Available to all" flag — it will appear for everyone. Or in the directory list, copy the entry and specify the desired user in the "User" field.

Why does my saved variant not open after the release update? The structure of the report has changed. Restore standard settings, reconfigure, and resave. Delete the old entry.

Can entries be deleted from the directory? Yes, it is safe for accounting. Delete outdated and duplicate variants through the list via the link e1cib/list/User.ReportSettings.

Can a default report variant be set? Yes. Open the desired variant and in the variants menu mark it as the default — the next time you open the report, it will open directly in it.

Are settings the same as "User and Rights Settings"? No. "User and Rights Settings" are about access and roles. Our directory is only about the appearance and filters of reports.

10. Related objects

  • Reports (trial balance, account analysis, account card, "Sales", management reports) — the source of entries: settings are created and applied from them.
  • Directory "Users" — the owner of each setting (field "User").
  • Report variants — named configurations closely related to this directory.
  • Sale/Purchase documents — they generate the data (entries 1210/6010/3130, 7010/1330) that you then filter and group using saved settings.
