Scheduled interactions in "Accounting for Kazakhstan": how to set up calls, meetings, and reminders for clients

A client calls and asks you to call back on Thursday afternoon — to discuss a reconciliation statement in which you and he differ by 180,000 ₸. You nod, hang up, and an hour later you no longer remember whom and when you were supposed to call. A week later the client calls himself, irritated. To prevent this, 1C has a document called "Planned Interaction". You record in it: with whom, when, about what — and on Thursday the program will remind you itself. This is your business diary inside 1C, linked to a specific counterparty.

It's important to understand one thing right away: this is not an accounting document. It doesn't make postings, doesn't calculate VAT, doesn't generate an ESF or SNT. It's about organizing your work, not about accounting. So don't look here for accounts 1210 or 6010 — they aren't here and shouldn't be.


1. Purpose

The document records a planned (not yet completed) action with a counterparty or contact person: a call, a meeting, sending a letter, preparing documents. It sets a reminder for you, links the task to the client, and shows it in the "My Tasks" list. When the task is completed — you mark it, and it leaves the active list.


2. Where to find it

The document is part of the "Interactions" subsystem (CRM block). You can open it as follows:

  • Through the interactions list. Open the "Interactions" journal, click "Create" → in the drop-down list select "Planned Interaction".
  • From the counterparty or contact person card. On the card's navigation panel there is the command "Interactions""Create""Planned Interaction". This way the participant will be filled in automatically.
  • Directly via a navigation link. The "Service" menu (or the link icon) → "Go to navigation link" → paste:

2a. How to find out your release

Menu "Help""About the program". In the window that opens you will see two lines: the platform version (for example, 1C:Enterprise 8.3.24.xxxx) and the configuration version — "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". It is this second line that determines whether your program matches this instruction. If the release is older — some commands may be named differently.


3. How to fill it in

Let's go through each field — why it's needed and what happens if you make a mistake.

Subject (required) A short essence of the task: "Call back regarding the reconciliation statement". You'll use it to find the record in the list. You won't be able to save an empty subject — 1C won't let you post. A vague subject ("call") — later you won't understand what it was about.
Planned for (date and time) (required) The moment when the task should take place. The reminder works from it. Set the wrong date — the reminder will pop up at the wrong time, and you'll miss the task.
Duration / until A guideline for the length of the meeting or call. Helps avoid stacking two tasks back to back. Not critical, but when scheduling meetings you won't see overlaps.
Participants (effectively required) A table: the counterparty and/or contact person the interaction is with. Through them the record is visible in the client's card. Leave it empty — the task "hangs in the air", and you won't find it from the counterparty's card.
Author Who planned it. Filled in automatically with the current user. Usually not touched.
Responsible Who is to perform the task. The "My Tasks" filter works from it. Specify someone else's — the task won't appear in your list and you'll forget about it.
Importance High / Normal / Low. Affects sorting and highlighting in the list. Not critical, but "urgent" tasks are better marked as high.
State / "In progress" A mark of the status: in progress, postponed, completed. Don't mark completion — the task will remain hanging as active.
Subject item (basis) A link to a related object: a contract, an order, an invoice. Links the task to a specific deal. Don't fill it in — you'll lose context and will have to search manually.
Comment / content Details: what exactly to discuss, which figures to reconcile, which documents to take. An empty comment — you'll have to recall the essence from memory.
Remind (flag and time) Enables a pop-up reminder N minutes/hours before the deadline. Don't enable it — 1C will stay silent, and you'll have to rely on yourself.

Work procedure, step by step:

  1. Fill in the Subject — briefly and to the point.
  2. Set the date and time in the "Planned for" field.
  3. In the Participants table select the counterparty and contact person.
  4. Check the Responsible person (usually that's you).
  5. If necessary, specify the Subject item — a contract or order.
  6. Enter a Comment with the details.
  7. Enable the reminder if the task is important.
  8. Click "Save" and "Post and close".

4. Worked example

Situation. On September 6, 2026, the client LLP "Astana-Stroy" calls and asks you to call back on Thursday, September 10, at 15:00 — to discuss a reconciliation statement. According to your data, the client's debt (account 1210) is 1,380,000 ₸, while according to his data it is 1,200,000 ₸. The discrepancy of 180,000 ₸ is probably a delivery note not posted by the client. You want not to forget about the call and to prepare the documents.

Filling in the document:

  • Subject: "Reconciliation of settlements, discrepancy 180,000 ₸"
  • Planned for: 10.09.2026, 15:00, duration 30 min
  • Participants: LLP "Astana-Stroy", contact person — chief accountant Asel N.
  • Responsible: you
  • Importance: High
  • Subject item: Supply contract No. 44 dated 12.01.2026
  • Comment: "According to our data, accounts receivable is 1,380,000 ₸; according to the client's data — 1,200,000 ₸. Check delivery note No. 512 for 180,000 ₸. Prepare the reconciliation statement for printing."
  • Remind: 30 minutes before the call.

Saved, posted. On Thursday at 14:30 1C shows the reminder. You call, find out that the client indeed did not post delivery note No. 512. After the conversation you mark the task as completed.

Postings: the document makes no accounting postings — it's an action plan, not a business transaction. The discrepancy of 180,000 ₸ and the VAT amount on it (at a rate of 16% that is 24,827 ₸ within the sum, if the sum is VAT-inclusive) will be sorted out by other documents — the reconciliation statement and, if necessary, a sale with the generation of an ESF. But the "Planned Interaction" itself is only a reminder.


5. Types of operation

The document has no separate "Type of operation" field with postings — it is single in its nature (a planned action). But by the type of planned contact the record is usually used for:

  • a planned phone call;
  • a planned meeting (a visit to the client or a reception at the office);
  • a planned sending of a letter or preparation/transfer of documents;
  • a general reminder task for a counterparty without being tied to a specific communication channel.

When the task takes place, it's convenient to create an "actual" interaction document on its basis — "Phone Call", "Email", "Meeting".


6. What is generated upon posting

Here it's important not to expect accounting movements.

  • Postings on accounts: none. The document affects neither 1210, nor 3310, nor 3130 — none at all.
  • Electronic documents (ESF / SNT): none. The document has nothing to do with the ESF IS.
  • Movements in the information registers of the "Interactions" subsystem: the record appears in the interactions list, is linked to the participants (participants register), to the subject item (link with the contract/order), and receives a review state. It is precisely due to these movements that the record is visible in the counterparty's card and in the "My Tasks" list.
  • Reminder: with the flag enabled, a reminder is set for the user for the specified deadline.

Simply put: "posting" here is the registration of a task in the CRM circuit, not a reflection in accounting.


7. Printed forms

The document has no accounting printed forms of its own — you'll print the reconciliation statement or invoice from the corresponding accounting documents. From the interaction card, auxiliary actions are available: output the content for printing/save as text and print the list of interactions for a period (via the list — "More" → "Output list"). The object contains no full-fledged forms (like those of a delivery note or invoice) due to its purpose.


8. Common mistakes

"The 'Subject' field is not filled in" 1C won't let you save an empty subject. Enter a short essence of the task — that's enough.

"Interaction participants are not specified" You forgot to add the counterparty/contact person to the participants table. Without them the task won't be linked to the client. Add at least one participant.

The reminder did not fire. The cause is usually one of two: the "Remind" flag is not enabled, or the date/time in the "Planned for" field is set incorrectly. Open the document, check the deadline, and enable the reminder.

The task is not visible in "My Tasks". The "Responsible" field has another user. Set yourself — and the record will appear in your list.

A completed task keeps hanging as active. You didn't mark the state. Open the record, set the completion mark (uncheck "In progress" / mark "Reviewed").


9. FAQ

Does the "Planned Interaction" make accounting postings? No. It's a planning document (CRM); it does not generate postings on accounts.

Is an ESF or SNT generated from it? No. The document does not relate to the electronic invoice information system. An ESF is issued for a sale, not for a reminder about a call.

Does the document affect VAT or tax calculation? No. The VAT rate of 16%, IIT, mandatory pension contributions, and other taxes are calculated in accounting documents. Taxes are not involved here.

How to set a reminder so that 1C itself notifies about the call? Enable the "Remind" flag and specify how long before the deadline to warn. At the specified time a reminder will pop up for the responsible user.

Can a task be linked to a specific contract or order? Yes, through the "Subject item" field (basis). Then from the contract's card you'll see the related interactions.

How does "Planned Interaction" differ from "Phone Call" or "Meeting"? Planned is an action that has not yet taken place (a plan for the future). "Phone Call" and "Meeting" record a fact that has already happened. When the task is completed, an actual document is created on its basis.

10. Related documents

What it is entered on the basis of:

  • Counterparty / Contact person — from the card, with automatic filling in of the participant.
  • Contract, Customer/Supplier Order, Invoice — as the subject item (basis) of the interaction.
  • Another interaction — for example, after an incoming letter you plan a return call.

What is entered on its basis (after completing the task):

  • Phone Call — if you called.
  • Email — if you wrote.
  • Meeting — if you held a meeting.
  • And further — already accounting documents (reconciliation statement, sale, invoice for payment), if a business transaction arises as a result of the interaction.

How to find out your release

Menu "Help""About the program": there the "1C:Enterprise" platform version and the configuration release are indicated. Compare the second line with the one specified below.

The material is prepared for "Accounting for Kazakhstan", edition 3.0, release 3.0.74.2. When switching to a new release, check the relevance of command names.
