Paid/unpaid and shipped/not shipped statuses in invoices

To make invoices show the «paid/unpaid» and «shipped/not shipped» statuses, you need to change the program's functionality setting — set it to the «Full» option. In the basic or reduced option these columns and indicators are not available in the invoice list, so switching the functionality is the key step.

Why statuses are not visible with the usual setting

In 1C:Accounting for Kazakhstan (and in the industry-specific configuration «1C-Rating: Catering») the level of available capabilities is governed by the functionality setting. If the reduced or basic mode is selected, some attributes and service columns in documents and lists simply are not displayed — the program hides them to simplify the interface. Invoice payment and shipment indicators are among such advanced capabilities, so without full functionality you will not see them.

How to enable full functionality

  1. Open the program's functionality settings (in the «1C-Rating: Catering» configuration for Kazakhstan).
  2. Select the value «Full» instead of the basic or reduced option.
  3. Save the changes and make sure the setting has been applied.
  4. Open the invoice list — after switching, the ability to track the «paid/unpaid» and «shipped/not shipped» statuses will appear.

Please note: this setting expands the program's functionality as a whole, so after enabling it other accounting capabilities may also become available. This is standard behavior when switching to full functionality, not an error.

What the statuses mean

  • Paid / unpaid — the program matches the invoice with cash receipt or write-off documents (payment order, cash receipt order, etc.) and shows whether the invoice is closed by payment in full, partially, or not paid at all.
  • Shipped / not shipped — the status reflects whether a sale has been recorded for the invoice (shipment of goods, provision of services). It is convenient for monitoring which invoices have already been fulfilled and which still require shipment.

Such indicators help you quickly see from the invoice list where there are unclosed obligations: accounts receivable on unpaid invoices or unsold items on unshipped ones.

How this relates to documents and the ESF

An invoice for payment is in itself an auxiliary document and does not generate postings. Actual business transactions are recorded by related documents: cash receipt/write-off (for the payment status) and sale (for the shipment status). It is specifically on the basis of the sale that an electronic invoice (ESF) is issued within the established deadlines. Therefore the «shipped» status is convenient to use as a control point: if an invoice is shipped, check that a sale has been created for it and, if necessary, an ESF has been issued.

If the statuses still do not appear

If the statuses did not appear after changing the setting, check the following:

  • User access rights. The current user may not have rights to view advanced attributes or to change the functionality — clarify the role in the user settings.
  • Saving and applying the changes. Make sure the changes are saved and applied across the whole database, not just in the current session. Sometimes you need to log back into the program.
  • List/form setup. Even with full functionality, the column may be hidden in the list display settings — check the set of columns in the invoice list form.

Common mistakes

  • Switching the functionality only in the current session and not checking that the setting has been fixed for the whole database.
  • Expecting the statuses to appear with the basic or reduced option — in these modes the indicators are unavailable in principle.
  • Looking at the payment/shipment status but forgetting that it depends on correctly posted related documents (payment and sale). If a document is not posted or is posted incorrectly, the status will be misleading.
  • Being afraid to switch to full functionality because of «extra» sections appearing — this is normal behavior, the interface simply becomes broader.

What to check

  • Whether the «Full» functionality option is set, rather than the basic or reduced one.
  • Whether the setting is saved and applied for all users and across the whole database.
  • Whether the user has rights to view the statuses and change the functionality.
  • Whether the required column is displayed in the invoice list form settings.
  • Whether the related payment and sale documents that the statuses depend on are posted.
  • Whether a sale and, if necessary, an ESF have been issued for the shipped invoices.
