Verified on release 3.4.5.21 of “Trade Management for Kazakhstan” (version 3.4).

A supplier sent you a new price list in PDF and a certificate of conformity for a batch. A week later, the manager asks: “At what price did we enter this, and are there any documents for the item?” — but the files have already been lost in the email and on the shared drive. To prevent this, 1C allows you to attach these files directly to the supplier item card. They are stored not “somewhere in a folder,” but inside the database, in the system catalog НоменклатураПоставщиковПрисоединенныеФайлы. You will almost never open it directly: you work with files from the supplier item card, while the catalog simply stores them “under the hood.”

1. Purpose

The catalog stores files attached to entries in the Supplier Items catalog: price lists, invoices, certificates, product photos, specifications, and letters. Each file is a separate catalog entry with an “owner” — a specific supplier item. It is part of the “File Management” subsystem and is not an accounting object: by itself, it neither generates accounting entries nor creates electronic invoices or accompanying consignment notes.

2. Where to find it

There is no “Attached Files” item directly in the interface sections because this is a system catalog. The correct route is through the item card:

  1. Master Data and Administration → Items → Supplier Items (in some interfaces, from the supplier agreement card or the item card itself).

  2. Open the required supplier item.

  3. Click “Attached Files” (the button/hyperlink with a paperclip on the card’s command bar or the form’s navigation panel).

  4. A list of files for this specific item will open.

To view the entire catalog (for example, when determining “what is stored in the database at all”), use a navigation link. In the Service → “Go to Navigation Link” menu (or the address field), paste:

e1cib/list/Справочник.НоменклатураПоставщиковПрисоединенныеФайлы

Opening the full list is useful for an administrator. For an ordinary accountant, it is more convenient and safer to access it from the item card — this ensures that you see the files for the required item and do not confuse them with “someone else’s.”

2a. How to find your release

Open “Help” → “About” (or the “i” icon / “Information” button in the upper-right corner). The window that opens will show two lines: the platform version (for example, 8.3.24.xxxx) and the configuration release — it should say “Trade Management for Kazakhstan, version 3.4 (3.4.5.21).” If the release differs, the location of buttons and the set of fields may vary slightly.

3. How to complete it

You do not complete a separate “document form” here — you add a file, and the system automatically creates a catalog entry. Procedure:

  1. In the attached files list, click “Add” and select a method:

    • “Add File from Disk” — select an existing file;

    • “Create from Template” / “Create” — create a new blank file (for example, Excel);

    • “Scan” — if a scanner is connected.

  2. The file will be uploaded and its card will open.

Key fields of the file card:

Field

Why it is needed and what happens if it is incorrect

Name (required)

The file name in the database. By default, the name from the disk is used. Give it a meaningful name (“Price_List_2026,” “GOST_Certificate”); otherwise, in a month you will not find the right one among a dozen “scan_001” files.

Owner (required, completed automatically)

The supplier item to which the file is linked. It is populated with the entry from which you opened the list. Do not change it manually: if you change the owner, the file will “move” to another item.

Extension

File type (pdf, xlsx, jpg). It is populated automatically from the source file and determines which application will open the file.

Author

The person who uploaded it. This is set to the current user, so you can later see whom to contact with a question.

Creation / modification date

Technical timestamps. They help determine whether the price-list version is current.

Description (comment)

Free text: “price list including 16% VAT,” “valid until 31.12.2026.” Take the time to complete it — it saves time when searching.

Digitally signed

The flag is set when you sign the file with a digital signature. A signed file cannot be changed — if you try to edit it, the signature will become invalid, and 1C will warn you about this.

Encrypted

Encryption indicator. An encrypted file can be opened only if the certificate is available.

Editing prohibited

Set this to protect the original (for example, a signed certificate) against accidental changes.

To replace the contents of a file, do not create a new one: open the card and click “Edit” (the file is “checked out” by you), make the changes, and then click “Finish Editing” — a new version will be created, while the old one will remain in the history.

4. Worked example

Situation. The supplier Astana-Snab LLP sent a new price list and an invoice for a coffee machine. The price according to the price list is 100 000 ₸ excluding VAT. You create an entry in “Supplier Items” and attach two files.

Steps:

  1. In the “Coffee Machine X100 (Astana-Snab)” item card, click “Attached Files” → “Add File from Disk”.

  2. Upload Astana_Price_List_2026.pdf. Keep a clear name in “Name,” and enter “Price list dated 15.09.2026, prices excluding VAT” in “Description.” The owner is populated automatically as “Coffee Machine X100 (Astana-Snab).”

  3. Attach Invoice_No._451.pdf in the same way.

  4. Sign the invoice with a digital signature (the “Sign” button) — the “Digitally signed” flag is set.

Important note on accounting entries. The attached files catalog itself does not generate any accounting entries — it only stores documents. The entries will appear later when you record the receipt of this item using the “Purchase of Goods and Services” document. For context, using the same figures at 16% VAT:

Transaction

Dr

Cr

Amount, ₸

Goods received (excluding VAT)

1330

3310

100 000

Creditable VAT recognized (16%)

1420

3310

16 000

Payment to supplier from the current account

3310

1030

116 000

Total payable: 100 000 + 16 000 = 116 000 ₸. The attached price list and invoice simply remain alongside the item card as confirmation of the price and supporting documents — they do not affect amounts or accounting entries, but they are invaluable during reconciliation with the supplier: if the counterparty shows a different amount in the statement, you can open the original price list from the card in 5 seconds.

5. What you can do with a file (equivalent to “transaction types”)

The system catalog has no “transaction types” in the accounting sense. The available actions for a file are:

  • Add — from disk, from a template, or by scanning;

  • Open / View — in an external application;

  • Edit → Finish Editing — with the creation of a new version;

  • Versions — view change history and roll back to a previous version;

  • Digitally Sign and Verify Signature;

  • Encrypt / Decrypt;

  • Save As — export it back to disk;

  • Mark for Deletion.

6. What is generated “upon posting”

Catalogs are not posted — the concept of “posting” does not apply here. When a file is added or changed, the following occurs:

  • There are no accounting entries. The accounting register is not affected.

  • Electronic invoices and accompanying consignment notes are not issued. These electronic documents are generated by sales/receipt documents, not by the file card.

  • The content itself is saved in file storage volumes (if volume-based storage is configured) or in the infobase; the catalog records the metadata — name, size, extension, author, date, and version.

  • A version history is maintained (if versioning is enabled) — records are generated in the system information registers for file and version storage.

7. Print forms

The attached files catalog has no standard print forms of its own — there is nothing to print other than the file contents themselves. In practice:

  • Open the file (PDF, xlsx, jpg) and print it using the application in which it opens;

  • “Save As” — export it to disk and print it from there.

A separate “Attached Files” report print form is not provided for this object.

8. Common errors

“The file is checked out for editing by user …” Someone (possibly you in another session) clicked “Edit” and did not finish. Ask that person to click “Finish Editing” or, with administrator rights, click “Cancel Editing” in the file card.

“Failed to save the file. Maximum file size exceeded” The administrator has restricted the size (for example, 50 MB) in the file management settings. Reduce the file size (compress the PDF/photo) or ask the administrator to increase the limit under Master Data and Administration → File Management Settings.

“The file is digitally signed. Editing will invalidate the signature” You are trying to modify a signed file. Either do not edit it (retain the original) or deliberately remove the signature — the “Digitally signed” flag will then be cleared, and the signature will need to be applied again.

“File storage is not configured” / files do not open for some users Storage volumes have not been configured, or users do not have access to the volume’s network folder. Check the volume settings and folder access permissions.

The file was attached to the “wrong” item You added the file from the general list (using the navigation link), rather than from the card, and the wrong owner was populated. Open the file card and check the “Owner” field — or, more reliably, always add files from the supplier item card.

9. FAQ

Below are brief answers to the questions that accountants and administrators most frequently have about this object.

10. Related documents

  • File owner — the Supplier Items catalog: files are always entered “on the basis of” a specific entry in this catalog.

  • Related documents in which attached price lists/invoices/certificates are actually used as supporting documents: Supplier Agreement, Purchase Order, Purchase of Goods and Services (it is this document that generates entries 1330/1420/3310 and records the receipt).

  • Electronic documents (electronic invoices in the Electronic Invoice Information System, accompanying consignment notes) are generated by receipt/sales documents, not by the file card; you can additionally attach an electronic invoice received from the supplier here as a supporting file.

How to find your release

“Help” → “About”: the window shows the 1C:Enterprise platform version and the configuration release. This guide applies to “Trade Management for Kazakhstan” 3.4.5.21 (version 3.4). In other releases, the list of file management commands and storage settings may differ slightly.

Frequently asked questions

Does this catalog generate accounting entries?
No. НоменклатураПоставщиковПрисоединенныеФайлы is a system catalog for storing files. It is not posted, does not generate accounting entries, and does not issue electronic invoices or accompanying consignment notes. Entries (for example, Dr 1330 Cr 3310 and Dr 1420 Cr 3310 for 16% input VAT) are generated in the “Purchase of Goods and Services” document, not here.
Where are attached files physically stored?
Either inside the infobase or in file storage volumes on a disk/server, depending on the settings under “Master Data and Administration → File Management Settings.” The catalog itself stores metadata: name, extension, size, author, dates, and versions.
How do I attach a supplier’s price list to an item?
Open the entry in the “Supplier Items” catalog, click “Attached Files” → “Add File from Disk,” and select a PDF/Excel file. The owner will be populated automatically. Enter a clear name and comment (for example, “price list dated 15.09.2026, prices excluding VAT”).
Can the catalog be opened directly?
Yes, via “Go to Navigation Link”: e1cib/list/Справочник.НоменклатураПоставщиковПрисоединенныеФайлы. However, this is convenient for an administrator who needs an overview. An ordinary user should open it from the item card to work only with the files for the required item.
How do I replace a file with a new version while retaining the old one?
Do not create a new entry. Open the file card, click “Edit,” make the changes, and click “Finish Editing” — 1C will create a new version, while the previous one will remain available in the version history (if versioning is enabled).
Why does the “file is checked out for editing” error appear?
Someone started editing the file and did not finish. Ask that user to click “Finish Editing,” or an administrator can select “Cancel Editing” in the file card.
Can an attached file be digitally signed?
Yes. The file card has a “Sign” command. After this, the “Digitally signed” flag is set and the file is protected against changes: if you try to edit it, 1C will warn you that the signature will be invalidated.
Does this object have a print form?
It has no standard print form of its own — there is nothing to print other than the file contents themselves. Open the file in an external application and print it from there, or export it using the “Save As” command.
