Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

A supplier delivered a batch of goods, and along with it — a certificate of conformity and a quality passport in PDF. Six months later the tax authority or a customer asks you to confirm the origin of the batch. You open the item card, and it's empty: the files are sitting somewhere in your email, in the "Downloads" folder, or on a flash drive in the warehouse keeper's pocket. To avoid this, it's convenient to store the certificate, photo, technical specifications, and scanned contract right in the item card. This is exactly what the "ItemAttachedFiles" catalog is responsible for — a service file storage attached to elements of the "Nomenclature" catalog.

1. Purpose

The catalog stores files attached to specific nomenclature: product images, certificates, declarations of conformity, quality passports, instructions, scanned contracts and specifications. Each catalog element is a single file (with all its versions), "subordinate" to one nomenclature position. You almost never open this catalog directly — you work with files through the item card.

2. Where to find it

The standard path is from the item card:

  1. Section "Catalogs" → "Nomenclature" (or "Goods" depending on the interface).
  2. Open the required position.
  3. In the card, click "Attached files" — this is either a button on the card's navigation panel, or the item "More" → "Attached files".

The list of files for this specific item will open. List buttons: "Add", "View", "Edit", "Finish editing", "Save changes", "Cancel editing", "Create based on" → "Digital signature".

You can open the entire catalog as a whole (for all goods at once) using a navigation link. Menu "Tools" → "Go to navigation link" (or Ctrl→Shift→N), paste:

e1cib/list/Справочник.НоменклатураПрисоединённыеФайлы

This is convenient for the administrator — for example, to find "heavy" files or remove deletion marks. For everyday work, the accountant does not need this direct list.

2a. How to find out your release

Menu "Help" → "About" (or the "i" / "About" icon in the "Main" section). In the window that opens you will see two lines: the platform version (for example, 8.3.24.xxxx) and the configuration release — "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". The instructions below refer specifically to release 3.0.74.2; in other releases the button names may differ slightly.

3. How to fill it in

Individual elements of this catalog are not created manually — a file is added as a whole, and the element card is filled in almost automatically. Let's go through the fields.

Field Why it's needed and what happens if there's an error
Name (mandatory) The file name without extension. Substituted from the file name on the disk. Give it a meaningful name ("Certificate_GOST_batch_0425"), otherwise a year later you won't find the needed document among a dozen "Scan_001".
File owner (mandatory, filled in by the system) A reference to the nomenclature position. Filled in automatically based on the item from whose card you add the file. You don't need to change it manually — otherwise the file will "move" to a different item.
Extension File type (pdf, jpg, docx). Set automatically based on the source file. It determines which program will open the file when viewing.
Store versions A checkbox. If enabled — each edit is saved as a new version, and the old one can be restored. For certificates and contracts, keep it enabled: you'll see the edit history. For photos — usually not needed.
Description A free comment: what kind of file it is, which batch/delivery it relates to. Don't be lazy — this is your memory.
Author, Creation date, Modification date Service fields, filled in automatically. They show who added/changed the file and when. Not touched manually.
Signed with DS / Encrypted Indicators that the file is signed with a digital signature or encrypted by 1C tools. Set when the corresponding operation is performed.
Being edited by If someone has "taken" the file for editing, their name appears here, and other users cannot change the file until they click "Finish editing".

Where the file is physically placed. By default, files are stored inside the information database. If the administrator has configured "File storage volumes" (section "Administration" → "File handling settings"), files are placed in a directory on the disk/server — this offloads the database. The user does not see the difference.

How to add a file — three ways:

  1. From disk. "Add" → select a file on the computer. The most common way.
  2. From a scanner. "Add" → "From scanner" (a configured TWAIN scanner is required) — convenient for paper certificates.
  3. By dragging. Simply drag the file with the mouse into the attached files list window.

4. Worked example

For the item "Cable VVGng 3×2.5" you need to attach a certificate of conformity and a photo of the coil.

  1. "Catalogs" → "Nomenclature" → open "Cable VVGng 3×2.5".
  2. "Attached files" → "Add" → select on disk Сертификат_ВВГ_2026.pdf (size 480 KB).
  3. In the file card: Name — "Certificate VVGng 3x2.5 batch 04-2026", Description — "ST RK, valid until 31.12.2027", check the "Store versions" box. Save.
  4. In the same way, add Фото_бухта.jpg.

Result: the item now has two attached files. Any user with rights opens the cable card, sees the certificate and photo, prints them or sends them to the customer.

This example does not create any postings. And this is fundamental: "ItemAttachedFiles" is a storage catalog, not a document. It does not make accounting entries, does not generate an ESF, and does not move accounting registers. The cost of goods, VAT (in Kazakhstan in 2026 — a rate of 16%), postings on accounts 1330 "Goods", 1210, 3310, 3130 arise not here, but in receipt/sales documents. The attached certificate is only legal support living next to the card. Don't look for Dr/Cr here: by definition there are none, and that's normal.

5. Operation types

The catalog does not have separate "operation types" like documents do. There is a set of actions on the file:

  • Add — from disk, from a scanner, by dragging.
  • View — open the file for reading (without locking).
  • Edit → Finish editing / Save changes — open the file for modification (the file is locked for others), then return it to the database.
  • Cancel editing — release your lock without saving edits.
  • Save as — export a copy of the file to disk.
  • Create new version / Go to versions — when version storage is enabled.
  • Sign with DS / Encrypt — if cryptography is configured.
  • Mark for deletion.

6. What is generated when posting

The catalog is not posted and has no accounting consequences:

  • There are no accounting postings.
  • ESF, SNT and other electronic documents are not generated — an attached file is not an electronic invoice; ESF and SNT are issued from sales/transfer documents through the ESF IS, not from here.
  • There are no movements on accounting registers (VAT, mutual settlements, cost).

What actually happens when a file is saved: the file is saved in storage (inside the database or in a volume), the author and date are recorded, and when versions are enabled, a version record is created. This is an internal, service "trace", not an accounting movement.

7. Printable forms

The catalog does not have its own printable form "report on attached files". In practice, "printing" means opening the file itself and printing it with the standard program (PDF reader, image viewer, Word). From 1C the following are available:

  • "View" — open the file in an external application, from where it is printed.
  • "Save as" — export the file to disk.

8. Common mistakes

"Maximum file size exceeded". The administrator has limited the size of uploaded files. Solution: compress the document (for example, save the PDF at lower quality) or increase the limit in "Administration" → "File handling settings".

"The file is being edited by user …". Someone clicked "Edit" and did not finish. As long as their name is in the "Being edited by" field, you cannot change the file. Solution: ask the colleague to click "Finish editing", or the administrator removes the lock via the catalog list using the navigation link.

"Working file directory is not specified". When opening/editing, 1C does not know where to put the temporary copy. Solution: "Administration" → "File handling settings" → specify a directory; or the file opened but changes are "not seen" — you forgot to click "Finish editing".

The file was added to the "wrong" item. You opened the attached files from someone else's card. Check the "File owner" field; you cannot fix the ownership by reassigning the field manually — it's easier to delete and add it again from the correct card.

After deleting a file, the database did not shrink. A deletion mark does not physically erase the data. You need to run "Deletion of marked objects" (section "Administration"/"Operations").

9. FAQ

Does this catalog make postings? No. It is a file storage attached to the item card. It does not create accounting entries, ESF, or register movements — these arise in receipt and sales documents.

Where are attached files physically stored? By default — inside the information database. If the administrator has configured file storage volumes, they are located in a directory on the disk/server, and only a reference remains in the database. For the user, the work looks the same.

How do I attach a certificate to an item? Open the nomenclature card → "Attached files" → "Add" → select a file on disk or scan it. Give it a meaningful name and fill in the "Description".

Can I store several files for one item? Yes, as many as you like: certificate, photo, quality passport, instruction — each becomes a separate catalog element with a single owner-item.

How do I restore a previous version of a file? If the "Store versions" box was checked when adding, open the file → "Go to versions" → select the required version and make it current.

What does "the file is being edited" mean? Someone opened the file with the "Edit" button and did not close it. Until they click "Finish editing", others cannot change the file. The administrator can remove the lock.

Can an attached file be signed with a DS? Yes, if cryptography is configured in the database: select the file and choose the signing action. The "Signed with DS" indicator will be set in the card.

Do attached files affect the database size? Yes, if files are stored inside the database. Large PDFs and photos noticeably inflate it. The solution is to enable file storage volumes and/or compress documents before uploading.

Why didn't the database shrink after deleting a file? A deletion mark only marks the object. It physically disappears only after the "Deletion of marked objects" procedure.

Can I mass-transfer files to another item? There is no standard "owner reassignment". A file is added again from the required item's card, and the old one is marked for deletion.

10. Related documents

  • The "Nomenclature" catalog — the "parent". Attached files are always subordinate to a specific nomenclature position and are opened from its card.
  • The "Attached files" mechanism (the common SSL subsystem) — the same functionality works for counterparties, contracts, documents; "ItemAttachedFiles" is its special case for goods.
  • Receipt and sales documents (Receipt of Inventory, Sale of Inventory) — this is where postings, ESF and SNT are generated for the item to which the certificate is attached. The file from the catalog serves as a supporting attachment to these documents, but does not replace them.
  • File storage volumes and File handling settings (the "Administration" section) — determine where and with what restrictions attached files are stored.

How to find out your release
