Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

A counterparty sent you a signed contract and two supplementary agreements to it by mail. Six months later the tax authority asks you to show the original of the contract, but the paper is already somewhere in the archive, and no one remembers who scanned it. Sound familiar? To avoid this, the file is placed right into the contract card: you open the "Contracts" reference book, click "Attached files" — and all scans, PDFs, and letters for this contract are stored in one place, tied to it specifically. Technically these attachments are stored in the service reference book CounterpartyContractsAttachedFiles. You almost never open it directly — you work with it through the button in the contract. But it is useful to understand how it is arranged: whether you find the document in a year or not depends on it.

1. Purpose

The reference book stores files (scans, PDF, Word, Excel, letters, photos) attached to a specific item of the "Counterparty contracts" reference book. Each file is tied to its contract through the owner attribute. This is part of the "Working with files" subsystem: the reference book is a service one, it does not create accounting entries or electronic documents.

2. Where to find

This reference book has no direct menu item — and that is normal. The path is through the contract:

  1. Reference books → Purchases and sales → Contracts (or from the counterparty card → Contracts tab).
  2. Open the required contract.
  3. On the contract form click Attached files (button/hyperlink in the header or in the "More" menu).

A list of files for this specific contract will open. Here you add, view, and sign attachments.

If you need to open the entire reference book as a whole (for example, to check the database size or to search for "orphaned" files), use the navigation link. Menu Tools → "Go to navigation link" (or Ctrl+F11), paste:

e1cib/list/Справочник.ДоговорыКонтрагентовПрисоединенныеФайлы

2a. How to find out your release

Help → About (or the "i" icon in the top right corner). In the window that opens you will see the platform version (for example, 8.3.24) and the configuration release — "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". If you have a different release, the placement of buttons may differ slightly, but the logic is the same.

3. How to fill in

You do not manually create a separate "file card" — you upload a file, and the reference book fills in most of the fields itself. Let's go over what you see and what you affect.

Ways to add a file (the Add button in the list of attached files):

  • File from disk — you select a file on the computer. The most common option.
  • From scanner — if a scanner (TWAIN) is connected. Convenient for paper originals.
  • From email — attach an attachment from a letter (if an account is configured).
  • Create from template / create new — make an empty Word/Excel and fill it in.

Key fields of the file card:

Field Why and what happens on error
Name (REQUIRED) File name without extension. By default the name of the source file is taken. Name it meaningfully: "Contract No. 12 dated 15.01.2026", not "scan0007". Otherwise in a year you won't find the required document by searching.
Extension File type (pdf, docx, jpg). Filled in automatically from the uploaded file. It cannot be changed manually — otherwise the file will stop opening in the right program.
Owner (REQUIRED) A reference to the contract to which the file is tied. It is substituted automatically if you opened the list from the contract. If the owner is "the wrong one", the file will hang under someone else's contract — you will lose it.
File storage Where the file physically resides — in the database (information base volume) or in a volume on disk. Determined by settings. On small databases — in the database; on large ones — on disk, so as not to bloat the database.
Author The user who uploaded the file. Set automatically — it shows who brought the document.
Creation / modification date Technical dates. Filled in by themselves; do not touch them manually.
Size File volume. Filled in automatically. Keep an eye on very large scans — they bloat the database.
Comment / description Free text: "original received by mail", "copy, waiting for the signed one". Helps colleagues understand the status.
Signed with EDS An indicator that an electronic signature has been applied to the file. Set when signing through 1C.
Encrypted Encryption indicator. An encrypted file cannot be viewed without a key — do not encrypt what everyone needs to open.

Tip: before uploading, rename the file on disk or immediately set a clear Name in 1C. This is the only field that really deserves your attention — the program will fill in the rest correctly by itself.

4. Worked example

You received a supply contract. Let's trace the file's entire journey — from paper to an attachment in the database.

Situation. Supply contract No. 45 dated 03.02.2026 with LLP "Astana-Snab" for the supply of goods in the amount of 1,160,000 ₸, incl. VAT 16% — 160,000 ₸ (base 1,000,000 ₸). The counterparty sent a scan of the signed contract in PDF.

Steps:

  1. Reference books → Contracts, find/create the contract "No. 45 dated 03.02.2026" with LLP "Astana-Snab".
  2. Click Attached files → Add → File from disk.
  3. Select Договор_45_Астана-Снаб.pdf.
  4. In the Name field write "Supply contract No. 45 dated 03.02.2026", in Comment — "Original, scan, signed by both parties".
  5. Save. The file is now tied to the contract; Owner = "No. 45 dated 03.02.2026 (LLP Astana-Snab)", Author = you, Size = 480 KB.

Important about entries. An attached file is a scan document, not a business transaction. It makes no entries by itself. The accounting movements are formed by the "Receipt of goods and services" document, entered under this contract. For clarity — how it looks when goods are received for 1,000,000 ₸ + VAT 16%:

Dr Cr Amount, ₸ Content
1330 3310 1 000 000 Goods received from supplier
1420 3310 160 000 VAT offset (16%)
3310 1030 1 160 000 Payment to supplier from current account

And the scan of the contract that you attached simply lies in the contract card as evidence of the transaction — you opened it, printed it, gave it to the inspector. It has no entries and cannot have any.

5. Types of operation

With an attached file you can:

  • Add — from disk, from scanner, from email, from template.
  • Open / view — the file opens in the associated program (PDF — in the viewer, docx — in Word).
  • Edit (occupy) — the file is "occupied" by you, others see the status "Editing: …" and cannot edit at the same time.
  • Finish editing / release — saves changes as a new version and removes the lock.
  • Save as — export a copy to disk.
  • Store versions — on repeated editing a version history is saved (you can revert to a previous one).
  • Sign with EDS / verify signature — apply an electronic signature.
  • Encrypt / decrypt.
  • Mark for deletion.

6. What is formed on posting

The reference book is not posted. It is not a document but a reference book item. Therefore:

  • There are no entries — no movements on accounts are created.
  • It does not form electronic documents (ESF in the ESF IS, SNT). ESF and SNT are issued from sales/receipt documents, not from an attachment.
  • There are no movements on accumulation/information registers. The only thing that "moves" is the file version (with versioning enabled) and service records about the occupancy for editing.

Simply put: this object stores the file and its properties, and all the accounting lives in the related contract and primary documents.

7. Printed forms

An attached file has no printed form of its own (like TORG, an invoice, an act). "Printing" here means opening the file itself and printing it by means of the program that opens it (PDF viewer, Word, Excel). If a scan of the contract is attached — you print the scan; if an Excel calculation — you print the Excel sheet.

8. Common mistakes

"The file is occupied for editing by user …" Someone (possibly you yourself in another session) opened the file for editing and did not release it. Find the file, click Release (or Finish editing). If the user went on vacation — the administrator can release it.

"File size exceeds the allowed" / the database has grown a lot Too large scans (multi-page TIFF, high-resolution photos). Compress scans into PDF, store files in volumes on disk rather than in the database (Administration → File handling settings → Store files in volumes on disk).

The file was attached to "the wrong" contract You opened the list of attached files from the wrong contract. The owner of a file cannot be changed — delete the attachment and add it again from the card of the right contract.

"Failed to open file" after changing the extension The extension was edited manually. Restore the original (for example, .pdf) — the program determines what to open the file with precisely by it.

The file "disappeared" after being marked for deletion Files marked for deletion do not disappear immediately. Remove the mark (right-click → Mark/unmark for deletion) until the Deletion of marked objects operation is performed.

9. FAQ

Does this reference book form entries or ESF? No. It is a service reference book for storing files. Entries and ESF/SNT are formed by documents (receipt, sales), not by the attachment.

How to open the attached files of a specific contract? Open the contract in the "Contracts" reference book and click Attached files. The list will show only the files of this contract.

Where are files physically stored — in the database or on disk? It depends on the settings (Administration → File handling settings). Small databases store in the information base, large ones — in volumes on disk, so as not to bloat the database.

Can several files be attached to one contract? Yes, as many as you like: the contract, supplementary agreements, appendices, correspondence. They will all be tied to one owner contract.

How to sign a file with an electronic signature in 1C? Open the file in the list of attached files, click Sign with EDS, select the certificate. The Signed with EDS indicator will become active. To verify the signature — there too, with the Verify signature command.

The file is occupied for editing, but the person quit — what to do? The administrator or a user with rights opens the file and clicks Release. The lock will be removed, and the file becomes available to everyone again.

Is the change history of the file saved? If versioning is enabled, a new version is created on each "Finish editing". Through More → Stored versions you can view and restore a previous one.

How to move a file to another contract? Not directly — the owner does not change. Delete the attachment and add it again from the card of the required contract.

Is this reference book visible in a separate menu item? No, there is no separate item. Work through the "Attached files" button in the contract; for service viewing of the entire list use the navigation link e1cib/list/Справочник.ДоговорыКонтрагентовПрисоединенныеФайлы.

How to reduce the database size due to attachments? Switch file storage to volumes on disk and compress scans into PDF before uploading. Large images are the main cause of database growth.

10. Related documents

  • Counterparty contracts — the owner of the attachment. An attached file is always entered "from" a contract and lives inside its card.
  • Counterparties — the contract, in turn, belongs to a counterparty; this way you reach the files through the partner's card.
  • Receipt of goods and services / Sales of goods and services — documents under this same contract, which already form entries, ESF and SNT. The scan of the contract serves as the basis and evidence base for them.

How to find out your release. Menu Help → About. There the version of the "1C:Enterprise" platform and the configuration release are indicated. The instruction is prepared for "Accounting for Kazakhstan", edition 3.0, release 3.0.74.2. In neighboring releases the button names may differ slightly, but the logic of working with attached files does not change.
