Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).
You registered an employee with the "Hiring to organization" document. The HR officer asks: "Attach a scan of the ID card, the application, and the signed employment contract — so that during a State Labor Inspection check or an audit everything is in one place." You don't want to keep these PDFs in a separate folder on the disk, where they are easy to lose or mix up between employees. On the hiring order you click the "Attached files" paperclip and upload the scans right onto the document. It is precisely these attachments that live in the ПриемНаРаботуВОрганизациюПрисоединенныеФайлы catalog.
1. Purpose
This is a service catalog. It stores the files you attached to a specific "Hiring to organization" order: scans of the ID card, the application, the employment contract, the order, certificates. Each entry is one file bound to its owner document. You almost never open this catalog separately, "on its own" — you work with it through the button on the order form.
2. Where to find
The standard path is from the document itself:
- Section "Payroll" → "HR records" → "Hirings to organization".
- Open the required order.
- On the form's navigation panel (on the left or top, depending on the setting) — the "Attached files" link or the paperclip icon on the command bar.
- The list of this order's files opens — here you add, open, edit, and delete attachments.
You can open the whole catalog in its entirety (for administration) via "All functions" or by a navigation link. Menu "Tools" → "Go to navigation link" (or the go-to-link button), paste:
e1cib/list/Справочник.ПриемНаРаботуВОрганизациюПрисоединенныеФайлы
A list not bound to a specific order is rarely needed — for example, to find "orphaned" files or estimate the storage volume.
2a. How to find out your release
"Help" → "About" (or the question mark icon in the top right corner). In the window that opens — the platform version (for example, 8.3.25.x) and the configuration release of "Accounting for Kazakhstan", a line like 3.0.74.2. Compare it with the first line of this guide: the interface and the set of fields may differ between releases.
3. How to fill in
As a rule you do not create a separate entry by hand via "Create" — a file is added by uploading. The fields are filled in automatically, but you need to understand them.
| Field | What it is for and what happens on error |
|---|---|
| Owner (required, filled in automatically) | A reference to the "Hiring" order the file relates to. It is by this reference that the file is visible on the document form. You don't touch it manually — if you detach it from the owner, the attachment will be "orphaned" and disappear from the order. |
| Name (required) | A clear file name without the extension. By default it is taken from the name of the uploaded file. Set it meaningfully — "ID_Akhmetov", not "scan001": otherwise in half a year you won't find the needed document in a list of a dozen attachments. |
| Extension | The file type (pdf, jpg, docx). It is substituted automatically on upload. It determines which program the file will open in. |
| Storage / File storage volume | Where the file physically resides: inside the information database or in a volume on a disk/network resource. Set by the administrator in the file handling settings. If volumes are configured but the disk is unavailable — the file won't open. |
| Author | Who uploaded the file. Set automatically by the current user. Needed to understand who is responsible for the attachment. |
| Creation date / Modification date | Service marks. The modification date is updated with each save of a new version. |
| Size | The file volume. Check it if the database is "swelling": heavy scans are better stored in volumes rather than inside the database. |
| Signed with digital signature | A flag that the file is certified with an electronic signature. After signing, the file cannot be edited without removing the signature. |
| Encrypted | An encryption flag. An encrypted file cannot be opened without a certificate. |
| Being edited (locked) | Who is currently holding the file "in editing". While the mark is set, another user cannot change the file — only open it for viewing. |
The procedure for adding a file:
- On the order form open "Attached files".
- Click "Add" → "From a file on disk" (or drag the file with the mouse into the window, or "From scanner" if configured).
- Select the file, and if necessary correct the Name.
- The file is uploaded — the entry is created automatically. On a double click it opens for viewing.
4. Worked example
Situation. On September 4, 2026 you hired A.A. Akhmetov for the position of manager with a salary of 340,000 ₸. You drew up the "Hiring to organization" order. Three documents need to be attached to it.
Your actions:
- You opened the order, clicked the "Attached files" paperclip.
- Added:
Удостоверение_Ахметов.pdf— 1.2 MB;Заявление_о_приёме.jpg— 0.8 MB;Трудовой_договор_№45.pdf— 0.5 MB.
- The employment contract was signed with the manager's digital signature right in 1C: the file gained the "Signed with digital signature" flag.
Result: in the ПриемНаРаботуВОрганизациюПрисоединенныеФайлы catalog three entries appeared, each with Owner = Akhmetov's hiring order.
Why there are no postings and VAT here. This is fundamental: the attached files catalog does not participate in accounting or tax records. It makes no account movements, does not calculate taxes, and does not affect the month-end close.
Accounting and taxes "come to life" later — when you accrue Akhmetov's salary with the "Payroll accrual" document. That is where, based on the hiring data, the amounts and postings appear. For clarity, here is how salary is calculated for a full September 2026 with a salary of 340,000 ₸ (Kazakhstan rates 2026: personal income tax deduction — 30 MCI, MCI = 4,325 ₸; mandatory pension contributions 10%; mandatory social health insurance contributions 2%; personal income tax 10%):
| Indicator | Calculation | Amount, ₸ |
|---|---|---|
| Accrued (salary) | — | 340,000 |
| MPC (10%) | 340,000 × 10% | 34,000 |
| MSHIC (2%) | 340,000 × 2% | 6,800 |
| PIT deduction | 30 × 4,325 | 129,750 |
| PIT taxable income | 340,000 − 34,000 − 6,800 − 129,750 | 169,450 |
| PIT (10%) | 169,450 × 10% | 16,945 |
| To be paid | 340,000 − 34,000 − 6,800 − 16,945 | 282,255 |
And only these amounts will produce postings in the records (Dr 7210/8410 Cr 3350 — accrual; Dr 3350 Cr 3120 — PIT; Dr 3350 Cr 3220 — MPC and MSHIC, etc.). The attached files themselves have nothing to do with these movements — they merely store the supporting scans of the order.
5. Operation types
This catalog has no "operation types" in the sense that documents have them. It is not a document but a file store. The available actions on an entry:
- Add a file (from disk, by dragging, from a scanner);
- Open / Open for editing (the file is locked with the "Locked" flag);
- Finish editing (save as a new version and release the lock);
- Cancel editing;
- Sign with digital signature / Verify signature / Save together with signature;
- Encrypt / Decrypt;
- Save a copy to disk;
- View versions (if version history is maintained);
- Mark for deletion.
6. What is generated
Here too it is important not to imagine anything extra:
- There are no postings. The catalog makes no account movements (neither 1210, nor 3310, nor 3130 — none).
- No ESF and SNT are generated. Electronic invoices and waybills have nothing to do with the attached files of the hiring order — it is an HR document, not a sale.
- There are no movements in the accounting registers.
What actually happens when a file is saved:
- an entry is created in the catalog bound to the owner order;
- the file itself is written either into the information database or into a storage volume on the disk/server (per the setting);
- on re-editing a new version of the file is created (if version storage is enabled), the old one remains in the history;
- the full-text search index is updated — the file is then found via the general search;
- on signing — the electronic signature is saved together with the file.
7. Printed forms
The attached files catalog has no printed forms of its own. You work with the content of the files themselves:
- double click — open the file in the associated program (PDF — in a viewer, docx — in Word) and print from there;
- "Save as…" — export a copy of the file to disk;
- printing the hiring order itself — that is already a printed form of the owner document (the unified order form), not of the file catalog.
8. Common mistakes
"The file is locked for editing by user …" Someone opened the file for editing and did not close it (or you yourself — from another session). Ask the user to click "Finish editing". If the person is unavailable, the administrator can release the lock via "Release locked files" in the file handling settings.
"File not found in the storage volume" / "Failed to retrieve the file". The files are stored in a volume on the disk, but the path has become unavailable (network, a renamed folder, access rights). Check the volume settings: "Administration" → "File handling settings" → "File storage volumes" and the availability of the directory.
"Maximum file size exceeded". The uploaded scan is larger than the limit from the settings. Reduce the scan resolution or increase the limit in the "File handling settings".
The file does not open for editing, only for viewing. The file is signed with a digital signature or encrypted. To change it — first remove the signature (the signature will become invalid) or decrypt the file with the certificate.
After uploading the file it is not visible on the order. Most likely you added the file to the wrong document or lost the binding to the Owner. Open the file and check the "Owner" field — it should point to the required hiring order.
9. FAQ
How do I attach a scan of an ID card to a hiring order? Open the "Hiring to organization" order, click "Attached files" (the paperclip), then "Add" → "From a file on disk" and select the scan. The file will immediately bind to this order.
Does this catalog make postings or calculate taxes? No. It is a service file store. Postings and the calculation of PIT, MPC, MSHIC, social contributions, and social tax are done by the payroll accrual document, not by the attached files.
Where are the uploaded files physically stored? Either inside the information database or in a storage volume on the disk/server — it depends on the settings in the "Administration" → "File handling settings" section. For large volumes, volumes are recommended so as not to bloat the database.
Can an attached file be signed with a digital signature right in 1C? Yes. Select the file and choose "Sign with digital signature". After signing the file becomes available for viewing only, and it gains the "Signed with digital signature" flag. The signature can be verified and saved together with the file.
What are "file versions" and what are they for? If version storage is enabled, on each save of a changed file the old copy remains in the history. Through "Versions" you will see who changed the file and when, and if necessary revert to the previous revision.
Why does the file open read-only? It is either locked by another user (someone is editing), or signed with a digital signature / encrypted. Release the lock ("Finish editing"), remove the signature, or decrypt it — then editing will become available.
Can the catalog be opened without the order document?
Technically yes — via the navigation link e1cib/list/Справочник.ПриемНаРаботуВОрганизациюПрисоединенныеФайлы or through "All functions". But in practice this is only needed by the administrator; ordinary work is through the button on the order form.
Will the file be deleted if the hiring order itself is marked for deletion? The attached files are subordinate to the owner order. When the order is deleted via "Deletion of marked objects", its attachments are deleted too. That is why it makes sense to additionally save important scans as a copy on disk.
Do the attached files have a printed form? Of their own — no. You open and print the file itself in its program. The unified printed form of the order is printed by the "Hiring" document, not by the file catalog.
Are ESF or SNT generated from these files? No. ESF (ESF IS) and SNT relate to the sale and transfer of goods/services, not to HR orders. The attached files of the hiring order do not create electronic documents.
10. Related documents
- Owner document: "Hiring to organization" (section "Payroll" → "HR records"). It is on its basis that this entry exists — the file is always bound to a specific order.
- Similar file catalogs exist for almost all configuration objects: for employees, for salary accrual and payment documents, for HR transfers and dismissals. The mechanism is one and the same — "Attached files".
- What is entered "on the basis of" these files: nothing. The catalog is not a basis for entering other documents — it only stores attachments.
- The logical continuation for the employee: "Payroll accrual", "Payment sheet", HR transfers — but the data for them is taken from the hiring order, not from its attached files.
How to find out your release
"Help" → "About" — there the version of the 1C:Enterprise platform and the release of the "Accounting for Kazakhstan" configuration are indicated. If your release differs from the one specified below, the location of the "Attached files" button and the set of actions may change slightly.
This guide was prepared for release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).
