Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

The bank sent a receipt confirming the payment order was executed, but the paper got lost within a week. Or an auditor asks you to show a scanned confirmation of payment to a supplier, and you're digging through your email and the "Downloads" folder. Sound familiar? To avoid this, the confirmation file should be stored right inside the payment order — in 1C. This is handled by the utility catalog "Attached Files (Outgoing Payment Orders)". It doesn't calculate taxes or create postings — it keeps your scans, PDFs, and receipts firmly tied to the right payment order.

1. Purpose

The catalog stores files attached to the "Outgoing Payment Order" document: bank receipts, scans of invoices for payment, payment request letters, PDF confirmations from the client-bank. Each file is tied to a specific payment order (this is its "owner"), with version history, author, and date maintained. The user almost never opens this object separately — you work with it from the payment order's card.

2. Where to find it

The utility catalog has no direct menu item — and that's normal. You need to work with it from the document:

  1. Section "Bank and Cash Desk" → "Bank" → "Payment Orders" (or "Non-Cash Payments").
  2. Open the required outgoing payment order.
  3. On the top command panel, click "Attached Files" (the paperclip icon 📎).
  4. In the window that opens — the buttons "Add", "Scan", "View", "Edit".

You can open the entire list of files directly (for example, to clean up or search) via a navigation link. Menu "Tools" → "Follow navigation link" (or Alt+F1), paste:

e1cib/list/Справочник.ПлатежноеПоручениеИсходящееПрисоединенныеФайлы

2a. How to find out your release

"Help" → "About". In the window that opens you'll see the platform version (for example, 8.3.24) and the configuration release — a line like "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". The instructions in this guide relate specifically to release 3.0.74.2; in other releases the button names match, and minor differences are possible in the versions form.

3. How to fill it in

You don't manually create a separate file card — it is created automatically when you attach a file. But each file has fields, and it's useful to understand them.

Field Why it's needed and what happens if there's an error
Owner (mandatory, filled in automatically) A link to the payment order the file is tied to. Filled in by itself when you click the paperclip from the document. If you attach a file "from the general list" without an owner — the file will hang "ownerless", and finding it later is nearly impossible.
Name (mandatory) What the file is called in 1C. By default the name of the source file is taken. Give it a clear name ("Bank receipt 12.09.2026"), otherwise in six months you won't find the right one among five "scan_001" files.
File (mandatory — the data itself) The content: PDF, JPG, PNG, XLSX, etc. Stored either in the database or in volumes on disk (depending on the administrator's settings). If the volume is unavailable — the file won't open.
Extension The file type (pdf, jpg). Determined automatically by the source name. Wrong extension → 1C won't understand what to open it with.
Author Who attached it. Set based on the current user. Useful when sorting out "who uploaded the wrong scan".
Creation date / Modification date Set automatically. They show when the file appeared and was edited.
Editing Shows that the file is taken by someone for editing (taken "on lock"). While the lock is on, others cannot edit it. Forgot to release the lock — a colleague won't be able to edit it.
Store versions A flag for maintaining history. Enabled — with each save a copy remains in the version archive. Disabled — the new version overwrites the old one irretrievably.
Comment A free note: "preliminary receipt, awaiting the final one".
Signed with digital signature An indication that an electronic signature is attached to the file.

Step by step: attach a receipt

  1. Open the outgoing payment order.
  2. Click "Attached Files" (📎).
  3. "Add" → "File from disk" (or drag the file into the window with the mouse).
  4. Select the file, click "Open".
  5. Edit the Name to something clear.
  6. If desired — "Edit" → make changes → "Finish editing" (this will save the new version).
  7. Close the window. The file now lives inside the payment order.

4. Worked example

Situation. On September 3, 2026, you pay the supplier LLP "Astana-Snab" for goods: cost 1,000,000 ₸ + VAT 16% (160,000 ₸), total 1,160,000 ₸. You create an outgoing payment order and send it to the client-bank. The bank sends a PDF receipt confirming execution. You attach it to the payment order.

What you do:

  1. In the payment order: Counterparty — LLP "Astana-Snab", Recipient's account, Amount — 1,160,000 ₸, VAT rate — 16%, VAT amount — 160,000 ₸, Payment purpose — "Payment for goods under invoice No.118 dated 01.09.2026, incl. VAT 16% — 160,000 ₸".
  2. Post the document (or set the "Paid" flag / enter a write-off based on it).
  3. Click 📎 → "Add" → select kvit_3310_030926.pdf → rename it to "Bank receipt 03.09.2026 Astana-Snab".

Postings. They are generated by the payment order itself (with the "Paid" flag) or by the "Write-off from current account" document entered based on it. The attached file does not create postings — it is only stored.

Dr Cr Amount, ₸ Description
3310 1030 1,160,000 Debt to supplier LLP "Astana-Snab" repaid from the current account

Here 3310 is short-term accounts payable to suppliers, 1030 is money in current accounts. VAT (160,000 ₸) is not separately allocated in this posting: it was accounted for when the goods were received (Dr 1330, Dr 1420) and will be credited via the ESF, not via the payment order.

What the file achieved. A paperclip with the number "1" appeared on the payment order's card. The receipt now opens with two clicks right from the document — no need to search email. During an audit, you show the payment confirmation in a second.

5. Operation types

This catalog has no separate "operation types" like documents do — it is a utility storage. But the set of actions with a file is comprehensive:

  • Add from disk — upload a ready file.
  • Scan — directly from a scanner (requires an installed scanner and TWAIN support).
  • Create by template / from template — create an empty Word/Excel document and fill it in.
  • View — open read-only.
  • Edit / Finish editing — editing with version saving.
  • Save copy — export the file back to disk.
  • Show in list / Configure versions — working with change history.
  • Send by email — attach the file to a letter from 1C.
  • Mark for deletion — standard deletion via the "Deletion of marked objects" processing.

6. What is generated during work

  • This object does NOT create Dr/Cr postings. It is not an accounting document.
  • Electronic documents (ESF, SNT) are not issued from here. An attached file is internal storage, not an electronic invoice. The ESF is generated from a sales/receipt document and goes to the IS ESF separately.
  • The catalog object itself is recorded — the file card with attributes (owner, author, dates, size).
  • The file data is saved in storage (in the database or in volumes on disk — per administrator settings).
  • File versions are written to the utility version register if the version storage flag is enabled. Using them you can roll back to a previous edition.

7. Printed forms

The catalog has no printed forms of its own — the owner document itself is printed. From the outgoing payment order the following are available:

  • Payment order — the main form for the bank/archive.
  • Payment order (with signatures) and list variants — depending on the release.

You don't "print" the attached file from 1C, but open/save it with the source application (PDF reader, image viewer) and print from there.

8. Common mistakes

"The file is not current. The file is taken for editing by user …". Someone (or you yourself in a past session) took the file "on lock" and didn't finish editing. Open the file → "Finish editing", or (with rights) "Cancel editing" to release the lock.

"Maximum file size exceeded". The scan is too "heavy". Reduce the scanning resolution (200–300 dpi is enough) or re-save the PDF with compression. The limit is set by the administrator in the file handling settings.

"Failed to save the file. The file storage volume is unavailable". The files are stored on a network drive (volume) that is not currently visible. Check access to the network folder or contact the administrator — the database itself has nothing to do with it.

"Attaching files for this object is prohibited". This usually means your user doesn't have the right to attach files or the role is cut down. You need to add the right in the access profile.

The file was attached, but the paperclip is empty / the file "disappeared". A common case — the file was added in the general list without an owner. Open the list via the navigation link from section 2, find the file, check the Owner field. "Ownerless" files are not tied to the payment order.

9. FAQ

Does this catalog create postings to accounts 1030, 3310? No. Postings (for example, Dr 3310 Cr 1030) are made by the outgoing payment order itself or the write-off from the current account. An attached file is only storage; it has no movements in accounting.

Can I attach an ESF or SNT here? Technically you can attach a PDF/XML as a file, but this won't replace the electronic document. A real ESF is issued in the IS ESF from a sales document, not from the payment order. Here it's more appropriate to store the bank receipt of payment.

Where do the files physically reside — in the database or on disk? It depends on the administrator's settings. By default — in the information base; in large databases they are moved to volumes on disk so the database doesn't bloat. This doesn't affect the user's work.

How do I see who attached the receipt and when? Open the file card (double-click in the attached files window) — there are the fields Author, Creation date, Modification date. View the edit history via "Configure versions".

Can I restore a previous version of a file? Yes, if version storage is enabled for the file. Open the list of versions, select the one you need, and make it active. If versions weren't stored — the previous content is overwritten irretrievably.

How many files can be attached to one payment order? There is no limit on the number. It's practical to keep 1–3: the receipt, the invoice for payment, the request letter. The only limitation is on the size of each file (the limit is set by the administrator).

I attached the file to the wrong payment order — how do I move it? There is no direct "move". Save the file to disk ("Save copy"), delete the erroneous one, open the correct payment order, and attach it again.

Why don't I see the "Attached Files" button (the paperclip)? Either working with attached files is disabled in your access profile, or the document form is configured without this command. Contact the administrator to enable the right/command.

Does the attached file affect the payment amount or VAT? No. The amount 1,160,000 ₸ and VAT 16% (160,000 ₸) are taken from the fields of the payment order itself. The file is a picture/document; it recalculates nothing.

How do I delete an unnecessary file? Select it → "Mark for deletion", then the administrator runs "Deletion of marked objects". The file is not erased directly and irretrievably from the interface — this is protection against accidental loss.

10. Related documents

  • File owner: the "Outgoing Payment Order" document — the only "master" of these files. A file is always entered from the payment order's card.
  • Based on the payment order, the "Write-off from current account" is usually entered — this is what makes the posting Dr 3310 Cr 1030 when posting the bank statement.
  • Source of payment order data: "Supplier's invoice for payment", contract, receipt of inventory (accounts 1330, 3310).
  • Analog for incoming payments: the attached files catalog of the "Incoming Payment Order" / "Receipt to current account" document.

How to find out your release: "Help" → "About" — the platform version and configuration release are indicated there.

This guide was prepared for "Accounting for Kazakhstan", edition 3.0, release 3.0.74.2. In other releases the interface may differ slightly.
