Tested on release 3.0.74.2 of “Accounting for Kazakhstan” (version 3.0).

A counterparty has sent you a signed certificate, but its amount does not match your accounting entry. You open the sales document, but there is no time to search for the original in emails, disk folders and a messenger—you need the scan right next to the document. This is precisely what the “SalesOfGoodsAndServicesAttached Files” directory is for: it stores scans, PDFs, photos of delivery notes, contracts and correspondence directly within a specific sales document. Open the sales document—and open all its files with one click.

First and foremost: this is a service directory for storing files, not a document. Accounting transactions and electronic documents are processed using the “Sales of Goods and Services” document. The instructions below explain how to work with files and which accounting entries relate to the sale itself.

1. Purpose

The directory stores files linked to a specific “Sales of Goods and Services” document: scans of signed certificates and delivery notes, contracts, powers of attorney, photos and letters. Each entry is one file “attached” to its sales document. The file is available together with the document, so the accountant does not have to search for it in external folders and correspondence.

2. Where to find it

The directory has no separate menu item—you always access it from the owner document:

  1. “Sales” section → “Sales (certificates, delivery notes, E-invoices)”.

  2. Open the required sales document.

  3. On the top panel, click the paperclip 📎 icon or “More” → “Attached files”.

3. How to complete it (attach a file)

After opening the document’s list of attached files, click “Add” and select a method:

  • File from disk — the standard option.

  • From scanner — if a scanner is connected: the scan will be uploaded immediately.

  • From template — create a new file from a preconfigured template.

Useful buttons in the file card: “Open” — view; “Edit” — the file is locked for other users while it is being edited; “Finish editing” — changes are saved as a new version; “Save as…” — a copy is exported to disk.

4. Worked example

You delivered goods worth 1 160 000 ₸, including VAT, to the buyer Astana-Snab LLP. The VAT rate in 2026 is 16 %. The cost of the batch is 700 000 ₸.

First, the “Sales of Goods and Services” document is processed. Breakdown of the amount:

  • Value excluding VAT: 1 160 000 ÷ 1,16 = 1 000 000 ₸.

  • VAT 16 %: 160 000 ₸.

  • Total including VAT: 1 160 000 ₸.

When the sales document is posted, the following accounting entries are generated:

DrCrAmount, ₸Description
121060101 160 000Buyer’s receivable and sales revenue
60103130160 000VAT payable accrued
70101330700 000Cost of goods written off

Result: revenue excluding VAT is 1 000 000 ₸, VAT is 160 000 ₸, and gross profit is 300 000 ₸.

And now—the file. The counterparty sends a signed certificate showing 1 200 000 ₸. You open this sales document, click the paperclip 📎 → “Add” → “File from disk”, select the scan “Certificate_Astana-Snab_signed.pdf” and enter the name “Certificate No. 14 signed.” The file is then attached to the document.

The scan and accounting data are now stored together. You can immediately see that the amount in the counterparty’s certificate was calculated using the rate applicable before 2026 and differs from the sales amount calculated at the 16 % rate. The correct certificate is sent to the counterparty, while the original scan is retained in the database as documentary evidence of the correspondence and discrepancy.

5. What is generated

  • When a file is added, an entry linked to the sales document is created in the attached-files directory.

  • The file itself is placed in the configured storage: either inside the infobase or in a disk volume.

  • If version history is enabled, a new file version is recorded after editing and saving.

  • E-invoices and Accompanying Consignment Notes (ACNs) are prepared as part of the sales process and through the relevant information systems, while the attached file is used to store a document related to the transaction.

6. Common errors

“The file size exceeds the maximum allowed size.” A size limit applies to uploaded files. Reduce the scan size: lower the DPI, compress the PDF, or change the limit set by the administrator in the file-handling settings: “Administration” → “File-handling settings”.

“The file is being edited by user …” The file was opened with the “Edit” button in another session and remains locked. Finish working with it using the “Finish editing” or “Cancel editing” button. The administrator can remove the lock imposed by an unavailable user.

“Invalid file extension.” Potentially dangerous formats, such as exe and bat, are prohibited in the settings. Save the document in an allowed format: PDF, JPG or XLSX.

The file was attached but will not open. The computer does not have an application for this file extension, such as a PDF viewer. Install a suitable application or save the file using the “Save as…” command and open it manually.

The database has grown because of the large number of scans. If files are stored in the infobase, move them to disk volumes: “Administration” → “File-handling settings” → “Store files in disk volumes”. This allows large attachments to be moved out of the infobase.

9. Questions and answers

How are the attached file and the sales accounting entries related? Entries 1210/6010, 6010/3130 and 7010/1330 relate to posting the “Sales of Goods and Services” document. The attached file is used to store a scan, contract, delivery note or other supporting document.

How are attaching a file and preparing an E-invoice or ACN related? E-invoices and ACNs are prepared as part of the relevant sales process. The attached file stores a document related to the transaction, such as a signed certificate or delivery note.

Where are the files physically stored—in the database or on disk? The location is determined by the administrator’s settings: files are stored either inside the infobase or in volumes on a disk or server. Volumes are convenient when there is a large number of scans.

How many files can be attached to one sales document? The required set of documents can be added to one sales document: a certificate, delivery note, contract, power of attorney, correspondence and other files related to the transaction. The practical volume depends on the storage settings and the configured file-size limit.

Are files copied together with the document? When creating a copy of a sales document, check the new document’s list of attached files: each sales document must store its own set of supporting documents.

How can I sign a scan with an electronic signature directly in 1C? If the relevant feature is available to the user, select “Sign with electronic signature” and the required certificate in the file card. The signature information is stored together with the file.

Can I edit a file without exporting it? Yes. Click “Edit”: the file will open and be locked to prevent simultaneous editing by other users. After making changes, click “Finish editing” to save the version in storage.

What happens to the files when the sales document is deleted? Related objects are processed using the standard mechanism for deleting objects marked for deletion. Before deleting the sales document, save valuable scans separately if they must remain in the organization’s archive.

I uploaded a certificate with the rate applicable before 2026, while the sales document shows 16 %—is this a file error? The attached file preserves the document received from the counterparty in its original form. In the example, the VAT rate of 16 % applies to the 2026 transaction, so the discrepancy is corrected in the accounting document and the certificate used by the parties to document the sale.

Is the file visible to other database users? Access is determined by the user’s permissions for the sales document and attached files. Users with the appropriate permissions work with the shared file in the infobase or configured storage.

Frequently asked questions

Does this directory generate accounting entries?
No. All accounting entries (1210/6010, 6010/3130, 7010/1330) are generated by the “Sales of Goods and Services” document. An attached file is only for storage.
Is an E-invoice or ACN generated when a file is attached?
No. The E-invoice is issued in the E-Invoice IS from the sales document itself, and the ACN is issued from there as well. The file does not affect electronic documents.
Where are the files physically stored—in the database or on disk?
This depends on the administrator’s settings: either inside the infobase or in volumes on a disk/server. Storage in volumes is recommended for large numbers of scans.
How many files can be attached to one sales document?
There is no limit on the number—attach as many certificates, delivery notes, contracts, powers of attorney and items of correspondence as necessary.
Are files copied together with the document?
No. When a sales document is copied, the attached files are not transferred—each document stores its own set.
How can I sign a scan with an electronic signature directly in 1C?
In the file card, select “Sign with electronic signature” and choose a certificate. The “Signed with electronic signature” checkbox will then be selected, and the signature will be stored next to the file.
Can I edit a file without exporting it?
Yes. Click “Edit”—the file will open and be locked for other users. After making changes, click “Finish editing,” and the version will be saved in the database.
What happens to the files when the sales document is deleted?
The files lose their owner and are subject to deletion together with the document through the standard “Deletion of objects marked for deletion” process. Save valuable scans to disk in advance.
