You send acts, invoices, and electronic invoice (ESF) correspondence directly from 1C, and at one moment the "Mail" section turns into a mess: hundreds of emails from dozens of counterparties are piled up in "Inbox." The accountant asks, "Send me the correspondence with LLP 'Astra' regarding the supply for March" — and you scroll through the feed manually for ten minutes. This is where the directory "Email Folders" opens up: it allows you to organize emails into your own shelves — "Suppliers," "Tax," "Bank," "Primary Documents for Signature" — and find what you need in seconds.

First of all, to avoid false expectations: this is a service directory of the built-in email client. It does not create accounting entries, does not issue ESF and CIT, does not generate printed forms, and does not affect taxes. Its task is to structure the storage of emails. Therefore, below, instead of "entries on numbers," there will be an honest analysis of what actually happens when working with folders.


1. Purpose

The directory stores folders for sorting emails in the built-in 1C mail. Folders can be predefined (Inbox, Sent, Drafts, Deleted) and manually created by you. Hierarchy is supported — you can create nested folders within a folder.


2. Where to find

There is no separate menu item "Email Folders" in the interface — folders are managed from within the email client. Two working paths:

  • Through mail: section "Main" (or the section panel where mail is displayed) → "Mail" → in the left part of the email window, right-click on the folder list → "Create Folder" / "Edit".
  • Through the directory list directly — via the navigation link. Menu "Service" → "Functions for Technical Specialist" (if the mode is enabled) or navigation bar: paste the link and click "Go to Navigation Link":

The list will open as a flat directory with all folders from all accounts — this is convenient for control and cleaning, but it is rarely used in everyday life.


2a. How to know your release

"Help" → "About Program" (or the "i" icon in the upper right corner). In the opened window, you will see two lines: platform version (for example, 8.3.24) and configuration release "Accounting for Kazakhstan" — for example, 3.0.74.2. It is the second number that is important: the instruction is written for it.


3. How to fill

There are few fields — the directory is simple. Let's break down each one.

Field Mandatory Purpose and what happens in case of error
Name Yes The name of the folder that you see in the email tree: "Suppliers," "Clients," "State Revenues." It cannot be saved empty. If named unclearly ("folder1"), you won't find the needed branch later.
Email Account (Owner) Yes The mailbox to which the folder is linked. The folder lives within a specific account. If you create a folder under the wrong mailbox, it will not appear where you expect the emails. Usually, it is automatically filled based on the current account.
Parent No The folder into which this one is nested. Leave it empty for a top-level folder. Fill it in to achieve nesting (for example, "Suppliers" → "Astra LLP"). An error here is not critical, but deep nesting is inconvenient for navigation.
Predefined Only for system folders A service attribute for the folders Inbox/Sent/Drafts/Deleted. Your folders do not receive this attribute. It is not manually altered.

Order of actions when creating your folder:

  1. Open the "Mail" section, select the desired account.
  2. Right-click on the folder tree → "Create Folder" (or create a nested one — standing on the parent).
  3. Enter Name.
  4. If necessary, specify Parent for nesting.
  5. "Save and Close".

After that, emails in the new folder are moved manually (by dragging or using the "Move to Folder" command) or automatic sorting is set up through mail processing rules if they are established in the account.


4. Analyzed Example

This object has no entries — I will show a real scenario with specifics, for which the directory exists.

Situation. LLP "Astra" (BIN 000140000000) — your goods supplier. Over the month, 18 emails arrived: contract, specifications, invoices totaling 1,160,000 ₸ (including VAT 16% — 160,000 ₸ from a base of 1,000,000 ₸), notifications of issued ESF, and reconciliation acts. Everything is mixed in the "Inbox" with bank and tax emails.

What you do:

  1. Create a top-level folder "Suppliers" under your working mailbox.
  2. Within it — a nested "Astra LLP" (field "Parent" = "Suppliers").
  3. Select all 18 emails from astra@... and use the "Move to Folder" command to send them to "Astra LLP."

Result. A week later, the accountant asks to reconcile the invoice for 1,160,000 ₸ with the recorded "Goods Receipt." You open "Mail → Suppliers → Astra LLP," find the invoice email in 5 seconds, reconcile the VAT amount (160,000 ₸ at a rate of 16%) and the attachment with the specification. The goods receipt itself is reflected as a separate document "Receipt (act, invoice)" with entries Dr 1330 Cr 3310 — 1,000,000 ₸ and Dr 1420 Cr 3310 — 160,000 ₸ (VAT to be credited), while the folder simply keeps the primary correspondence at hand.

The key thought: the directory saves time on searching, not money in accounting. But the accountant's time during the reporting period is expensive.


5. Types of Operations

There are no separate "types of operations," as with documents, in the directory. There are types of folders:

  • Predefined system: Inbox, Sent, Drafts, Deleted (sometimes Outgoing/Sending). They are created automatically when setting up the account, and should not be deleted or renamed.
  • User-defined: any of your folders — by counterparties, by topics, by status ("For Signature," "Processed").
  • Nested: a user-defined folder with a filled "Parent."

6. What is formed when working

Honestly and straightforward:

  • Entries — are not formed. The directory is not accounting.
  • ESF / CIT — are not issued. Electronic documents create sales/receipt documents and the ESF module, not email folders.
  • Printed forms — none.
  • Movements in registers — the folder is only recorded in the directory; when moving an email, the "Folder" attribute of the "Electronic Emails" directory object changes. This does not affect any tax or mutual settlement registers.

The only "result of the entry" here is an organized structure of emails.


7. Printed Forms

The directory has no printed forms. You can print the email itself (from the email form — "Print"), but not the folder.


8. Common Errors

"The field 'Name' is not filled" You clicked "Save" without entering a name. Enter the folder name and try again.

The folder is created, but emails are not visible in it / it is not where expected The folder is linked to the wrong email account. Check the owner of the folder: in the list via the link e1cib/list/Directory.EmailFolders, check the column with the email account. If there are multiple mailboxes, create the folder while standing on the correct one.

"Failed to perform operation with the folder on the server (IMAP)" For IMAP mailboxes, the folder structure is synchronized with the mail server. If the server is unavailable or the account does not have permission to create folders, 1C will not create it. Check the account settings (Mail → "Configure Account") and the connection to the server; for POP3, there is no such dependency.

Cannot delete a predefined folder Inbox/Sent/Deleted cannot be deleted — this is a protection. Only delete your folders. Before deleting, move emails out of them; otherwise, you will lose quick access to correspondence (the emails are usually moved when the folder is deleted, but you will destroy the structure).

Duplicates of folders with the same name Nothing prevents you from creating two folders "Clients" under different mailboxes or at different levels. This is not a program error, but it confuses. Maintain a unified naming logic.


9. FAQ

Does this directory create entries or affect VAT? No. This is a service directory of the mail client. It does not affect accounting, VAT (in the RK in 2026 the rate is 16%), individual income tax, social contributions, and other calculations.

Folders do not "generate based on" and do not create documents. But they are closely related to the mail circuit:

  • Directory "Electronic Emails" (Incoming/Outgoing emails) — the emails themselves that you sort into folders. The email's attribute "Folder" refers to this directory.
  • Directory "Email Accounts" — the owner of the folders; here the mailbox, IMAP/POP3, SMTP, and processing rules are configured.
  • Documents from which emails are sent: "Invoice," "Sale (act, invoice)," "Reconciliation Act," "Receipt (act, invoice)" — from their form, you can send a printed form as an email, and this email will then lie in sent, from where it is convenient to move to a thematic folder.

In summary: the directory is small, but during the peak of reporting, it saves you dozens of minutes searching for primary documents. Set up folders for suppliers, clients, and government agencies once — and correspondence will stop getting lost.


How to know your release

"Help" → "About Program" — it indicates the version of the 1C:Enterprise platform and the release of the "Accounting for Kazakhstan" configuration (you should have 3.0.74.2 or higher). If the release is lower — the appearance of the email forms may differ slightly.
