You have generated a reconciliation act, clicked "Send by email" — and 1C responds: "No email account is configured." Or the invoice to the customer is sent, but the email bounces back with a server error. All of this boils down to one directory — "Email Accounts." Until it contains a correctly filled record, no email from 1C will be sent: neither the invoice, nor the act, nor the payslip, nor the notification regarding the electronic invoice (ESF). Let's figure out how to set it up once and forget about it.

1. Purpose

The directory stores connection parameters to the mail server: mailbox address, login, password, SMTP and IMAP/POP3 addresses, ports, and encryption. 1C uses this data to send documents to counterparties and employees directly from the program, and if desired, to receive incoming emails in the built-in mail client.

It's important to note right away: this is a settings directory, not an accounting document. It does not make accounting entries, does not generate ESF and STS, and does not move accounting registers. It simply provides 1C with a "channel" through which emails with attachments are sent.

2. Where to find

Path in the interface:

Administration → Organizer → Mail → Email Accounts.

From there, the setup wizard is launched — the "Create" button.

You can open the list directly in 1C via the navigation link. Copy it, then in the "Service" menu (function menu icon) select "Go to navigation link" and paste:

2a. How to know your release

Menu "Help" → "About the program". In the opened window, you will see the version of the platform (for example, 8.3.24) and the configuration release — the line "Accounting for Kazakhstan, version 3.0 (3.0.74.2)." The instructions are written for release 3.0.74.2. In adjacent releases 3.0.7x, the location of the fields is the same.

3. How to fill

The setup goes through the wizard. In the first step, you can try the automatic mode, but for Kazakh and corporate mailboxes, it is more reliable to switch to manual setup right away — this way you control each parameter.

Step 1. Main

Field Why and what will happen in case of an error
Email address (required) Your mailbox from which emails will be sent, for example buh@company.kz. This will be placed in the "From" field. An error in the address — the counterparty will receive an email from a different/non-existent sender, replies will not return to you.
Password (required) Password for the mailbox. For Gmail, Mail.ru, Yandex — this is not the usual password, but a application password (see FAQ). An incorrect password — the server will refuse authentication, emails will not be sent.
Manually configure connection parameters Flag that opens manual input of servers and ports. Set it — auto-detection often makes mistakes on corporate domains.

Step 2. Sending emails (SMTP) — mandatory if the mailbox is used for sending

Field Why and what will happen in case of an error
Outgoing mail server (required) SMTP address, for example smtp.gmail.com. An incorrect address — 1C will not find the server, the email will hang with a connection error.
Port (required) Usually 465 (SSL) or 587 (STARTTLS). The port must match the type of encryption, otherwise — timeout.
Secure connection SSL/TLS. For 465 — enable, for 587 — "Auto" or STARTTLS. Mismatch of port and encryption — the most common reason for refusal.
SMTP authentication required Almost always enabled. Login/password usually match the mailbox. Without it, the server will reject the email as spam.
Sender name How the recipient will see you ("LLP Romashka, accounting"). If empty — the counterparty will see only the bare address.

Step 3. Receiving emails (IMAP/POP3) — fill only if you want to read mail in 1C

Field Why and what will happen in case of an error
Protocol IMAP (recommended — emails remain on the server) or POP3.
Incoming mail server For example imap.gmail.com.
Port IMAP — 993 (SSL), POP3 — 995 (SSL).
Secure connection Enable SSL for ports 993/995.

If receiving mail in 1C is not needed, uncheck the "Use for receiving emails" flag — then filling in the IMAP block is not necessary.

Step 4. Additional

  • Account available to all users — enable if multiple accountants send emails from one mailbox. If you leave it available only to the author — colleagues will receive "no email account configured."
  • Store password in the information base — without the flag, 1C will ask for the password with each sending.
  • Check configuration — the button at the end of the wizard sends a test email. Do not skip it: it's better to catch an error now than when sending the act to the client.

4. Analyzed example

Task: the accountant of LLP "Astana-Stroy" configures the corporate mailbox buh@astana-stroy.kz, hosted on Gmail for business, to send invoices and acts of completed work to customers.

After saving, we clicked "Check" — a test email arrived. Then we opened the invoice for payment for the customer, clicked "Send" → "By email", 1C substituted the counterparty's address from their card, attached the PDF invoice — the email was sent.

This example does not create any entries — the settings directory is not reflected in accounting and tax records. No debit/credit, movements in accounts 1210, 1030, 6010, etc. The record of the email account does not generate any entries. The document (invoice, sale) creates the entries, and the email merely delivers its printed form to the recipient. This is normal and correct: do not confuse the sending channel with the accounting operation.

5. Types of operations

The directory does not have "types of operations" in the sense of an accounting document. Records differ by purpose, which you set with flags:

  • Sending only — the mailbox sends documents, does not read incoming (typical choice for accounting).
  • Receiving only — 1C retrieves incoming emails in the built-in mail client.
  • Sending and receiving — a full-fledged mailbox within 1C.
  • System email account — can be used for mass mailings and service notifications to all users.

6. What is formed upon saving

Since this is a directory, upon saving:

  • An element of the directory "Email Accounts" is created/modified.
  • No accounting and tax entries.
  • Electronic documents (ESF, STS) are not created. ESF is still issued through the document "Electronic Invoice" and sent to the ESF information system through its own channel, not through this mailbox. The email is used for regular business correspondence and sending printed forms (invoice, act, waybill, payslip).
  • No movements in accounting registers. The connection setup is only recorded for service purposes, and when sending — a record in the built-in mail client's email log.

7. Printed forms

The settings directory has no printed forms of its own — there is nothing to print. The practical meaning lies in what forms you send through this email account:

  • Invoice to the customer;
  • Act of completed work (services rendered);
  • Waybill for the release of inventory to the side;
  • Reconciliation act of mutual settlements;
  • Invoice (printed form);
  • Payslip to the employee.

Any of them is sent by the "Send" button from the form of the corresponding document — 1C attaches it as a file (PDF, Excel, or Word at your choice).

8. Frequent errors

"Failed to send email. Mail error: SMTP server requires a secure connection or client is not authenticated." SMTP authentication is not enabled or the password is incorrect. Open the record, enable "SMTP authentication required," double-check the login/password. For Gmail/Mail.ru/Yandex, enter the application password.

"Server timeout" / "Failed to establish connection." The port does not match the type of encryption. For SSL, set 465 (SMTP) and 993 (IMAP); for STARTTLS — 587. Check that the internet connection and firewall do not block the outgoing port.

"Name or password invalid" with the correct password. The provider requires an application password, and you entered the regular mailbox password, or the account does not have access for third-party applications enabled. Create an application password in the email security settings.

"No email account configured" when sending a document. The record is created but not available to the current user. Open it and enable "Account available to all users."

The email was sent, but the counterparty did not receive it (went to spam). The "Sender name" is not filled in, or the mailbox address does not match the sender's domain. Correct the address and name, and for mass mailings, configure SPF/DKIM on the mail domain side.

9. FAQ

Does this email account create accounting entries? No. This is a settings directory for connecting to email. Accounting entries are created by accounting documents, and the email only delivers their printed forms to the recipient.
