Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).
In the morning, you open the bank statement. You see that money has been credited to the current account — LLP "Astana Trade" transferred 1,160,000 ₸ for the supplied goods. The payment purpose includes the invoice number, but you have a debt from this customer for a different amount, and part of the money looks like an advance. Until you reflect this receipt, in 1C the money has "not arrived": the account balance is old, the customer's debt is not closed, and the retail accountant is asking whether it has been paid or not. All of this is covered by one document — "Incoming Payment Order".
1. Purpose
The document registers the fact of money receipt to the current (settlement) bank account of the organization. It increases the balance on account 1030, closes the customer's debt, or records the received advance, as well as manages settlements with the counterparty. This is your response to the line in the bank statement "credited".
2. Where to find
Menu path: section "Bank" (in some interfaces — "Money") → "Incoming Payment Orders" → button "Create".
Most often, the document is entered not from scratch, but automatically when loading the bank statement (processing "Bank Exchange" / "Client-Bank") — then you only need to check and post it.
Open the list directly in 1C: Main Menu → Service → "Go to Navigation Link" and paste:
e1cib/list/Document.IncomingPaymentOrder
2a. How to find out your release
"Help" → "About the Program" (or the question mark icon in the upper right corner). In the opened window, you will see the platform version (for example, 8.3.24.xxxx) and the configuration release — "Accounting for Kazakhstan", version 3.0, release 3.0.74.2. If your version differs, the field locations may not exactly match this instruction.
3. How to fill out
Fill in from top to bottom. Mandatory fields are marked (!).
| Field | Purpose / what will happen if you make a mistake |
|---|---|
| Organization (!) | Whose account has been credited. If there are several organizations in the database and you choose the wrong one — the money will "arrive" at the wrong company, and the balances will diverge. |
| Date (!) | Date of money receipt according to the bank. Use the date from the statement, not today’s date — otherwise, you will distort the end-of-day balance and the tax reporting dates. |
| Incoming number / Incoming date | Number and date of the counterparty's payment order (from the statement). It does not affect the postings, but is needed for reconciliation: the customer will find their payment by it. |
| Type of operation (!) | Determines which postings will be generated (see section 5). If you make a mistake here, you will get the wrong credit account. |
| Payer / Counterparty (!) | From whom the money came. This closes the debt. An empty counterparty = a "hanging" amount without settlements. |
| Bank account (!) | To which of your accounts the money was credited. Pulls the accounting account 1030. If there are several accounts — choose the correct one, otherwise the bank reconciliation will not match. |
| Amount (!) | Exactly as in the statement. Cents are important: a discrepancy with the debt will leave a "tail" in settlements. |
| Contract (!) | Contract with the counterparty. It is used for analytics of debt/advance. For "Payment from the customer" — a contract with the type "With the customer". |
| Settlement account | Usually 1210 (settlements with customers). It is substituted based on the type of operation — change it only consciously. |
| Advance account | 3510 (short-term advances received). Used if payment precedes shipment. |
| VAT rate / VAT amount | For regular payment from the customer in the RK VAT is not charged on advances — this field is informational. The actual VAT of 16% will be accounted for during shipment and issuance of the electronic invoice (ESF), not here. |
| Cash flow article (CFA) | For correct reporting on cash flow (inflow from operational/financial activities). An empty article = a "hole" in the cash flow report. |
| Payment purpose | Text from the statement. For history and reconciliation. |
| Reflect in accounting / tax accounting | Posting flags. If unchecked — the document will be posted "empty", without postings. |
4. An example with postings
Situation. On September 4, 2026, LLP "Astana Trade" transferred your organization 1,160,000 ₸ for previously shipped goods. There was a debt of 1,160,000 ₸ for this customer (account 1210). VAT on sales (16%) had already been charged at the time of shipment.
Filling out:
- Type of operation — "Payment from the customer"
- Counterparty — LLP "Astana Trade", contract "Supply No. 14"
- Bank account — current account in tenge, accounting account 1030
- Amount — 1,160,000 ₸
- Settlement account — 1210
Posting upon posting:
| Dr | Cr | Amount, ₸ | Content |
|---|---|---|---|
| 1030 | 1210 | 1,160,000 | Payment received from the customer, debt closed |
After posting, the customer's debt on account 1210 is zero, and the balance on account 1030 has increased by 1,160,000 ₸.
Option — prepayment (advance). If there has been no shipment yet and this is an advance, the posting will change:
| Dr | Cr | Amount, ₸ | Content |
|---|---|---|---|
| 1030 | 3510 | 1,160,000 | Advance received from the customer |
Note: in Kazakhstan, VAT is not charged on advances — the VAT obligation (account 3130, rate 16%) and ESF will arise at the time of sale, not upon receipt of money.
5. Types of operations
The choice in the "Type of operation" field fully determines the credit account:
| Type of operation | Typical Cr | When to apply |
|---|---|---|
| Payment from the customer | 1210 (or 3510 for advance) | The customer pays for goods/services |
| Refund of funds by the supplier | 3310 / 1610 | The supplier returned an overpayment or advance |
| Settlements on loans and borrowings | 3010 / 4010 / 2010 | Loan received, borrowing, loan repayment |
| Collection order | 1210 and others | Debit/credit by collection |
| Other settlements with counterparties | as chosen | Non-standard settlements |
| Other receipts of funds | 6280 / 7210 and others | Other income, reimbursements, grants |
6. What is generated upon posting
Accounting and tax postings — according to the accounts from section 5 (Dr 1030 / Cr 1210, 3510, 3310, etc.).
Movements in registers:
- Cash funds (non-cash) — inflow to the bank account, for monitoring balances and bank reconciliation;
- Settlements with counterparties (settlements by contracts) — repayment of debt or formation of advance;
- Cash flow (CFA) — according to the specified article, for the cash flow report.
Electronic documents. The receipt of money does not generate an ESF or CNT — these electronic documents (IS ESF, IS CNT) relate to sales and movement of goods. The payment only closes settlements on already issued (or future) ESFs. Keep this in mind: payment ≠ issuance of ESF.
7. Printed forms
The incoming payment order is a document of your counterparty, so you do not print your own "bank forms" for it. The following are available from the document:
- Accounting certificate / Document movements — for checking the generated postings;
- Document register (from the list form) — list of receipts for the period.
The primary confirmation of receipt is the bank statement itself, not the printout of this document.
8. Common mistakes
"Bank account not filled in" — the account for crediting has not been selected. Specify the organization's current account; the accounting account 1030 will be pulled from it.
"Field 'Counterparty' not filled in" — when loading from the client-bank, the payer was not matched with the directory. Select the counterparty manually or create a new one, then post it.
"Contracts of counterparty '...' with the type 'With the customer' not found" — the counterparty does not have a suitable contract. Create a contract with the required type or change the type of operation.
After posting, the debt did not close, an advance is hanging on 3510. The reason — the wrong contract was specified or settlements were made by documents, and the money came under a different contract. Check the contract and, if necessary, perform advance offsetting (document "Debt Adjustment" or month-end closing).
The amount does not match the statement down to the cents. Check the bank commission — if the bank withheld a commission, the credited amount is less than the payment; the commission is posted as a separate expense.
The document was posted, but there is no balance on 1030. The flag "Reflect in accounting" was unchecked — check it and repost.
9. FAQ
What is the difference between "Incoming Payment Order" and "Outgoing"? Incoming — money has arrived in your account (Dr 1030). Outgoing — money you have debited from the account (Cr 1030). These are two mirror operations in the bank.
Is VAT charged when receiving an advance from the customer? No. In Kazakhstan, the turnover for sales and VAT 16% arises at the time of shipment and issuance of ESF, not upon receipt of prepayment. The document for receipt of money does not charge VAT.
Is it necessary to issue an ESF for the received payment? No. ESF is issued for the sale of goods/services, not for the movement of money. The payment only closes settlements.
How does the system understand whether it is a payment or an advance? By settlements: if there is an outstanding debt from the customer (1210) — the money pays it off; if there is no debt — the amount goes to the advance (3510). It is influenced by the selected contract and the settings for managing settlements (by contract / by documents).
Can one document accept payment for several contracts? No, one document — one counterparty and one contract. For different contracts, create separate documents or use a table part if the type of operation supports it.
The money has arrived, but what is the accounting account — 1030? Yes, non-cash funds in current bank accounts — account 1030. It is automatically pulled from the selected bank account.
How to reflect a refund from the supplier? Select the type of operation "Refund of funds by the supplier". The posting will be Dr 1030 / Cr 3310 (or 1610 for advance return).
What to do if the payment was loaded from the bank as a duplicate? Delete (mark for deletion) the extra document before posting. If both are posted — unpost the duplicate and mark it for deletion, otherwise you will double the balance on 1030.
Why is the credited amount less than in the invoice? Most likely, the bank withheld a commission for the transfer. Post the receipt for the actually credited amount, and reflect the commission as a separate expense.
Is a cash flow article needed? For postings — no, but without it, the receipt will not appear in the cash flow report (CFA). Indicate the inflow article to ensure accurate reporting.
