Situation. You open the "Trial Balance Report", select an option — but the familiar "Trial Balance by Account with Subaccount Breakdown" is not in the list. Or vice versa: after the update, there suddenly appeared two identical "Account Analyses" in the report panel, and it's unclear which one is "correct". Or a colleague set up a convenient report view for themselves, but you can't see it. Behind all this is one service directory — "Predefined Report Options". Let's figure out what it is, why to access it, and how to organize report options without breaking them.
1. Purpose
The directory stores a list of predefined (standard) report options that are embedded in the configuration itself: "Trial Balance by Account", "Account Card", "Subaccount Analysis", and dozens of others. This is not a document or a report — it is a technical "shelf" where templates of settings are kept. User-defined options that you create yourself reside in the adjacent directory "Report Options" and reference the predefined ones when necessary.
2. Where to Find
There is no direct menu item for this directory in the sections — it is a service directory. You can open it in two ways:
- Through the report: any section → open the required report (for example, "Reports" → "Trial Balance Report") → option selection button at the top of the form → "Select Option" → link "Other Options". From here, you can see which predefined templates are available.
- Through the directory list directly: "Main" → "Service" → "Functions for Technical Specialist" (or "All Functions"), then find "Predefined Report Options".
The fastest way is through the navigation link. Menu "Service" → "Go to Navigation Link" and paste:

2a. How to Know Your Release
Menu "Help" → "About the Program". In the opened window: the line "Platform" — version of "1C:Enterprise" (for example, 8.3.24), the line "Configuration" — the release to which this manual refers: 3.0.74.2 "Accounting for Kazakhstan". If your release is older — the location of buttons and some options may differ.
3. How to Fill Out (What Fields You Will See and What They Mean)
It is almost unnecessary to enter records manually here — the directory is filled automatically when the configuration is updated. However, it is important to understand the fields because they control the visibility and order of reports.

Mandatory for meaningful entry: "Name" and "Report". The rest is filled in by the configuration itself.
4. Analyzed Example
It is important to note immediately: this directory does not make accounting entries and does not generate electronic invoices (ESF)/SNT — it only stores settings for the appearance of reports. Therefore, the example is practical: how a predefined option changes what you see on the screen.
Task: to collect the Trial Balance by VAT account for August 2026 to check the amount payable.
- "Reports" → "Trial Balance by Account".
- Option selection button → "Other Options" → select the predefined option "Trial Balance by Account (by Subaccounts)".
- Account — 3130 "VAT Payable", period — 01.08.2026–31.08.2026.
- Generate. The option is already set to break down by subaccount, so the report will show:

Credit calculation: sales 3,000,000 ₸ × 16% = 480,000 ₸. Thus, the predefined option provided you with a ready, "correct" breakdown of the report — without manual setup of groupings. If you had taken an empty option, you would have had to extract these same figures manually.
For clarity — the entries that generated these turnovers (they are made by sales and receipt documents, not our directory):
- Dr 1210 Cr 6010 — 3,000,000 ₸ (income from sales);
- Dr 1210 Cr 3130 — 480,000 ₸ (VAT 16% on sales);
- Dr 7010 Cr 1330 — cost of goods sold;
- Dr 1420 Cr 3310 — upon receipt, the credited VAT, then closing to 3130.
The directory of options simply displayed them in a convenient form.
5. Types of "Operations" (Types of Options)
The directory does not have types of operations like a document, but options can have different "states", and this is your working tool:
- Active Predefined — visible in the report panel, available to everyone.
- Disabled — hidden by the "Disabled" flag, but not deleted; can be returned at any time.
- Replaced by User Option — a custom option has been created based on it in "Report Options", and the user option is displayed in the panel.
- Moved — moved to another group/section through placement settings.
6. What is Formed When Working
The directory does not conduct. When a record is changed, there are no entries, no movements in accumulation registers, no electronic documents (ESF in the ESF IS, SNT, etc. generate sales/movement documents, not this object). Only one thing changes — the composition and appearance of the option selection panel in reports: the option appears, disappears, moves to another group, or changes its name. The settings are stored in the record of the directory itself (in service storage fields), so they apply immediately and for all users of the database.
7. Printed Forms
The directory does not have its own printed forms — there is nothing to print. The result of the report that uses the option is printed: the generated Trial Balance, "Account Analysis", "Account Card", etc. are sent to print using the "Print" button already in the report form itself.
8. Common Errors
- "Report option not found" when transitioning via an old link or from favorites. Reason — the option is disabled or recreated during the update. Solution: open the directory, remove the "Disabled" flag or select the current option again and resave the link.
- Two identical reports in the panel. After the update, a user option with the same name appeared next to the predefined one. Solution: find the user duplicate in "Report Options" and delete/rename it, or disable the extra one.
- "Report disappeared from the section". Often the option is not deleted but moved to another group. Check the placement of the option and return it to the required parent group.
- "Insufficient rights to change". Hiding/renaming predefined options is available to users with administrator rights. Solution: ask the administrator or perform under full rights.
- Changes are not saved. If you edit the report form "on the fly" and do not save it as an option, the settings will be lost upon closing. Save: "Save Report Option".
9. FAQ
Can I delete a predefined report option? You cannot completely delete a standard option — it will return with the next configuration update. The correct way is to set the "Disabled" flag, then it will hide from all users but remain in the database.
How do "Predefined Report Options" differ from the "Report Options" directory? The first stores templates from the configuration itself (standard), the second contains options created by users. A user option can reference a predefined one as a basis.
I hid an option, but it reappeared after the update. Why? The update may recreate predefined records. After the update, check the "Disabled" flags and set them again if necessary.
How to return the report to its "factory" view? In the report form, select the required predefined option through "Select Option" → "Other Options". It will open with the original settings defined in the configuration.
Does this directory affect amounts in reports and VAT 16%? No. The figures are influenced by entries and accounting policies, while the directory only determines groupings, selections, and appearance. The VAT amount payable on account 3130 will be the same in any option — only the presentation format changes.
Why do I have fewer options in the panel than my colleague? Most likely, some options are disabled for you, or your colleague has personalized user options set up. Check the "Disabled" flags and the contents of "Report Options".
Can I rename an option to make it clearer for everyone? Yes, the "Name" field is available for modification (under administrator rights). The technical name (key) remains the same, and links do not break.
How to set where the option is displayed? Through the placement of the option: specify the parent group and sections. Thus, "Trial Balance by Account" can be moved to the section where you work most often.
Does an ordinary accountant need to access this? In regular work — almost never. Usually, you interact with options through the selection button in the reports themselves. You directly access the directory when you need to restore a missing option, remove a duplicate, or organize the panel for everyone.
Why are there no entries and printed forms here? Because this is a service directory of settings, not an accounting document. Entries are generated by documents (sales, receipts, bank), and printing is done from the generated report.
