Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).

The counterparty sent a reconciliation act, and your amount differs. You sit down to arrange an offset: your receivables under one contract are cleared against its payables under another. So you don't have to later search for "what the offset is based on," you attach directly to the document a scan of the reconciliation act, the offset agreement, and correspondence in PDF. 1C does not store each such file "inside" the document — it places it in a separate service catalog "OffsetOfDebtsAttachedFiles". This guide covers how this catalog is structured, where it is located, and what happens if the file card is filled in incorrectly.

1. Purpose

The catalog stores files (scans, PDF, photos, letters) attached to a specific "Debt Offset" document. This is not an independent document and not postings — it is a "folder of attachments" linked to a line in the offset journal. Each catalog entry = one attached file with its own attributes (name, author, date, version).

2. Where to find it

The usual path is through the document itself, not through the catalog:

  1. Section "Finance" (or "Sales" → "Settlements with Customers", depending on interface settings) → journal "Debt Offsets".
  2. Open the needed "Debt Offset" document.
  3. On the top command panel, click "Attached Files" (paperclip icon) or More → Attached Files.
  4. In the form that opens — buttons "Add" → "Add File from Disk" / "Create from Template" / "Scan".

To open the catalog's entry list directly (for administration, searching for "where the file is located"):

  • Menu "Tools" → "All Functions" → Catalogs → OffsetOfDebtsAttachedFiles, or
  • 1C navigation link: e1cib/list/Catalog.OffsetOfDebtsAttachedFiles Insert it via "Main menu (▼) → File → Open" → no; more correctly: Main menu → "Tools" → "Go to navigation link", paste the string, click "Go".

2a. How to find out your release

"Main menu (▼ in the top left corner) → Help → About the program". In the window — platform version (e.g., 8.3.24) and the line "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". It is the last digit (configuration release) that determines whether your program matches this instruction.

3. How to fill it in

You almost never fill in the entire file card by hand — 1C fills in most attributes itself upon upload. But you need to understand them.

Attribute Required Why and what happens on error
Name Yes File name in the list. Taken by default from the file name on disk. If you leave "Document1" — you won't later find the needed scan among a dozen attachments. Write meaningfully: "Reconciliation act as of 09/01/2026".
File (the binary object itself) Yes The actual content. An empty entry without a file makes no sense — there's nothing to open.
Extension Yes (auto) Determines which program the file opens with (pdf, jpg, xlsx). Set automatically from the file name. If changed manually — the file won't open.
Author Yes (auto) The user who uploaded the file. Set to the current user. Needed for filtering "who attached it" and resolving disputes.
Creation Date / Modification Date Yes (auto) Service dates. Used to sort versions. Not touched manually.
Owner (base document) Yes Link to the specific "Debt Offset". Set automatically from the form you added the file from. If you create an entry "directly" through the catalog list — you'll have to specify the owner manually, otherwise the file will "hang" and not be visible from the document.
Keep Versions No Versioning checkbox. Enable it if the file will be edited (e.g., a draft agreement) and you need a history.
Signed with Digital Signature No (auto) Appears if the file was signed with an electronic signature right in 1C.
Comment No Free text: "original is with Ivanova", "signed by both parties".

The procedure in practice:

  1. From the "Debt Offset" document → "Attached Files" → "Add File from Disk".
  2. Select the file — 1C will fill in the Name, Extension, Author, Owner itself.
  3. If necessary, correct the Name and add a Comment.
  4. "Save and Close".

4. Worked example

Situation. LLP "Asar" arranges an offset with LLP "Bereke" for 1,160,000 ₸ (including 16% VAT). "Asar" had receivables (Dr 1210) from selling goods, "Bereke" had a counter-payable to "Asar" (Cr 3310) from purchasing. You attach a scan of the reconciliation act to the document.

What you do:

  1. Posted the "Debt Offset" document for 1,160,000 ₸.
  2. Opened "Attached Files", added Reconciliation_Act_Bereke_09012026.pdf (size ~450 KB).

What gets into the catalog — one entry:

Attribute Value
Name Reconciliation Act Bereke 09/01/2026
Extension pdf
Owner Debt Offset No. 5 dated 09/01/2026
Author Saparova A.
Creation Date 09/01/2026 14:20

Important: the attached files catalog itself does not generate postings — the file just "hangs" on the document. Postings are generated by the owner document. For context, here they are (offset amount 1,160,000 ₸, of which 16% VAT = 160,000 ₸, cost of goods approximately 700,000 ₸ — these movements occurred earlier, at the time of sale/purchase, and the offset itself only closes the settlements):

Dr Cr Amount, ₸ Meaning
3310 1210 1,160,000 Payable to "Bereke" closed by receivable from "Bereke" — offset

In other words, one file in the catalog is "linked" to the 3310/1210 posting for 1,160,000 ₸. If later the tax authority or an auditor asks for the basis — you open the document, click the paperclip and show the reconciliation act, without digging through email.

5. Operation types

The attached files catalog has no "operation types" in the accounting sense — it is storage. But the file card has operating modes that you choose when adding:

  • Add File from Disk — upload a ready scan/PDF.
  • Create from Template — generate a new document (Word/Excel) from a template and attach it right away.
  • Create from Clipboard — paste a copied image (e.g., a screenshot of correspondence).
  • Scan — if a scanner is connected, get an image directly.
  • Keep Versions / Open Previous Version — work with edit history.
  • Sign with Digital Signature / Verify Signature — electronic signature of the file inside 1C.

6. What is generated when adding

This is the key point where the catalog differs from a document:

  • No postings. The attached file does not move anything in any accounting register. All postings (including 3310/1210) are made by the "Debt Offset" document.
  • No electronic documents (e-invoices, e-waybills) are generated. An offset itself is not a sale, so an e-invoice is generally not issued for it; even less so for the attached file. E-invoices/e-waybills go to the E-Invoice IS at the time of initial shipment/purchase, not at offset.
  • What actually happens: a catalog entry is created, the file is saved in the file storage volume (or in the database — depends on the "Attached Files" setting in the "Administration" section). Service attributes are filled in (author, dates, size, hash). If versioning is enabled — a version is created.

7. Printed forms

The file card has no printed form of its own — the attached file itself is printed using the program that opens it (PDF reader, Excel, etc.). From the "Attached Files" form, the following commands are available:

  • Open — view in the associated program.
  • Print — print the opened file.
  • Save As — export back to disk.
  • Send (by mail) — attach the file to a letter right from 1C.

Printed forms (offset act, reconciliation act) belong to the owner document "Debt Offset", not to this catalog.

8. Common errors

"File not found in the information base / volume" — the storage volume is unavailable, or the file was moved/deleted on disk with external storage. Check "Administration → File Settings → File Storage Volumes", the availability of the network path.

"File size exceeds the maximum allowed" — the limit from the file settings was triggered. Increase the limit in "Administration → File Settings" or reduce/compress the scan.

"Owner not specified" — you created the entry directly through the catalog list, not from the document. Open the card and in the Owner attribute select the needed "Debt Offset", otherwise the file won't be visible from the document side.

"File is occupied by another user (being edited)" — someone opened the file for editing and did not close it (did not release it). Ask them to release it via "Finish Editing", or the administrator removes the lock.

"Invalid file extension" — the settings specify a list of allowed extensions, and yours is not on it. Add the extension to the file settings or save the file in an allowed format (PDF).

9. FAQ

Does this catalog carry out the offset and make postings? No. It only stores files. The 3310/1210 posting and all movements are made by the "Debt Offset" document, to which the file is linked.

Do I need to issue an e-invoice for the attached file? No. An e-invoice in the E-Invoice IS is issued upon sale, not upon offset and not upon adding a file. The attached file has no relation to electronic documents.

Where are the files physically stored — in the database or on disk? It depends on the setting in "Administration → File Settings". Storage can be in the database itself or in volumes on disk/server. This affects the database size and backup speed.

How do I see who attached a file and when? In the file card — the Author and Creation Date attributes. In the list of attached files, they can be shown as columns and sorted.

Can several versions of the same act be stored? Yes. Enable the "Keep Versions" flag — with each edit, 1C will save the previous edition, which can be opened via "Open Previous Version".

The file was deleted from disk — what to do? With external storage, the entry in 1C will remain, but will open with the error "file not found". Re-upload the file via "Update from File on Disk" or add a new one and delete the broken entry.

Can I sign the attached act with a digital signature right in 1C? Yes, using the "Sign" command in the attached files form, if electronic signature functionality is configured. The "Signed with Digital Signature" attribute will then become true.

Why isn't the file visible from the document even though the catalog entry exists? The Owner attribute is not filled in, or the wrong document is specified. The file is visible from the document only when its owner = that document.

Does the number and size of files affect the amount of VAT or tax calculation? No. Attachments do not affect amounts, the 16% VAT rate, individual income tax, mandatory pension contributions, or other calculations — they are reference materials for the document.

Can I bulk export all attached acts? Yes, select the entries in the attached files form and use "Save As" to export to disk, or "Send" — as an email attachment.

10. Related documents

  • What it is based on: an entry is always created from the owner document "Debt Offset" (the Owner attribute). Without it, the entry is an "orphan".
  • The owner document is linked to: sale of goods/services (generates Dr 1210), receipt of goods (generates Cr 3310), settlement reconciliation acts, offset agreements.
  • What is placed in this catalog: scans of reconciliation acts, signed offset agreements, powers of attorney, business correspondence, payment documents — everything that substantiates the amounts and the fact of the offset itself.

How to find out your release: "Main menu → Help → About the program" — it shows the platform and configuration release.

This guide was prepared for "Trade Management for Kazakhstan", edition 3.4, release 3.4.5.21. Values (16% VAT, MCI 4,325 ₸, minimum wage 85,000 ₸) are valid for 2026; when updating the release, check against changed forms.

Frequently asked questions

Does this reference book perform netting and create postings?
No. It only stores files. The posting 3310/1210 and all movements are made by the "Debt Netting" document, to which the file is attached.
Is it necessary to issue an ESF for the attached file?
No. An ESF in the ESF IS is issued upon sale, not upon netting or when adding a file. An attached file has no relation to electronic documents.
Where are the files physically stored — in the database or on disk?
It depends on the setting in "Administration → File Handling Settings". Storage can be within the IB itself or in volumes on disk/server. This affects the database size and backup speed.
How can I see who attached a file and when?
In the file card — the "Author" and "Creation Date" fields. In the list of attached files, these can be displayed as columns and sorted.
Can several versions of the same act be stored?
Yes. Enable the "Store versions" flag — with each edit, 1C will save the previous version, which can be opened via "Open previous version".
The file was deleted from disk — what to do?
With external storage, the record in 1C will remain, but will open with a "file not found" error. Reload the file via "Update from file on disk" or add a new one and delete the broken record.
Can an attached act be signed with an electronic signature directly in 1C?
Yes, using the "Sign" command in the attached files form, if electronic signature functionality is configured. The "Signed with electronic signature" attribute will then become true.
Why isn't the file visible from the document, even though the record exists in the reference book?
The "Owner" attribute is not filled in, or the wrong document is specified. A file is visible from a document only when its owner equals that document.
