Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).
Imagine: a counterparty from your own group of companies returned a batch of goods, you created a "Return of Goods Between Organizations", and a week later an auditor asks — "where is the return certificate signed by the warehouse keeper and the photo of the defect?" The paper is sitting in a folder on the desk, but it's not in the database. To avoid this, you attach the scan of the certificate, the claim letter, and the photo report directly to the document. It is exactly these attachments that are stored in the catalog "Return of Goods Between Organizations Attached Files". This is not a separate document, but a "pocket" of a specific return: the files live inside it and open with one click from any workstation.
1. Purpose
The catalog stores files attached to the document "Return of Goods Between Organizations": scans of certificates, invoices, claims, photos of defects, PDF electronic documents. It is subordinate to the owner document — separately, "on its own", an element is not created. This catalog does not create postings or register movements: the return itself is responsible for accounting.
2. Where to find it
The catalog has no direct menu item — you always enter it through the document:
- Section "Sales" (or "Purchases", depending on settings) → journal "Returns of Goods Between Organizations".
- Open the required return.
- On the document form, click "Attached Files" (the paperclip button on the top panel or the same-named hyperlink/tab).
You can open the entire list of attachments directly via a navigation link. Menu "Service" → "Go to navigation link" and insert:
e1cib/list/Справочник.ВозвратТоваровМеждуОрганизациямиПрисоединенныеФайлы
2a. How to find out your release
Menu "Help" → "About the program". In the window that opens, you will see the platform version (e.g., 8.3.24) and the configuration release — the line "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". If your number is different, some button labels may look different, but the logic of working with files does not change.
3. How to fill it in
You usually don't create a separate card by hand — the file is added as a whole, and the fields are filled in automatically from the file name. Procedure:
- In the "Attached Files" window, click "Add" → "File from disk" (or simply drag the file with the mouse into the window, or paste from the clipboard via "Add" → "From clipboard" for a screenshot).
- Select the file. It will be uploaded to the database (or to the storage volume, if storage outside the database is configured).
Key card fields:
| Field | Why it's needed / what happens if there's an error |
|---|---|
| Name (required) | The name under which the file is visible in the list. It is substituted from the file name. If you name it vaguely ("img_001"), you won't later find the required certificate among a dozen attachments. Write meaningfully: "Return Certificate No. 14 dated 20.09.2026". |
| Extension | File type (pdf, jpg, xlsx). Filled in automatically. 1C uses it to determine which program to open the file with. |
| Owner (required, filled in automatically) | Link to the return document. Cannot be changed manually — it is what links the file to the required return. |
| Author | The user who uploaded the file. Set automatically. Useful when asked "who attached the wrong scan". |
| Date of creation / modification | Service dates. Filled in by the system. |
| Store versions | If enabled, each time the file is edited, the previous version is saved. Useful for documents that are edited (e.g., a draft claim). |
| Comment / Description | Free text: why this file matters, the number and date of the paper original. Not required, but saves time during audits. |
| Digitally signed | Indicates that the file is certified with a digital signature. Appears after the "Sign" command. |
After uploading, click "Save". To edit the file itself — click "Edit", make changes in the program that opens, then "Finish editing", otherwise the file will remain "locked" and other users won't be able to modify it.
4. Worked example with figures and postings
Situation. The organization "Alfa LLP" shipped "Beta LLP" (both are part of your group) 100 units of goods at 5,800 ₸ excluding VAT. Beta returned 20 units as defective. The warehouse keeper drew up a paper Return Certificate No. 14 dated 20.09.2026, and photographed the defect. You created a "Return of Goods Between Organizations" and attach two files to it.
What we attach:
Акт_возврата_14_от_20.09.2026.pdfФото_брака_20.09.2026.jpg
Calculation for the return of 20 units:
- Cost excluding VAT: 20 × 5,800 = 116,000 ₸
- VAT 16%: 116,000 × 16% = 18,560 ₸
- Total including VAT: 134,560 ₸
- Cost of returned goods (book value): 20 × 4,000 = 80,000 ₸
The attached files themselves do not generate postings — they are attachments. Postings are generated by the owner document "Return of Goods Between Organizations" (reversal of the sale for the seller):
| Dt | Ct | Amount, ₸ | Description |
|---|---|---|---|
| 1330 | 1210 | 116,000 | Goods restored to warehouse, buyer's receivables reduced (reversal of sale) |
| 1210 | 6010 | −116,000 | Reversal of sales revenue |
| 7010 | 1330 | −80,000 | Reversal of cost of goods sold |
| 1210 | 3130 | −18,560 | Adjustment of VAT payable |
After posting the return, you go back to the "Attached Files" window, see both files, and sign the certificate with a digital signature if needed. Now during any audit the scan opens directly from the document card.
5. Types of operation
The attached files catalog has no "types of operation" — it is a technical storage. In practice, it supports the following actions with a file:
- Add — from disk, from clipboard, by template, by scanning (if a scanner is connected).
- Open / View — in an external program or built-in viewer.
- Edit / Finish editing — with the file locked from other users.
- Save as — export a copy to disk.
- Sign digitally / Verify signature — for legally significant files.
- Version storage — view and roll back to a previous version.
- Delete (mark for deletion) — followed by deletion processing.
6. What is generated on posting
The catalog is not posted. Register entries, postings, e-invoices, and waybills are generated by the "Return of Goods Between Organizations" document, and attachments are only stored alongside:
- Postings — see example above (accounting register, when using the regulated accounting subsystem).
- Registers — "Goods in Warehouses", "Settlements with Counterparties", "VAT", etc. are moved by the return itself.
- Electronic documents — the e-invoice (corrected/additional in the e-invoice information system) and waybill for the movement of goods are issued from the return document, not from the file. You can save the ready-made printed form of the e-invoice in PDF format and attach it here as well as a confirmation file.
7. Printed forms
The catalog has no printed forms of its own — the owner document is printed. From the "Return of Goods Between Organizations" the following are available:
- Return waybill (standard return form).
- Invoice / e-invoice (when issuing a VAT adjustment).
- Waybill (accompanying waybill for goods).
- Discrepancy / acceptance certificate (with the corresponding setting).
You can open and print the attached file with its native program (PDF — in a viewer, JPG — in the default application).
8. Common errors
"File is locked by another user" Someone clicked "Edit" and didn't close it. Ask them to perform "Finish editing", or the administrator releases the lock via "Release locked file".
"File size exceeds the maximum allowed" A heavy scan hits the storage limit. Reduce the resolution/compress the PDF or ask the administrator to increase the limit (Administration → General settings → File management).
"Failed to save file changes" The file is open in an external program and not saved/closed. Close the program, then "Finish editing".
"Digital signature is invalid" After editing the file, the old digital signature drops — this is normal. Sign the updated version again; do not edit already signed documents.
File attached to the wrong return The owner of the element cannot be changed. Delete the attachment from the wrong document and upload it to the correct one — faster than looking for a workaround.
9. FAQ
Can the attached files catalog be opened from the main menu?
There is no separate menu item. Enter through the document "Return of Goods Between Organizations" → "Attached Files", or via the navigation link e1cib/list/Справочник.ВозвратТоваровМеждуОрганизациямиПрисоединенныеФайлы.
Are files stored in the database or separately? Depends on the "File management" setting. By default — in the information database; when using volumes — in a directory on disk/server. This does not affect the working procedure for the user.
Does this catalog create postings or generate e-invoices? No. Postings, register movements, e-invoices, and waybills are generated by the "Return of Goods Between Organizations" document itself. Files are only supporting attachments.
How do I attach several files at once? Select them in the file explorer and drag them with the mouse into the "Attached Files" window — they will all be uploaded at once.
Can I scan a document directly in 1C? Yes, if a scanner is connected: "Add" → "From scanner". The file will be immediately linked to the current return.
How do I sign the certificate with a digital signature inside 1C? Open the attachment, click "Sign", select a certificate. After edits, the signature must be applied again — editing invalidates it.
What happens to the files if the return itself is deleted? Attachments are subordinate to the document. When the return is marked for deletion, the attachments are deleted with it during the processing of marked objects for deletion.
Can I store versions of the same file? Yes. Enable "Store versions" — each time the file is edited, the previous copy is saved, to which you can revert.
Does the VAT rate affect attached files? No. VAT (in Kazakhstan in 2026 — 16%) is calculated in the return itself. The file only documents the fact. But make sure the attached e-invoice shows the current rate of 16%, not the outdated 12%.
10. Related documents
- What generates the files: the owner document "Return of Goods Between Organizations" (section "Sales"/"Purchases"). Without it, a catalog element is not created.
- What the return "looks at": "Sales of Goods and Services", "Movement of Goods", "Receipt of Goods" — the return itself is often entered based on them.
- What the return generates: the e-invoice (corrected/additional in the e-invoice information system), the waybill, and, if necessary, an adjustment of settlements. It is convenient to attach the ready-made PDFs of these electronic documents here as well, to the return, as a single evidence package.
How to find out your release: menu "Help" → "About the program" — it shows the platform version and configuration release.
