Verified in release 3.0.74.2 of “Accounting for Kazakhstan” (version 3.0).

A counterparty has sent you an acceptance certificate through an EDI operator. You open the incoming document, but the amount does not match the contract: the document specifies 16% VAT, although the supply was documented without VAT. Or the shipment date in the SNT is yesterday, although the goods have not yet arrived. Do not sign the document before reconciling it. For precisely such cases, 1C has a separate object: Incoming EDI Electronic Document. Here, the accountant can see what the supplier has sent, reconcile the data with the contract and the actual supply, and then accept the document for accounting or reject it. Below, we explain how to work with this object to avoid discrepancies in VAT, settlements and inventory balances.

1. Purpose

This is a record of an incoming electronic document received from a counterparty through the electronic document interchange system, the E-invoicing IS or the SNT exchange service. It allows you to view the contents of an E-invoice, SNT, acceptance certificate or delivery note, reconcile the details and amounts, and then accept the document for accounting by creating a receipt document based on it, or reject it with a reason.

The record helps separate the stage of receiving an electronic document from the stage of recording the business transaction in accounting. First, the accountant checks the sender’s details, the recipient organization, dates, items, quantities, prices and VAT. The corresponding accounting document is then created.

2. Where to find it

Menu path: Sales and Purchases section → EDI group → Incoming Documents. The list may also be available through the Current EDI Tasks panel on the home page.

Another option is to open Sending and Receiving Electronic Documents, click Send and Receive and go to the downloaded incoming documents.

1C navigation link: e1cib/list/Документ.ЭлектронныйДокументВходящийЭДОК. To use it, open the Tools menu → Go to Navigation Link, paste the string and click Go.

The link opens the list of incoming EDI electronic documents in the current infobase.

2a. How to find your release

Open the Help menu → About. The window will show:

  • Platform version — for example, 8.3.24;

  • Configuration — “Accounting for Kazakhstan,” version 3.0, release 3.0.74.2.

The current “Accounting for Kazakhstan” release line is 3.0.74.x. If another release from this line is installed, the names of individual commands and fields may differ, but the general procedure for processing an incoming document remains the same.

3. How to complete it

An incoming document is normally not created manually: it is received from the counterparty through the configured exchange channel. Before accepting it, the accountant checks the received information and matches it with objects in the infobase.

Counterparty — required field. The counterparty is identified by the sender’s BIN or IIN. If the corresponding directory item is not found, the program will offer to create it or perform matching. Incorrect matching will result in the payable being recorded under another counterparty record.

Contract. Select the contract corresponding to the actual supply and settlement terms. Check the organization, counterparty, currency and contract type. If another contract is selected, the payable may be allocated to incorrect settlement analytics.

Document date. This is the date specified by the sender. It must be reconciled with the dates of the supply, acceptance certificate, delivery note, SNT and E-invoice. Do not confuse the document date with the date on which it was loaded into the infobase.

Document number. It is used for searching, matching and duplicate download control. When creating a receipt, make sure that an accounting document has not already been created for this number and counterparty.

Electronic document type. The record may contain an E-invoice, SNT, delivery note, certificate of completed work or services rendered, or another supported format. The available processing scenario and the accounting document that can be created based on it depend on the document type.

Organization — required field. This is the recipient organization. If records are maintained for several legal entities in the infobase, match the recipient’s BIN with the organization selected in the record.

Tabular section. Check the names of goods and services, units of measurement, quantities, prices and total amounts. If the sender’s items have not been matched with your items, perform the matching before creating the receipt.

VAT rate and amount. In 2026, the standard VAT rate in the RK is 16%. The rate should be checked with regard to the substance of the transaction and the electronic document details. For a taxable supply with a base of 500 000 ₸, VAT at 16% amounts to 80 000 ₸, and the total amount is 580 000 ₸.

Accounts. When creating a receipt for the example below, account 1330 is used for goods, 3310 for settlements with the supplier and 1420 for recoverable VAT. Before posting, check the accounts and analytics directly in the accounting document created.

Status. The status shows the document processing stage, such as receipt, verification, acceptance or rejection. The status and linked objects can be used to determine whether a receipt has already been created.

Procedure:

  1. Open the incoming document from the list.

  2. Click View to see the contents and visual representation of the E-invoice, SNT, acceptance certificate or delivery note.

  3. Reconcile the counterparty, organization, contract, dates, items, quantities, prices, amount and VAT with the source documents and actual supply.

  4. If the information is correct, run the Approve or Accept command, then create an accounting document. For the receipt of goods, this may be Receipt of Inventory and Services.

  5. Check the accounts, warehouse, department, tax parameters and analytics of the receipt created, and then post it.

  6. If there is a discrepancy, reject the electronic document and specify the exact reason: incorrect price, quantity, recipient, date, VAT rate or contract details.

  7. If the exchange format requires a countersignature, sign the notification with a digital signature and send it through the configured EDI channel.

4. Worked example with accounting entries

Situation. Astana-Trade LLP, which is registered for VAT, received an electronic E-invoice from its supplier Snab-KZ LLP for a batch of goods.

Data from the E-invoice:

  • goods — VVG cable, 1 000 m;

  • price excluding VAT — 500 ₸ per metre;

  • cost excluding VAT — 500 000 ₸;

  • VAT 16% — 80 000 ₸;

  • total payable — 580 000 ₸;

  • document date — 06.09.2026.

The accountant opens the incoming document and reconciles it with the contract and actual supply. The quantity and price match, the organization and counterparty are correct, and the VAT amount is calculated as 500 000 × 16% = 80 000 ₸. After accepting the incoming document, the accountant creates a Receipt of Inventory and Services.

Receipt entries:

  • Dr 1330 / Cr 3310 — 500 000 ₸, the cable is recognized at its cost excluding VAT;

  • Dr 1420 / Cr 3310 — 80 000 ₸, recoverable VAT at 16% is recognized.

The total payable to the supplier in account 3310 is 580 000 ₸.

Payment to the supplier: Dr 3310 / Cr 1030 — 580 000 ₸, payment is transferred from the current bank account.

VAT data in the amount of 80 000 ₸ is used when preparing tax records and the VAT return, form 300.00. If the incoming document specifies a rate that does not correspond to the transaction, the document should be rejected before the receipt is created, and the supplier should be asked to issue a correct electronic document.

5. Transaction types

The processing procedure depends on the type of electronic document received:

  • E-invoice contains electronic invoice information on the sale of goods, work or services. Before acceptance, the parties to the transaction, turnover, VAT rate and VAT amount are reconciled;

  • SNT accompanies the movement of goods. The accountant reconciles it with the actual receipt, items and quantities;

  • Certificate of completed work or services rendered is reconciled with the contract, period, substance and cost of the work or services;

  • Delivery note is reconciled with the actual receipt of goods, warehouse documents and contract terms;

  • Receipt or rejection notification is used as a response within the electronic exchange.

If an error is found, the incoming document is rejected with a reason. If a counterparty sends a cancellation of a previously issued document, the accountant checks the linked accounting document and records the correction in accordance with the actual business transaction.

6. What is generated upon posting

After accepting the incoming document, the accountant creates a linked receipt document. In this example, posting the receipt generates:

  • Dr 1330 / Cr 3310 — the cost of goods received excluding VAT;

  • Dr 1420 / Cr 3310 — the recoverable VAT amount at 16%;

  • for services, the relevant expense account provided for by the accounting policy and the purpose of the expenses is selected instead of the goods account.

Related accounting data:

  • Settlements with counterparties — the payable to the supplier is recorded;

  • VAT on purchased goods, work and services — information required for tax accounting is recorded;

  • Goods in warehouses — the receipt is recorded by quantity and value;

  • EDI electronic document statuses — the processing status and link to the accounting document are retained.

When working with an SNT, the exchange system allows the response regarding receipt or rejection provided for by the scenario to be generated. The received E-invoice is linked to the receipt so that the accountant can reconcile the electronic document information with the accounting data.

7. Print forms

The set of available forms depends on the type of incoming document and the accounting document created based on it. The accountant may have access to:

  • visual representation of the E-invoice;

  • visual representation of the SNT;

  • certificate of completed work or services rendered;

  • delivery note for the external issue of inventory;

  • goods receipt note for the receipt document;

  • electronic document record with details and processing history.

Before printing, check which object the form is generated from: the supplier’s original electronic document or the internal receipt document. Their details must correspond to each other.

8. Common errors

“Counterparty contract is not completed.” Select the contract relating to this supply. Check the contract type, currency, organization and counterparty, then try creating the accounting document again.

“Counterparty not found by BIN.” Match the sender with an existing counterparty or create a new record if it genuinely does not exist. Before creating one, search by BIN to avoid duplicating the directory and settlements.

“The VAT rate in the document does not correspond to the transaction data.” In 2026, the standard VAT rate is 16%. Reconcile the rate with the substance of the supply and the supplier’s registration details. If the electronic document was issued incorrectly, reject it and specify the reason.

“The electronic document has already been accepted for accounting.” Open the linked documents or the document hierarchy. If a receipt has already been created, do not create another one on the same basis.

“Failed to decrypt or verify the signature.” Check the validity period of the NCA RK certificate, operation of the cryptographic component, access to the exchange service and the EDI profile settings. After restoring the connection, receive and verify the document again.

“The document date is earlier than the data change prohibition date.” The document relates to a closed period. Process it in accordance with the organization’s established procedure for adjusting closed periods and users’ rights to modify data.

The amount of the incoming document differs from the contract. Compare the quantity, price, discount, amount excluding VAT, VAT rate and total. Do not alter the received electronic original to make it fit the accounting data: if the sender made an error, the document should be rejected.

9. Questions and answers

What VAT rate applies in the RK in 2026? The standard VAT rate is 16%. In the incoming E-invoice, check both the rate itself and the calculation: with a base of 500 000 ₸, the tax amount is 80 000 ₸ and the total is 580 000 ₸.

How does an incoming EDI document differ from “Receipt of Inventory and Services”? The incoming document contains information received from the counterparty and is used for viewing, matching and acceptance. “Receipt of Inventory and Services” is an internal accounting document created after the incoming document has been checked.

Is it mandatory to sign an incoming E-invoice with a digital signature? Actions involving an electronic document are performed according to the scenario of the relevant information system and the configured exchange. If the system requests a countersignature for confirmation, rejection or another response, the accountant signs the outgoing message with a valid digital signature.

Can the document be rejected, and what will the counterparty see? Yes. When rejecting it, specify a clear reason, such as an incorrect price, quantity, recipient or VAT rate. The response is transmitted to the sender through the electronic exchange channel being used.

Why is VAT recorded in account 1420? In this example, account 1420 is used to account for VAT on purchases. The amount of 80 000 ₸ is recorded as a separate entry when the receipt is posted and is used when preparing tax records for the relevant period.

What should be done if a previously accepted E-invoice is cancelled? Match the cancellation with the original E-invoice and the linked receipt. Then correct the accounting data so that the information on the supply, payable and VAT corresponds to the actual transaction.

How can I tell that the document has already been accepted for accounting? Check the status field and the list of linked documents. The document hierarchy should display a link to the receipt created. This helps prevent the same supply from being recorded twice.

The goods under the SNT have already arrived, but there is no E-invoice yet. What should be done? Record the actual receipt of the goods based on the available source data and the procedure adopted by the organization. Record the E-invoice and VAT information after the relevant electronic document has been received and processed.

The supplier is not registered for VAT but has charged tax. What should be done? Do not accept incorrect information for accounting. Reject the document with a specific reason and request that the transaction be documented correctly.

Where can I view all incoming documents for a period? Open Sales and Purchases → EDI → Incoming Documents and set a filter by date, organization, counterparty or status. You can also use the navigation link e1cib/list/Документ.ЭлектронныйДокументВходящийЭДОК.

10. Related documents

The following may be created based on an accepted incoming document:

  • Receipt of Inventory and Services — to record purchased goods, work and services;

  • Receipt of Additional Expenses — if the document relates to transportation or other expenses included in the accounting for the purchase;

  • Receipt or Rejection Notification — to respond to the counterparty through the exchange system.

Related objects:

  • Sending and Receiving Electronic Documents — processing for exchanging and loading documents;

  • EDI Settings and Exchange Profiles — connection parameters for the information system or operator being used;

  • Write-off from Current Account — the supplier payment document which, in the example, records Dr 3310 / Cr 1030 in the amount of 580 000 ₸;

  • VAT Return, form 300.00 — tax reporting prepared using the recorded information on purchases and VAT.

Author’s conclusion

Do not accept incoming electronic documents without a substantive review. The incoming EDI document record in 1C allows you to reconcile the items, quantities, prices, amount, 16% VAT rate, parties’ details and contract with the actual transaction. After reconciliation, create the accounting document, check its accounts and analytics, and only then post it. This procedure reduces the risk of discrepancies in settlements, distorted inventory balances, duplicate recording of a supply and incorrect VAT accounting. A document containing incorrect information should be rejected, with the sender given a specific reason.

Frequently asked questions

What VAT rate applies in the RK in 2026?
The standard rate is 16%. The 12% value is outdated. Check that the incoming E-invoice shows VAT at 16%; otherwise, you will understate recoverable VAT.
How does an incoming EDI document differ from a Receipt of Inventory?
An incoming EDI document is what the counterparty sent through the operator: you view and reconcile it. A Receipt of Inventory is your accounting document, which is created based on the accepted incoming document and generates accounting entries.
Is it mandatory to sign an incoming E-invoice with a digital signature?
Acceptance of an E-invoice is confirmed in the E-invoicing IS. For an SNT, you confirm receipt with a signature. For an acceptance certificate or delivery note, the operator may require a countersignature, depending on the document interchange type.
Can the document be rejected, and what will the counterparty see?
Yes. Click “Reject” and specify the reason; it will be sent to the sender in a notification. The counterparty will be able to correct the document and send it again.
Why is VAT posted to account 1420 instead of being immediately treated as recoverable?
1420 “Recoverable VAT” is the accumulation account for recoverable VAT. It is included in the VAT return (300.00) based on the Purchase Invoice Register data for the reporting period.
What should be done if a counterparty sends a cancellation of a previously accepted E-invoice?
Accept the cancellation; the system will flag the linked receipt and offer to reverse the entries. Check that the recoverable VAT has been excluded from the return.
How can I tell that the document has already been accepted for accounting?
Check the “Status” field (Accepted) and the “Document Hierarchy”; it will contain a link to the receipt created.
The goods are included in an SNT, but there is no E-invoice yet. Can they be recognized?
The SNT confirms the movement of goods, but the E-invoice provides the basis for recoverable VAT. Recognize the receipt and record recoverable VAT after receiving and accepting the E-invoice.
