Verified on release 3.4.5.21 of “Trade Management for Kazakhstan” (edition 3.4).
A counterparty has sent you a certificate for 1 000 USD, and when you open your sales document, the amounts in tenge do not match. They have 475 000 ₸, while you have 470 000 ₸. The reason is almost always the same: different exchange rates on the relevant date. The source of this difference lies not in the document, but in the “Currencies” directory and its exchange-rate register. As long as the rate there is incorrect or has not been loaded, every foreign-currency document will calculate an incorrect amount. Therefore, before disputing the amount with the counterparty, go here.
1. Purpose
The “Currencies” directory stores the list of currencies you use (tenge, US dollar, euro, etc.) and the rules for converting them into tenge. All documents obtain the exchange rate and denomination for the transaction date from this directory. Here, the tenge (₸) is the currency of statutory and management accounting, meaning the base currency into which everything else is converted.
2. Where to find it
Path in the interface:
- Master Data and Administration → Master Data → Currencies (or More → Currencies in some sections used for foreign-currency settlements).
- Rates for a specific currency can be opened by clicking Exchange Rates in the currency card.
A quick method is to open it directly using a navigation link. Copy e1cib/list/Справочник.Валюты, then select Tools → Go to Navigation Link or Ctrl+click the address bar.
If the directory is empty or does not contain the required currency, multicurrency functionality has not yet been enabled: Master Data and Administration → Master Data and Section Settings → Financial Result and Controlling → Accounting in Multiple Currencies.
2a. How to find your release
Main Menu (the down-arrow button in the upper-left corner) → Help → About. The window that opens will show the “1C:Enterprise” platform version and the line “Configuration: Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)”. Compare this number with the one in these instructions, as field locations and exchange-rate loading rules sometimes change between releases.
3. How to complete it
A currency is almost never created manually from scratch; it is selected from the built-in classifier. Click Create → Select from Classifier, choose the required currency, such as “US Dollar,” and most fields will be populated automatically. Let us examine each field.
| Field | Purpose and consequences of an error |
|---|---|
| Numeric code (required) | Numeric ISO code: 840 — USD, 978 — EUR, 398 — KZT. It is used to match the currency with rates loaded from the National Bank. If the code is incorrect, the rate will not be retrieved automatically. |
| Alphabetic code (required) | Three-letter ISO code: USD, EUR, KZT. It is printed on invoices and E-invoices. An incorrect code results in an incorrect currency designation in electronic documents. |
| Name (required) | How the currency is displayed in lists and documents (“US Dollar”). This is a service field and does not affect calculations, but confusing names make it difficult to select the correct currency. |
| Amount-in-words parameters | Grammatical forms for the whole and fractional parts (“dollar/dollars,” “cent/cents”). They affect the printing of amounts in words in contracts and invoices. They are completed automatically when the currency is selected from the classifier. |
| Load rates from the RBC / National Bank website (checkbox) | When enabled, the rate is retrieved automatically from the internet. This checkbox is not required for the tenge as the base currency (its rate is always 1). For currencies not quoted by the National Bank, the checkbox is of no use; enter the rate manually. |
| Primary settlement currency | Specified for “pegged” currencies whose rate is calculated through another currency (cross rate). It is not required for most currencies in the Republic of Kazakhstan. |
| Denomination (in the exchange-rate register) | The number of currency units for which the rate is quoted: usually 1, although “low-value” currencies may be quoted per 100 or 1000 units. If the denomination is incorrect, the amount in tenge will be off by a multiple. |
| Rate (in the “Exchange Rates” register; required for calculations) | The amount in tenge corresponding to one unit of the currency, taking the denomination into account, on a specific date. A missing or outdated rate is the main cause of discrepancies between amounts. |
Required minimum: tenge (KZT) with a rate of 1 and denomination of 1, plus every currency you actually use, with a current rate for the date of each transaction.
Loading rates. In the currency card, open Exchange Rates → Load Exchange Rates. Specify the period and select the required currencies; the program will access the website of the National Bank of the Republic of Kazakhstan and record the rates by date. Regular automatic loading can be configured through the “Load Exchange Rates” scheduled job (Master Data and Administration → Maintenance → Scheduled Operations). Tip: load rates for a period covering the dates of the documents being entered so that backdated transactions are not calculated using a missing rate.
4. Worked example with accounting entries
You shipped goods to a non-resident for 1 000 USD.
- 10.01.2026 — sale. National Bank rate: 470 ₸/USD, denomination 1. Amount in tenge = 1 000 × 470 = 470 000 ₸.
- 15.02.2026 — payment of 1 000 USD was received. The rate is now 475 ₸/USD. The amount credited to the account was 1 000 × 475 = 475 000 ₸.
The receivable was recognized at the shipping-date rate (470 000 ₸), while 475 000 ₸ was received. The difference of 5 000 ₸ is a positive exchange difference (the rate increased, raising the value of the amount owed to you).
Accounting entries on the shipping date, 10.01.2026 (the VAT rate in the Republic of Kazakhstan is 16%):
| Dr | Cr | Amount, ₸ | Description |
|---|---|---|---|
| 1210 | 6010 | 405 172,41 | Sales revenue (excluding VAT) |
| 1210 | 3130 | 64 827,59 | VAT 16% |
| 7010 | 1330 | — | Cost of goods written off |
Total receivable (1210) = 470 000 ₸ at the shipping-date rate.
Accounting entries on the payment date, 15.02.2026:
| Dr | Cr | Amount, ₸ | Description |
|---|---|---|---|
| 1030 | 1210 | 470 000,00 | Settlement of the debt at the shipping-date rate |
| 1030 | 6250 | 5 000,00 | Positive exchange difference (income) |
If the rate on the payment date had instead fallen, for example to 468 ₸, 468 000 ₸ would have been received and the difference would have been recognized as an expense:
| Dr | Cr | Amount, ₸ | Description |
|---|---|---|---|
| 1030 | 1210 | 468 000,00 | Receipt at the payment-date rate |
| 7430 | 1210 | 2 000,00 | Negative exchange difference (expense) |
This is why you and the counterparty have “different amounts”: the counterparty calculated the amount at the payment-date rate, while you used the shipping-date rate. Both are correct; the difference is an exchange difference, not an error.
5. Types of operations / use cases
The directory itself does not post transactions, but it defines how each currency is handled:
- Base currency (tenge) — the rate is always 1, the denomination is 1, and they are not changed manually.
- Currency with automatic rate loading — the rate is retrieved from the website of the National Bank of the Republic of Kazakhstan using the numeric code.
- Currency with a manually entered rate — you enter the rate yourself, for example an internal rate for management accounting or the rate of a rarely used currency.
- Currency calculated using a cross rate — the rate is calculated relative to another currency (“Primary settlement currency” + markup/coefficient).
6. What is generated when an entry is saved
The directory stores data used by foreign-currency accounting mechanisms:
- “Exchange Rates” information register — when rates are loaded or entered manually, entries containing “currency + date + rate + denomination” are recorded here. All documents read the rate for their respective dates from this register.
- Recalculation of amounts in documents — sales, receipts, and payments automatically calculate the amount in tenge using the rate from this register.
- Exchange differences — when foreign-currency settlements are closed and balances are revalued by documents or scheduled operations, the following entries are generated: Dr 1030/1210/… Cr 6250 (income) or Dr 7430 Cr … (expense).
Electronic documents (E-invoices in the E-invoice IS, Accompanying Waybills) use the alphabetic currency code and the rate from the directory and register. Therefore, the accuracy of the code and rate directly affects the issuance of E-invoices for foreign-currency transactions.
7. Print forms
An item in the “Currencies” directory does not have its own print forms, which is normal for a directory. Rates can conveniently be viewed and printed through:
- Exchange Rates (register list) — the table of rates by date can be printed using the standard print button for tabular documents.
- Foreign-currency settlement reports and the foreign-currency settlement statement — these show amounts in both the foreign currency and tenge, where exchange differences become apparent.
8. Common errors
“The exchange rate is not specified for the document date” — when a foreign-currency document is posted, the rate for its date is missing from the register. Open Currencies → Exchange Rates and load or enter the rate for the required date. Post the document again.
Amounts in tenge are too high or too low by a multiple — the denomination is incorrect. Check that a rate for 1 unit has a denomination of 1, while a quote “per 100” has a denomination of 100. Correct the entry in the exchange-rate register.
“Error loading exchange rates from the website” — there is no internet access, the National Bank service address has changed, or the currency’s numeric code is incorrect. Check the connection and the numeric ISO code in the currency card; if this is a one-time failure, enter the rate manually.
Duplicate currency — the currency was created manually even though it already existed in the classifier. Two items with the USD code then appear, and documents refer to different items. Mark the unnecessary item for deletion and merge the references through All Functions → Find and Delete Duplicates.
Exchange differences are not calculated — multicurrency accounting has not been enabled in the accounting settings, or the scheduled revaluation has not been performed. Check Financial Result and Controlling → Accounting in Multiple Currencies and close the month.
9. Questions and answers
Can a currency that is no longer used be deleted?
It cannot be deleted directly if documents contain references to it. Mark it for deletion; the program will delete it only after verifying that it is not used anywhere. Keep the currency as long as it has transactions.
Where does 1C obtain exchange rates for Kazakhstan?
From the website of the National Bank of the Republic of Kazakhstan (nationalbank.kz), using the currency’s numeric ISO code. Rates are loaded when the “Load rates” checkbox is selected and through a scheduled job.
Why is the tenge rate 1?
The tenge is the statutory accounting currency and the conversion base. All other currencies are converted into tenge, so its own rate is always 1 with a denomination of 1.
What is denomination and why is it needed?
It is the number of currency units for which a rate is quoted. For certain currencies, the National Bank quotes the rate per 100 or 1 000 units. The denomination ensures that the amount is converted into tenge correctly.
The rate for the document date is missing. What should I do?
Load the rate for the required date (Exchange Rates → Load) or enter it manually. For a foreign-currency document to be calculated correctly, the register must contain a rate for the transaction date.
How can I configure exchange rates to load automatically every day?
Master Data and Administration → Maintenance → Scheduled Operations → enable the “Load Exchange Rates” job and configure its schedule.
Why does the amount in the counterparty’s certificate differ from mine?
The reason may be that rates for different dates were used: for example, you used the shipping-date rate while the counterparty used the payment-date rate. In the example shown, the difference is recognized as an exchange difference: 6250 — income, 7430 — expense.
How is VAT accounted for in a foreign-currency transaction?
The example shown uses the 16% VAT rate effective in the Republic of Kazakhstan in 2026. Foreign-currency amounts are converted into tenge for accounting and E-invoice issuance.
Can I set my own internal rate that differs from the National Bank rate?
Yes. Clear the automatic loading checkbox and enter the rate manually, or use a cross rate through the “Primary settlement currency” with a coefficient.
How can I view the rate history for a period?
Open the currency → Exchange Rates. The list shows all dates and values; the table can be filtered by period and printed.
