Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).

The supplier sent you a signed act for the return of packaging, a scan of the transport waybill, and a photo of the container seal. All of this relates to one document — "Buyout of Returnable Packaging from Supplier". Putting scans in a separate folder on disk is inconvenient: in six months no one will remember which delivery they relate to. That's why you attach files directly to the document in 1C. These are exactly the attachments stored by the "BuyoutOfReturnablePackagingFromSupplierAttachedFiles" catalog.

Important right away: this is a service (technical) catalog. You almost never open it directly or create items manually. Each entry here is one file attached to a specific packaging buyout document. This catalog itself does not generate any accounting entries, ESF, SNT, or taxes — that's the responsibility of the owner document. Here there are only files and their properties.

1. Purpose

The catalog stores files attached to "Buyout of Returnable Packaging from Supplier" documents: scans of acts, waybills, contracts, photos, PDFs, Excel tables. Each catalog item is one file plus its properties (author, date, size, digital signature flag). The owner of each entry is a specific packaging buyout document.

2. Where to find it

The correct way is through the document itself, not through the file list:

  1. Section "Procurement" → the document journal containing "Buyout of Returnable Packaging from Supplier" (in the interface the document is accessible from packaging/procurement operations).
  2. Open the required document.
  3. On the top command panel, click "Attached Files" (paperclip icon) or "More" → "Attached Files".
  4. A list of files for that specific document will open. Buttons: "Add" → "File from Disk", "Create from Template", "Scan".

You can open the entire catalog (all files across all documents) using a navigation link. Copy it, then menu "Tools" → "Go to Navigation Link" (or Ctrl+F11):

e1cib/list/Справочник.ВыкупВозвратнойТарыУПоставщикаПрисоединенныеФайлы

Opening the list this way should only be done for administration purposes (finding "heavy" files, cleanup). For everyday work, always go through the paperclip in the document — this way the file will automatically be linked to the correct owner.

2a. How to find out your release

"Help" → "About the Program" (or the ℹ️ icon next to the functions menu). The window that opens will show the platform version (e.g., 8.3.24.xxxx) and the configuration release — a line like "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". This guide is up to date for 3.4.5.21; the fields are the same in nearby releases.

3. How to fill it out

You usually don't fill out a separate file card by hand — 1C fills in most fields itself upon upload. But it's useful to understand them.

Field Required Why, and what happens if it's wrong
File from Disk (when adding) Yes The file being uploaded itself. Without it there will be no entry. Make sure the file is not open in another program — otherwise Windows won't release it for reading.
Name Yes A meaningful name by which you'll find the file a month from now. By default the disk file name is used. If you leave "Document (1)", later you won't understand what's inside. Write "Packaging Return Act No. 14 dated 09/10/2026".
Extension auto jpg, pdf, xlsx, docx… 1C substitutes it from the source file. Don't change it manually — otherwise the file won't open in the correct program.
Author auto The user who uploaded the file. Filled in with the current user. Shows who brought the scan.
Creation / Modification Date auto Service dates. Change automatically when the file is edited.
Storage (volume / in database) auto Where the file is physically located: inside the information base or in a disk volume (if volume storage is configured). Set by settings, not in the card.
Comment No An explanation: "original with the warehouse keeper", "signed only on our side". Helps avoid calling colleagues back.
Digitally Signed auto Flag and data of the electronic signature, if the file was signed in 1C. Set when the "Sign" command is executed.
Locked (being edited) auto Shows that someone has opened the file for editing. While it's "locked", others can only edit it after "Finish Editing".

Practical order: "Attached Files" → "Add" → "File from Disk" → select file → set a clear Name → "Save and Close". That's it, the file is linked to the packaging buyout document.

4. Worked Example

You accepted a packaging return (pallets) from a supplier. Document "Buyout of Returnable Packaging from Supplier" No. 14 dated 09/10/2026 for the amount of 116,000 ₸, including VAT 16% — 16,000 ₸ (packaging cost 100,000 ₸). The supplier sent two files: a scan of the signed act (PDF) and a photo of the pallets (JPG).

Steps:

  1. Opened document No. 14 → clicked the paperclip "Attached Files".
  2. "Add" → "File from Disk" → Akt_tara_14.pdf. Set Name: "Packaging Return Act No. 14 dated 09/10/2026".
  3. "Add" again → foto_poddony.jpg. Name: "Photo of pallets for Act No. 14".
  4. Two lines appeared in the document's file list. Author — you, date — 09/10/2026.

What happened with the accounting entries? Nothing. Attaching files does not create movements. The accounting result is produced by posting the packaging buyout document itself. For clarity — typical entries of the owner document under the Kazakhstan chart of accounts (the file catalog itself does not generate them):

Dr Cr Amount, ₸ Description
1330 3310 100,000 Returnable packaging (pallets) received from supplier
1420 3310 16,000 VAT at 16% rate recorded
3310 1030 116,000 Payment to supplier from current account

The files Akt_tara_14.pdf and foto_poddony.jpg simply "hang" on the document as supporting evidence. During an audit or reconciliation, you open the document, click the paperclip, and immediately see the originals — no digging through folders.

5. Operation Types

The attached files catalog has no operation types in the accounting sense. There is a set of actions on the file:

  • Add — "File from Disk", "Create from Template", "Scan" (if a scanner is connected).
  • Open / View — opens the file with the associated program.
  • Edit → Finish Editing (save) — editing with the file locked while work is in progress.
  • Digitally Sign / Add Certificate — electronic signature of the file.
  • Save As — export the file back to disk.
  • Mark for Deletion — standard flag (actual deletion — via "Deletion of Marked Objects").

6. What Is Generated on Posting

The catalog is not posted and does not create movements in accounting registers (mutual settlements, VAT, cost, batches). It does not issue an ESF or SNT — electronic documents are generated and sent to the ESF IS by the sales/buyout document itself, not by its attachments.

When a file is added, only the following service actions occur:

  • a catalog item is created with the document as owner;
  • the file is placed in storage (inside the database or in a disk volume);
  • a record is added to the information register for versions/storage of files in the "File Management" subsystem.

7. Printed Forms

The attached files catalog has no printed accounting forms of its own. Available:

  • Open (view) — the file opens in the associated program (Acrobat, Excel, image viewer), from where it can be printed.
  • Print — direct printing of the open file using external program tools.
  • Printed forms of the packaging buyout itself (waybills, act) are printed from the owner document, not from here.

8. Common Errors

  • "File is locked by another user" (or "File being edited by: <Full Name>"). Someone opened the file for editing and didn't finish. Ask them to click "Finish Editing", or have the administrator remove the lock via "Clear Lock Flag".
  • "Failed to get file. It may be open in another program." When uploading from disk, the file is open in Word/Excel. Close it in the source program and try adding it again.
  • "File size exceeds the allowed limit" — the file management settings restriction was triggered. Reduce the size (compress the PDF/photo) or ask the administrator to raise the limit in "Administration" → "File Management Settings".
  • "File storage volume not found / unavailable" — files are stored in a disk volume and the path is unavailable (network folder disconnected, no permissions). Check the availability of the volume directory from the 1C server.
  • File does not open on double-click — there is no program for this extension on the computer (e.g., no viewer for .heic). Install the required program or use "Save As" and open it manually.

9. FAQ

See the questions block below — the same pairs are duplicated in the structured FAQ.

10. Related Documents

  • Owner document: "Buyout of Returnable Packaging from Supplier" — the only object to which these files are linked. Catalog entries are created only "based on" an open document via the "Attached Files" command.
  • Subsystem: "File Management" (Standard Subsystems Library) — the general attachment mechanism; almost every document in the configuration has similar "...AttachedFiles" catalogs.
  • Where the data goes next: for tax and electronic document workflow, work with the packaging buyout document itself — it generates the accounting entries and, if needed, ESF/SNT. Files remain as supporting evidence.

How to Find Out Your Release

"Help" → "About the Program": the window shows the "1C:Enterprise" platform version and the configuration release — "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". Check against this line: the fields and commands described correspond to release 3.4.5.21.

Frequently asked questions

Is this a separate document? Do I need to create it manually?
No. This is a service directory for files. You don't create its items directly — they appear when you attach a file to the "Return Container Buyback from Supplier" document via the "Attached Files" button (paperclip).
Does attaching a file create postings or affect VAT?
No. Files are only attachments (supporting documentation). Postings, 16% VAT, and electronic documents are generated by the container buyback document itself when posted, not by the attached files directory.
Does this object generate an ESF or SNT?
No. The ESF and SNT are issued by the sales/buyback document and sent to the ESF IS. Attached files do not create any electronic documents.
Where are the attached files physically stored?
Either inside the information base or in volumes on disk — this depends on the settings in "Administration" → "File Handling Settings". For large volumes of scans, storage in volumes is recommended so as not to bloat the database.
How do I open all files at once, not per document?
Via the navigation link e1cib/list/Catalog.ReturnContainerBuybackFromSupplierAttachedFiles (menu "Service" → "Go to navigation link"). But for everyday work, use the paperclip in the document so the file is linked to its owner.
The file says "in use by another user". What should I do?
Someone has opened it for editing. Let them finish via "Finish Editing", or have the administrator remove the "in use" flag. Then the file will be available to everyone again.
Can an attached file be signed with an electronic digital signature?
Yes. In the file list, select the file and click "Sign". After that, the card will show the "Signed with EDS" flag and certificate data. This is convenient for internal approval.
The file won't load: "open in another program". What should I do?
Close the file in Word/Excel/a viewer on your computer and repeat "Add" → "File from Disk". While the file is open, the OS doesn't hand it over to 1C for reading.
