You are conducting "Commissioning of fixed assets" for a new printer, you click "Post and close," and a month later the scheduled operation "Depreciation calculation" for it is silent. Zero tenge. You open the document — everything seems to be filled out. And only in the Fixed Asset Event field do you see that "Transfer" was set instead of "Commissioning." The fixed asset has been registered, but the program thinks it is not yet in use. Depreciation is not being calculated. This is where the work with the "Fixed Asset Events" reference book begins — a small classifier that determines what will happen to the asset in accounting.

1. Purpose

The "Fixed Asset Events" reference book stores a list of events that can occur with a fixed asset during its life: acceptance for accounting, commissioning, modernization, transfer, change of status, write-off, disposal. Each element of the reference book is linked to a type of event, and it is the type that dictates to the document how to change the status of the fixed asset and calculate depreciation. The element itself does not create postings — it manages the behavior of fixed asset documents.

2. Where to find

Section "Fixed Assets and Intangible Assets" → block "Reference Books and Settings""Fixed Asset Events".

The second way is directly from the document. In "Acceptance for Accounting of Fixed Assets," "Change of Status of Fixed Assets," "Transfer of Fixed Assets," "Modernization of Fixed Assets," "Write-off of Fixed Assets," there is a Fixed Asset Event field with a selection button (three dots) → "Show All""Create".

To open the reference book directly: "Service" → "Go to Navigation Link" and paste:

2a. How to find out your release

"Help" → "About the Program" (or the "i" icon in the upper right corner). In the opened window — the version of the 1C:Enterprise platform (for example, 8.3.24.xxxx) and the configuration release. Look for the line "Accounting for Kazakhstan, version 3.0" — there will be your number, for example, 3.0.74.2. If it differs from the one indicated in the header, some screens may look different.

3. How to fill out

The reference book element is short, but each field affects the postings of the document in which you select it.

Field Mandatory Purpose and what happens in case of error
Name Yes Your working title, by which you select the event in documents: "Commissioning," "Write-off due to wear," "Sale of Fixed Assets." Write it so that a year later the accountant understands without opening the card. You cannot leave it empty — the program will not allow you to save.
Type of Fixed Asset Event Yes The main field. This is an enumeration; it sets the logic: to calculate depreciation or stop it, change the status to "In Use" or "Reserve," write off the asset from accounting. If you choose the wrong type — the document will be posted, but the asset will behave differently than you expect (a classic case — depreciation does not start).
Group (parent) No If there are many events, group them: "Receipt," "Disposal," "Changes." It does not affect postings, only the convenience of searching.
Code Filled in automatically The program assigns it automatically. Do not touch it manually — links from documents go by code.

Order of actions:

  1. Open the reference book, click "Create".
  2. Enter Name.
  3. Select Type of Fixed Asset Event from the list (see section 5).
  4. If necessary, specify the group.
  5. "Save and Close".

Usually, the necessary events are already in the database (some are predefined). You rarely create new ones: when you want to separate, for example, "Write-off due to wear" and "Write-off due to shortage" for analytics, but with the same type of event "Write-off."

4. An example with postings

Situation. LLP "Astana-Service" purchased a printer for 300,000 ₸ excluding VAT. VAT at the rate of 16% = 48,000 ₸. Useful life — 3 years (36 months), method — straight-line. The printer is commissioned.

Step 1. Receipt (document "Receipt of Fixed Assets" / "Receipt of Goods and Services"):

Step 2. Acceptance for accounting / Commissioning. In the document "Acceptance for Accounting of Fixed Assets," select the element with the type "Commissioning" in the Fixed Asset Event field. This type changes the status of the fixed asset to "In Use" and activates the depreciation flag. The balance posting upon acceptance for accounting depends on the account for capital investments; if the receipt went directly to 2410 — at this step there may be no movements in the balance, only records are formed in the fixed asset accounting registers (status, depreciation parameters).

Step 3. First depreciation calculation (scheduled operation "Month-End Closing," next month):

300,000 ₸ ÷ 36 months = 8,333.33 ₸ per month.

What would happen in case of an error. If the Fixed Asset Event field had the type "Transfer" or "Change of Status" without commissioning, the asset would remain in the "Reserve" status, the depreciation flag would not be activated, and in Step 3 the posting would not appear. Exactly what this material started with.

After 3 years — disposal (sale) for 60,000 ₸ + VAT 16% (9,600 ₸). In the document "Write-off of Fixed Assets" / "Transfer of Fixed Assets," the event with the type "Disposal":

The residual value at this point is 0 ₸, so the expense for disposal is not formed.

5. Types of Fixed Asset Events

The Type of Fixed Asset Event field is an enumeration. It is the set of types that determines what the reference book can do:

Type of Event What the document does
Acceptance for Accounting Places the asset on the balance sheet without starting its use (status "Reserve"). Depreciation is not calculated.
Commissioning Changes to "In Use" status, activates depreciation calculation.
Acceptance for Accounting with Commissioning Registers and immediately commissions in one action.
Modernization (reconstruction) Increases the initial cost, changes useful life and depreciation amount if necessary.
Transfer Changes the department/manager. Does not affect cost and depreciation.
Change of Status Transfers between statuses (for example, "In Use" → "Conservation"), may suspend depreciation.
Write-off Liquidation of the asset, removal from accounting, write-off of residual value as an expense.
Disposal (transfer) Sale/free transfer with recognition of income and VAT.

The names of specific predefined elements in your database may differ, but the binding "name → type" is always visible in the card.

6. What is formed

The reference book does not create postings or electronic documents — it is a classifier. All postings are formed by fixed asset documents in which you specified the event:

  • Postings — on accounts 2410, 2420, 7210, 1210, 3130, 6210, etc. (see example).
  • Movements in registers — "Fixed Asset Status," "Fixed Asset Depreciation Parameters," "Initial Information on Fixed Assets (accounting/tax accounting)." It is the type of event that tells the document what records to make in these registers.
  • ESF and VAT — are generated not from this reference book, but from the document of sale/transfer of fixed assets upon disposal (sale with VAT 16%). ESF is issued in the ESF system based on the disposal document, VAT is generated during the transfer of goods subject to accompanying invoices.

7. Printed forms

The reference book element has no printed forms — there is nothing to print in the classifier. Printed forms are provided by the document in which the event was applied:

  • OS-1 "Act of Acceptance-Transfer of Fixed Assets" — upon acceptance for accounting/transfer;
  • OS-3 "Act of Acceptance-Delivery after Repair, Reconstruction, Modernization";
  • OS-4 "Act of Write-off of Fixed Assets" — upon write-off;
  • OS-6 "Inventory Card for Fixed Asset Accounting".

8. Common mistakes

"The 'Type of Fixed Asset Event' field is not filled out." You are recording a new element, leaving the type empty. Open the card, select the type from the list, and save again. Without a type, the element is useless — the document will not understand what to do.

Depreciation is not calculated after commissioning. The document selected an event with the type "Transfer" or "Change of Status" instead of "Commissioning." Correct the Fixed Asset Event field in the document, repost. Check that after posting the status of the fixed asset has become "In Use" (report "Fixed Asset Depreciation Statement").

"The element cannot be marked for deletion as there are links to it." The event has already been used in posted documents. It cannot be deleted. If it is no longer needed — remove its usage in future documents, but do not touch existing ones, otherwise the movements in the registers will be lost.

Duplicate events. The database contains "Commissioning" and "Commissioning of Fixed Assets" with the same type. This does not interfere with postings but confuses the accountant. Keep one, mark the other for deletion (if there are no postings on it).

Selected "Write-off" instead of "Disposal" when selling. Then the program will write off the residual value as an expense but will not recognize income from the sale and will not issue an ESF. For sale, the type "Disposal (transfer)" is needed.

Does the "Asset Events" directory create entries?
No. It is a classifier. Entries are generated by documents for assets (acceptance for accounting, commissioning, write-off, disposal), while the event only sets the logic for them: to accrue depreciation, change status, or write off from accounting.
Why is there no depreciation after commissioning?
Most likely, the document has selected an event of type "Transfer" or "Change of Status" instead of "Commissioning." Only the type "Commissioning" transfers the asset to the "Operation" status and includes accrual. Correct the "Asset Event" field and reprocess the document.
What is the difference between "Write-off" and "Disposal (Transfer)"?
"Write-off" is the liquidation of an asset: the residual value is expensed, and there is no income. "Disposal (Transfer)" is a sale or transfer: income is recognized (6210), VAT payable is accrued (3130, rate 16%), and an electronic invoice (ESF) is issued. For the sale of an asset, "Disposal" is required.
Can I delete an unnecessary event?
Only if there are no processed documents associated with it. If 1C says "there are links to the element," it cannot be deleted—otherwise, the movements of registers in already processed documents will be disrupted. Leave it and simply do not use it in new operations.
Is it necessary to create events manually?
Usually not—standard events are already in the database, some of them are predefined. A new element is created only when it is necessary to separate analytics (for example, "Write-off for wear" and "Write-off for shortage" with one type "Write-off").
How does the event affect depreciation during conservation?
Through the type "Change of Status": when transferring the asset to conservation, the document "Change of Asset Status" with this event suspends depreciation accrual, and upon returning to operation, it resumes.
Where can I see what status the event assigned to the asset?
In the report "Asset Depreciation Statement" and in the register "Asset Statuses." After processing the document, the status should correspond to the selected type of event—"Operation," "Reserve," "Written Off," etc.
Does the asset event affect the ESF and VAT?
Not directly. The ESF in the ESF IS and, if necessary, VAT are generated from the disposal/transfer document of the asset when selling with 16% VAT. The event only determines that the operation is a disposal, after which the document allows issuing the ESF.
