Guide "Rules for Processing Electronic Mail" in 1C:Accounting for Kazakhstan 3.0

Every morning, your built-in 1C mail is flooded with hundreds of emails: bank statements, reconciliation acts from suppliers, invoices, spam from newsletters. You manually sort them into folders and open the relevant counterparty to attach the email to their case. This takes about half an hour. This is where the "Email Processing Rules" directory comes in handy: you describe once "an email from this address — to this folder and to this counterparty," and then 1C does it for you every time you load your mail.

Let's clarify the main point right away, so you don't have to look for it at the end: this is a service (technical) directory of the mail subsystem. It does NOT generate accounting entries, does NOT create electronic invoices (ESF) or tax returns, has no printed forms, and does not affect taxes. It only manages what happens to the emails themselves within the 1C mail client.


1. Purpose

The directory stores rules for the automatic processing of incoming (and, in some releases, outgoing) emails of the built-in mail client: under what conditions to recognize an email and what to do with it — move it to a folder, mark it, link it to a counterparty/document basis, assign a responsible person. The goal is to free you from manually sorting your mail.

2. Where to find

This is a service directory, so it does not always open directly from the main menu. The main paths are:

  • From the mail client: section "Sales" or "Main" → "Mail" (or the "Mail" button on the home page) → in the list of emails, click "More" → "Configure Email Processing Rules" (in some releases — "Rules").
  • From account settings: "Administration" → "Organizer" → "Mail" → Account → "Email Processing Rules".
  • Directly via the navigation link (the most reliable way). Copy the line below, in 1C click "Service" → "Go to Navigation Link" (or Ctrl+A→paste in the address field), paste it and click "Go":

2a. How to know your release

Menu "Help" → "About the Program" (or the "i" icon in the upper right corner). In the opened window, you will see the platform version (for example, 8.3.24.x) and the configuration release — a line like "Accounting for Kazakhstan, version 3.0 (3.0.74.2)". The second digit is important: the location of the "Rules" button and the set of available actions may slightly change between releases.

3. How to fill

A rule is created by clicking the "Create" button. Let's break down each field — what it is for and what happens in case of an error.

Field Purpose If filled incorrectly
Name (mandatory) How it will be named in the list. Write meaningfully: "Halyk statements → Bank folder". Technically does not affect anything, but in a month you won't remember what "Rule1" does and won't be able to find it.
Account (mandatory) Which mailbox the rule applies to. You may have several mailboxes (accounting, director). The rule will silently trigger on the wrong mailbox or may not trigger at all.
Use / Active Turns the rule on and off without deleting it. Unchecked box — the rule does not work; a common reason for "why it is not sorting".
Order / priority Rules are applied from top to bottom. Important when an email fits multiple rules. A more general rule higher up will "catch" the email before a narrower one.
Conditions (selection table) (at least one is mandatory) How to identify "your" email: fields "From", "To", "Cc", "Subject", "Contains text", "With attachment". For each — type of comparison (equals / contains) and value. Too broad a condition (for example, contains "invoice") will drag half the mail into the folder. Too narrow — the rule will never trigger.
Actions (at least one is mandatory) What to do with the matching email: move to a folder, mark as read/important, link to a counterparty (subject), assign a responsible person, set a deletion mark. A rule without an action is pointless; 1C usually won't allow you to save such a rule.
Folder Where to move the email (for the "Move" action). If the folder is deleted/renamed — emails will "hang" in "Inbox".
Subject / Counterparty Which object to link the correspondence to (for CRM logic). Linking error — emails will be attached to the wrong counterparty.

The logic is simple: at the top — conditions ("which email"), at the bottom — actions ("what to do with it"). Fill it out, click "Save and Close".

4. Analyzed example

There are no entries here — the object is not accounted. Therefore, we analyze a real scenario of configuration.

Task. Bank Halyk sends statements from the address statements@halyk.kz, the subject always contains the word "Statement". You want such emails to immediately go to the "Bank" folder and be marked as read, so they don't flash the unread counter.

Steps:

  1. Open the list of rules via the link e1cib/list/Directory.EmailProcessingRules, click "Create".
  2. Name: Halyk — statements to Bank folder.
  3. Account: Accounting LLP (buh@company.kz).
  4. Conditions:
    • "From" — "contains" — statements@halyk.kz;
    • "Subject" — "contains" — Statement.
    • Both conditions are combined with the logic "AND" (must be met together).
  5. Actions:
    • "Move to folder" — Bank;
    • "Mark as read".
  6. Use — enabled. Save and close.

Result: at the next mail load, all emails with Halyk statements go to "Bank" already read, "Inbox" remains clean, and you open the "Bank" folder once a day to record the account movements (Debit 1030 / Credit — by operation). The rule itself does not participate in these entries — it just organized the mail.

5. Types of operations (types of actions of the rule)

This directory does not have separate "types of operations" like accounting documents. There is a set of actions that the rule can perform (the set depends on the release):

  • move the email to the specified folder;
  • mark as read/unread;
  • mark importance (checkbox);
  • link the email to the subject of correspondence — counterparty, document, task;
  • assign a responsible person;
  • set a deletion mark (for automatic cleaning of newsletters and spam).

6. What happens when triggered

There are no accounting movements. When loading or processing mail, 1C sequentially checks emails for compliance with the conditions of active rules and performs actions. Only the state of the email and the service registers of the mail subsystem change:

  • the email receives a link to the folder (movement);
  • the attributes "Read", "Importance", "Responsible" change;
  • when linking — a connection between the email and the subject of correspondence is created (interaction registers).

No entries in the accounting, VAT, ESF, or mutual settlements arise — and this is correct: the mail rule has no relation to accounting.

7. Printed forms

The directory has no printed forms. This is a service object: there is no need to print the email sorting rule. If you need to "show" the rule to a colleague — take a screenshot of the item form.

8. Common errors

  • "No account selected" / "The field 'Account' is not filled". The rule is not linked to a mailbox. Open the item, select the account, and save.
  • "No selection conditions set" / "Specify at least one condition". An empty selection — the rule would fit all emails. Add a condition line ("From contains ...").
  • The rule saved, but emails are not sorted. Three typical reasons: the "Use" checkbox is unchecked; the rule is linked to another account; a more general rule higher up is intercepting the emails. Check the order and activity.
  • Emails disappeared. The rule with the action "Mark for deletion" or "Move" sent them to another/hidden folder. Check the destination folder and "Deleted".
  • "Folder not found". The destination folder has been deleted or renamed. Open the rule and select the folder again.
  • The rule duplicates emails or triggers twice. Usually, this is two similar active rules with overlapping conditions — disable the extra one.

9. FAQ

Does this directory affect VAT, PIT, or entries? No. This is a setting for the mail client. It does not touch accounting: rates (VAT 16%, PIT 10%/15%), deductions, accounts of the RK chart of accounts have no relation to it.

Does the rule generate ESF or tax returns? No. ESF is issued from accounting documents of sales/receipts through integration with the ESF IS, and tax returns are a separate document. Mail rules have no connection to electronic invoices, even if the email contains an ESF as an attachment.

Can the rule automatically process received acts or invoices attached? No. The rule only sorts emails and can link them to a counterparty. Creating and processing accounting documents is done manually (or through other loading mechanisms).

Do the rules only work for the built-in 1C mail? Yes. They apply to accounts set up within 1C (section "Organizer → Mail"). They do not affect your external Outlook/Gmail.

How to temporarily disable a rule without deleting it? Uncheck the "Use" / "Active" box in the rule card and save. The setting will be saved but will not be applied.

In what order are the rules applied if an email fits multiple ones? From top to bottom in the list. Place more narrow (specific) rules above general ones; otherwise, the general rule will intercept the email first.

Why is the "Rules" button not in my menu? The location depends on the release and whether at least one email account is set up. Who sees the created rules — only I or all users? Rules are linked to the account. If the mailbox is shared (accounting), the rules apply to everyone working with that mailbox; a personal mailbox — only for its owner.

Can the rule immediately delete promotional newsletters? Yes, with the action "Mark for deletion" (or "Move to Deleted") under the condition "From contains the newsletter address". Be careful with broad conditions to avoid deleting necessary emails.

Do I need to change anything in the rules when transitioning to VAT 16% in 2026? No. Changes in rates and tax norms for 2026 (VAT 16%, deduction for PIT 30 MRP, MRP 4,325 ₸, MZP 85,000 ₸) are set in accounting policy and tax directories, not in mail rules.

  • Email accounts (Directory.EmailAccounts) — the rule always relies on a specific mailbox; without a configured account, the rule cannot be created.
  • Email / Interactions — objects that the rule manages (moves, marks, links).
  • Counterparties, Contracts, Tasks — what the rule can link correspondence to as a "subject".
  • Mail folders — where the rule sorts emails.

The rule is not introduced "based on" an accounting document and does not generate accounting documents itself — it is an independent service setting for mail.


How to know your release

"Help" → "About the Program" — it indicates the platform version and configuration release. If your release is older or newer than 3.0.74.2, the location of the "Rules" button and the set of actions may differ slightly; however, the logic of the rules remains the same.
