Payment order (receipt of funds) in 1C:Accounting for Kazakhstan — complete guide

Money from a customer has landed in your account. You open the bank statement in your client-bank — the payment is there, but it's not yet in 1C: the bank credited the funds, but you haven't managed to post the standard statement document, or the money came in as a single amount across several invoices. Or the other way around: the bank partially executed the payment, and only a portion of the amount arrived, not the whole sum. It is precisely for such cases — when you need to record a specific crediting separately, "one by one," and precisely assign it to the right contract and counterparty — that the "Payment Order (receipt of funds)" is used. Below is how to fill it in so that mutual settlements and the account balance reconcile to the tiyn.

1. Purpose

The document reflects the fact of crediting money to the organization's bank account. It creates a posting to the debit of money and the credit of settlements (with a customer, supplier, on a loan, etc.), moves the bank accounts register and mutual settlements. Essentially it is a "receipt to the current account" processed as a separate order — convenient when there are many crediting entries, they are fractional, or they need to be kept separately from the general statement.

2. Where to find it

Bank and cash desk → Bank → Bank statements — in the statement list form, using the Receipt button you select the required type, and the document is created as a payment order for receipt. A separate list is opened as follows:

  • Menu: Bank and cash desk → Payment orders (receipt) (depending on the interface setup, the item may be inside "Bank statements").

Copy the link, paste it into the go-to window — a list of exactly these documents will open.

2a. How to find out your release

Help → About the program (or the "i" icon in the upper right corner). In the window that opens you can see the platform version (for example, 8.3.24) and the configuration release — a line like "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". The first numbers are the platform, the second are the configuration. If your release is newer or older, the location of individual fields may differ slightly, but the logic remains the same.

3. How to fill it in

You open a new document and go through the fields from top to bottom.

Field Req. Why and what happens on error
Type of operation Determines where the credit of the posting goes (customer, supplier, loan, other). Make a mistake — the money lands on the wrong account, the wrong debt is closed.
Number / Date Date = date of crediting per the bank statement, not the date of the payer's payment order. Set the wrong date — the account balance for a specific day will "shift" and VAT on advances will fall in the wrong period.
Inc. number / Inc. date Number and date of the payer's payment document. Needed for reconciliation and for the payment purpose in printed forms.
Bank account (your own) The account where the money arrived. Affects the accounting account (usually 1030) and the currency. Select the wrong currency — the amount will be recalculated incorrectly.
Amount Exactly the amount credited by the bank. If the bank withheld a fee — the receipt amount is already net of it (process the fee as a separate write-off).
Payer / Counterparty Who the money is from. The debt is matched based on this. An empty field — the document won't post.
Contract Determines which debt is repaid and the settlement currency. The wrong contract — the payment will "hang" as an advance, while the debt under the right contract remains.
Settlement accounting account Usually 1210 (settlements with the customer) when paying for shipped goods, 3510 — if it's an advance. Filled in automatically by the type of operation and contract; check it.
Debt repayment Method of offset: "Automatically," "By document," "Do not repay." "Automatically" closes old debts by FIFO.
Cash flow item Analytics for the cash flow report (CFS form). Without it the document posts, but the CFS line will "hang" without breakdown.
Payment purpose Text from the statement. Helps during reconciliations and in printing.
VAT rate / VAT amount depends Filled in for an advance if VAT needs to be charged on the received advance. In the RK from 2026 the rate is 16 %.

Tip. If more money arrived than the debt — split it: part as payment, part as an advance. Otherwise the entire payment goes as an advance and the customer's "red" debt won't be closed.

4. Worked example with postings

Situation. On September 6, 2026, LLP "Alatau" shipped goods to the customer LLP "Bereke" for 1,160,000 ₸, incl. VAT 16 % — 160,000 ₸ (the goods themselves 1,000,000 ₸). The sale is already posted, and a debt of 1,160,000 ₸ hangs on account 1210. On September 8 the bank credited exactly this amount to the current account (1030).

Filling in the "Payment Order (receipt)":

  • Type of operation — Payment from customer;
  • Date — 08.09.2026;
  • Bank account — current account in tenge (1030);
  • Payer — LLP "Bereke", contract "Supply No. 15";
  • Amount — 1,160,000 ₸;
  • Settlement account — 1210, repayment — Automatically;
  • CFS item — "Proceeds from the sale of goods".

Postings upon posting:

VAT on this operation was already charged by the sale document (Dr 1210 Cr 3130 for 160,000 ₸), so there are no additional VAT movements here.

The "advance" variant. If there had been no shipment yet and this is a prepayment, the settlement account is 3510, and the posting is:

If, under the accounting policy, VAT is charged on the advance, additionally: Dr 3130 Cr 3130 (VAT on the advance) — 160,000 ₸, and an advance e-invoice (ESF) is generated for the advance.

5. Types of operation

In the document header one of the options is selected — the credit of the posting and the set of available fields depend on it:

  • Payment from customer — Cr 1210 / 3510 (advance);
  • Refund from supplier — Cr 1610 (advance issued) or 3310;
  • Settlements on credits and loans — receipt of a loan/credit, Cr 3010 / 4010;
  • Other settlements with counterparties — Cr 1210 / 3390, etc.;
  • Receipt from the sale of foreign currency — crediting of tenge from the sale of currency;
  • Collection of funds — transfer of cash proceeds from the cash desk to the account, Cr 1020 (through 1030 "Money in transit");
  • Other receipt — arbitrary correspondence, you specify the account manually.

6. What is generated upon posting

Accounting postings — to the debit of the money account (usually 1030) and the credit of the settlement account according to the type of operation (see the example).

Register movements:

  • the funds / bank accounts accounting register — the account balance increases;
  • the mutual settlements with counterparties register — the debt is repaid or the advance grows;
  • the cash flow register — a line for the CFS report by the selected item;
  • for an advance with VAT — movements in the VAT registers and the generation of an advance ESF.

Electronic documents. The payment order itself is not uploaded to the ESF IS. But if it's an advance, an advance ESF is issued for it in the ESF module, and upon subsequent shipment — the final ESF (and a consignment note (SNT) for goods subject to traceability). The order only records the money — the shipping documents are generated by the sale.

7. Printed forms

The document reflects a crediting already made by the bank, so it does not itself generate any "primary document" for signing. Of what is available:

  • Payment order (the form of the crediting itself, if needed for the archive);
  • Accounting statement for the document's movements;
  • Register / card — via the reports "Analysis of account 1030," "Card of account 1210".

The main primary document for this operation is the bank statement, which the bank issues.

8. Common mistakes

"The field 'Cash flow item' is not filled in" The document may post, but the CFS report will be incomplete. Fill in the item in the footer of the document — select a suitable one from the directory (for example, "Proceeds from the sale of goods").

"The values of the attribute 'Counterparty contract' are not filled in" Without a contract, the program does not know which debt to repay. Select a contract with the required type of settlements (with a customer / with a supplier) and the same currency as the account.

"The bank account currency does not match the contract currency" Occurs when the account is in tenge and the contract is in a foreign currency (or vice versa). Bring the contract and account currencies into alignment or process the operation through a foreign currency account with an exchange rate.

The payment went as an advance, although there was a debt. The reason is "Debt repayment: Do not repay" or the wrong contract/a date earlier than the shipment. Set "Automatically" or "By document" and specify the sale document.

Duplication of a receipt. One crediting is posted both by a payment order and by the "Receipt to the current account" document from the statement. Record receipts using only one method — either orders or statement loading, but not both at once.

9. FAQ

1. How does a payment order differ from a "Receipt to the current account"? Essentially it is one and the same operation of receiving money. "Receipt to the current account" is convenient to enter from a general bank statement, while a payment order is a separate document for a specific crediting (for example, when a payment is partially executed by the bank). The postings and registers are the same.

2. Which date to set — of the payment order or of the crediting? The date of crediting per the bank statement. The account balance changes based on it. Enter the date and number of the payer's payment order in "Inc. number / Inc. date".

6. How to close the customer's debt automatically? Repayment method — Automatically (will close the earliest debts) or By document (you specify a specific sale). Make sure the contract matches the shipment contract.

7. A loan came from a founder or a bank — with which type of operation? Settlements on credits and loans, credit of account 3010/4010 (short-term/long-term loans) depending on the term.

8. Does the document generate an ESF or SNT? The order itself — no. It moves money and mutual settlements. An advance ESF is issued for an advance, and the final ESF and SNT — upon the sale.

9. Can one order accept payment under several contracts? By one document — under one contract. If a single amount arrived for several contracts, post it with separate orders or use "Receipt to the current account" with a breakdown by lines.

10. Why doesn't the receipt amount affect VAT? Because VAT on the sale has already been charged by the shipment document (Dr 1210 Cr 3130). The payment only closes the debt and does not generate new VAT — except in the case of an advance with VAT charging.
