The counterparty sent a reconciliation act, the amounts do not match, and you urgently need to call their accountant. But in the database, there is only the name of the LLP and BIN. No phone number, no email, no last name to contact. You dig through old correspondence, wasting half an hour. To prevent this from happening again, in 1C there are "Contact Persons" — here you store once who is responsible for what at the counterparty: full name, position, phone, email. Then this data is inserted into emails and is available to anyone who opens the counterparty's card.
To be honest, so you don't search for unnecessary things: "Contact Persons" is not a primary document. It does not create accounting entries, does not calculate VAT, does not generate electronic invoices (ESF) or tax return forms. This is a subordinate reference directory of contacts linked to the counterparty. Below is how to work with it in a user-friendly way.
1. Purpose
To store information about real people on the counterparty's side: who is the director, who is the accountant, who is the manager according to your contract. Each entry is linked to a specific counterparty (owner) and stores contact information — phone, email, address. The data is used when sending emails from 1C and simply serves as a reference for "who to call".
2. Where to find
The main way is through the counterparty card:
Directories → Buyers and Sellers → Counterparties → open the required counterparty → section (tab) "Contact Persons" → Create.
There is usually no separate "Contact Persons" item in the main menu — the object is subordinate to the counterparty. To open the entire list of contact persons in the database at once, insert the navigation link in "Service → Go to navigation link" (or in the address bar of the window):

A quick way to add a contact: open the counterparty card → block "Contact Persons" → Create → fill in → Save and close. There is nothing to post (as a document) here — the entry is simply saved.
2a. How to find out your release
Main menu (Service and settings, icon ≡ in the upper right corner) → Help → About the program. In the opened window, you will see two lines: "Platform" (for example, 8.3.24.xxxx) and "Configuration" — there is the release, for example Accounting for Kazakhstan, version 3.0 (3.0.74.2). If your number differs, some fields and buttons may look different — focus on the meaning, not the exact text.
3. How to fill in — by fields

The order is simple: Full Name → check the owner → role → phone and email → Save and close. Everything else — as needed.
4. Analyzed example
Situation. You are working with the supplier LLP "Astana Supply" (BIN 000000000000). The contract is managed by their manager, but the reconciliation acts are signed by the chief accountant. You create two contacts.

What will happen after "Save and close". In the card of LLP "Astana Supply" in the block "Contact Persons," both names will appear. When you send this supplier a reconciliation act directly from 1C, the program will suggest the address buh@astanasnab.kz — you won't have to remember the email.
Entries? There are none. This is fundamental: the contact directory does not participate in accounting. No debit/credit entries in accounts (1210, 3310, 6010, etc.), no VAT and tax calculations are generated by the contact person entry. If someone "promised" you entries from a contact person — this is a mistake: documents of sale/reception are responsible for money and VAT, not the directory of people.
5. Types of operations
The directory does not have "types of operations" like a document. Entries differ by role of the contact person: director/manager, accountant, manager, procurement officer, warehouse keeper, HR specialist, and any others you create yourself. The role is a way to categorize contacts by functions, not a separate mode of operation for the object.
6. What is generated upon saving
- No accounting entries. No movements are created in the accounting register.
- Entries in the contact information register. Phone, email, and address are saved in the service registers of contact information — from there, 1C takes them for emails and printing.
- No electronic documents are generated. Neither electronic invoices (ESF) nor tax return forms are issued from here — these are done by documents of sale/movement, not the contact card.
- Connection with the owner. The entry is "registered" under the counterparty and is shown in their card.
7. Print forms
The contact person does not have its own standard print forms — it is a directory, not a blank. Its data gets into the print of other objects: email and full name of the contact can be inserted when sending an invoice, act, reconciliation act by email, and the address — on the envelope/label, if such processing is used in your database. Do not expect a separate "Print" button in the contact card itself.
8. Common mistakes
"The field 'Name' is not filled in" — you clicked "Save" without entering the full name. Enter the last name and first name.
"The field 'Owner' is not filled in" — the contact was opened not from the counterparty card, but from the general list. Specify the counterparty manually in the "Owner" field, otherwise the entry will hang as "nobody's."
The contact was created, but it is not in the counterparty's card. Almost always — the wrong owner. Open the contact, check the "Owner" field: it should show the correct counterparty, not a namesake.
Duplicates of the same person. The same accountant is entered three times with different phone numbers. Keep one entry, mark the extras for deletion (RMB → Mark for deletion) and clean up through "Administration → Deletion of marked objects".
The dismissed person was deleted, but there were references to them in emails/tasks. 1C will indicate that the object is in use and will not allow deletion. Correctly — do not delete, but mark with the "Invalid" flag.
The email did not go to the contact. Check the email for typos and ensure it is recorded as "Email" type, not as arbitrary text in the comment.

- Counterparties (
Directories → Buyers and Sellers → Counterparties) — the owner of the contact person. The contact is always entered "inside" the counterparty and does not exist without it. - Individuals — you can refer to this if the contact is also an individual in your database (for example, your employee as a contact for the contract).
- Documents of sale/reception, invoices, reconciliation acts — these are the ones that use contacts for sending via email and printing. The contacts themselves do not affect the amounts and entries of these documents.
- Counterparty contracts — it is convenient to indicate in the comment to the contact which contract the person is a signatory for.
How to find out your release
≡ (Main menu) → Help → About the program. The line "Configuration" will show version 3.0 and the release number; the line "Platform" — the version of 1C:Enterprise. Compare them if the field names differ slightly.
