Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).
You close the month, open the turnover balance sheet — and see that money from the current account in tenge landed not on account 1030, but somewhere in "1010" or without any breakdown at all. You start investigating: bank statements are posted, payment orders are in place, but the accounting account is wrong. The reason is almost always the same — the bank account or cash register is linked to the wrong financial accounting group for cash. This exact catalog determines which accounting account your money will be posted to when any cash or bank document is processed. Let's figure out how it's structured and how to set it up once, so you don't have to redo the entries manually.
1. Purpose
The catalog defines cash accounting accounts for cash registers and bank accounts. You create a group, link an account to it (for example, 1030 for non-cash tenge, 1010 for cash tenge), and then specify this group in the bank account or cash register card. When documents are posted, the program takes the accounting account precisely from the group — there's no need to specify it manually in payment orders.
2. Where to find it
Three ways to reach the list:
- Master Data and Administration → Financial Accounting Settings → Cash Financial Accounting Groups (button/hyperlink in the cash accounting settings block).
- From the bank account or cash register card — the "Financial Accounting Group" field opens a selection from this same catalog (selection button → "Show All").
- Via a navigation link. Menu "Tools" → "Go to Navigation Link" (or Alt+F1) and paste:

2a. How to find your release
Menu "Help" → "About the Program" (or the icon with the letter i in the top right corner). The window that opens shows the platform version (e.g., 8.3.x) and the configuration release — a line like "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". The instructions below are verified on release 3.4.5.21. If you have a different one — the field layout may differ slightly, but the catalog logic is the same.
3. How to fill it in
Open the list and click "Create".
| Field | Why it matters and what happens if it's wrong |
|---|---|
| Name (required) | How the group appears in lists. Write it meaningfully: "Non-cash tenge," "Cash tenge," "USD currency account." If you name it abstractly ("Group 1"), later you won't understand where to assign it, and you'll link a cash register to the wrong account. |
| Cash Accounting Account (required) | Key field. Here you enter an account from the chart of accounts: 1030 — money in current bank accounts, 1010 — cash in the register (tenge), 1020 — currency accounts/cash in transit, depending on circumstances. Make a mistake here — all statements and cash orders of this group will go to the wrong account, and the turnover balance sheet won't reconcile. |
| Organization (if there are several organizations in the settings) | Determines which organization the account link applies to. When accounting for multiple legal entities, create groups for each one — otherwise one company's money will get "smeared" across another's accounts. |
| Group (parent) | The catalog is hierarchical. The parent is only needed for convenient grouping in the list; it doesn't affect the entries. |
| Comment | Free text for your own reference. Doesn't affect accounting, but helps when handing over the work. |
The sequence is as follows: first you create the group and specify the account, then go to the bank account card (Organization → Bank Accounts) or cash register (Treasury → Cash Registers) and select the desired one in the "Financial Accounting Group" field. From this point on, all documents for this account/cash register will automatically use the specified accounting account.
Useful tip: create separate groups for non-cash (1030), cash tenge (1010), and currency. Then a single statement will never "mix up" the accounts.
4. Worked example with journal entries
Situation. Astana-Trade LLP sells goods to a customer for 1,160,000 ₸ including 16% VAT. Payment arrives at the current account in tenge.
Catalog setup:
- Group "Non-cash tenge", accounting account — 1030.
- This group is set in the LLP's current account card.
Let's break down the amount: VAT = 1,160,000 × 16 / 116 = 160,000 ₸, cost excluding VAT = 1,000,000 ₸.
Sales entries (document "Sale of Goods and Services"):
| Operation | Dr | Cr | Amount, ₸ |
|---|---|---|---|
| Revenue recognized | 1210 | 6010 | 1,160,000 |
| VAT charged | 1210 | 3130 | 160,000 |
| Cost of goods written off | 7010 | 1330 | 720,000 |
Entry for cash receipt (bank statement "Receipt to Current Account"):
| Operation | Dr | Cr | Amount, ₸ |
|---|---|---|---|
| Payment received from customer | 1030 | 1210 | 1,160,000 |
Note: account 1030 in the debit of the last entry was not entered manually — the program substituted it from the "Non-cash tenge" group linked to the current account. If a group with 1010 had been mistakenly linked to the account, the money would have landed in the cash register, and the bank balance in the turnover balance sheet would show zero despite an active account.
5. Types of operations
The catalog itself doesn't perform any operations — it's a setup object. But the account specified in it participates in all cash operations:
- Receipt / write-off via current account (bank statements, payment orders).
- Cash receipt and payment orders (CRO, CPO).
- Cash transfer between registers and accounts.
- Acquiring operations (card payments).
- Collection of cash revenue.
In all these documents, the cash account is taken from the group linked to the register/account.
6. What is generated upon posting
The catalog does not create movements or entries by itself — recording an item only creates the catalog item itself. It also doesn't issue electronic documents (e-invoices, e-waybills): e-invoices are generated based on sales/receipts, not on account settings.
The catalog's effect appears when cash documents are posted:
- Journal entries in the accounting register — with the account from the group (1030/1010/1020, etc.).
- Movements in the registers "Cash," "Settlements with Customers/Suppliers," "Mutual Settlements" — the accounting account is taken from the linked group.
In other words, the accuracy of the cash turnover balance sheet directly depends on which account you specified in the group.
7. Printed forms
The catalog item has no printed form of its own — it's a setup object, not a document. What gets printed are the documents that use its account:
- Payment order;
- Cash receipt order (KO-1), Cash payment order (KO-2);
- Cash book (KO-4);
- Register of bank documents / statement (internal printing).
8. Common errors
"Field 'Cash Accounting Account' is not filled in" You created a group but didn't specify an account. Open the item and fill in the account field from the chart of accounts (1030/1010). Without it, documents for the linked register/account won't post.
Non-cash money ends up in 1010 instead of 1030 The group specifies a cash register account, but the group is linked to a bank account. Correct the account in the group to 1030, or link the bank account to another, "non-cash" group. After the change — repost the statements for the period.
"Failed to determine cash accounting account" when posting a statement/order The "Financial Accounting Group" field is not filled in for the register or bank account. Open the account/register card and select a group.
Turnover balance sheet doesn't reconcile for money of different organizations One group with an account is used for several legal entities. Create separate groups for each organization (or specify the organization in the group), then relink the accounts.
Can't delete a group — "Object is in use…" The group is linked to an active bank account or cash register. First change the group in those cards, then mark it for deletion.
9. FAQ
Does the catalog post entries itself? No. It's a setting. Entries are generated by cash documents (statements, CRO, CPO), and the account for them is taken from the group.
Which account should I set for non-cash tenge? 1030 — money in current bank accounts.
And for cash tenge? 1010 — cash in the register in tenge.
Do I need to create a separate group for each bank account? No. One "Non-cash tenge" group with account 1030 serves all tenge current accounts of one organization. Separate groups are needed for a different currency or a different legal entity.
Does this catalog issue e-invoices or e-waybills? No. E-invoices (via the E-Invoice IS) and e-waybills are generated based on sales/receipt and transfer documents, not on cash account settings.
Where is the created group specified afterward? In the bank account or cash register card, the "Financial Accounting Group" field.
What if I changed the account in the group retroactively? Repost the cash documents for the period — otherwise the old entries will remain with the old account.
How do I account for a currency account? Create a "Currency Account" group with account 1020 (or 1030 according to your accounting policy) and link it to the currency bank account. Exchange rate differences are calculated by documents, not by the catalog.
Does the group affect the VAT rate? No. VAT (in 2026 — 16%) is calculated in sales/receipt documents. The catalog is only responsible for the cash account.
Can cash and non-cash be combined into one group? Technically yes, but you shouldn't: then all money would land on one account, and the cash register/bank turnover balance sheet would become unreadable. Keep them separate.
