Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).

End of month. The store's cash register rang up revenue, the money landed on the account, the manager is pleased. Then he asks: "How much did we actually earn on this?" And there you are, sitting with turnover on account 6010 in one hand and inventory balances in the other, unable to mentally connect revenue with cost. Turnover is large, but how much of it is net trade margin is unclear. This is exactly the conversation the "Revenue and Cost of Retail Sales" report is for. It takes your retail data and breaks it into three numbers: how much was sold, what it cost you, and how much gross profit is left. By store, by item, by day — as requested.

1. Purpose

The report shows for retail the revenue (excluding VAT), the cost of goods sold, and the gross profit with profitability. It helps understand the real markup rather than bare turnover, and compare stores/product groups against each other. Data is taken from posted retail sales documents — the report itself doesn't post or change anything.

2. Where to find it

Menu path: Sales → Sales Reports → Revenue and Cost of Retail Sales. If the "Sales Reports" section doesn't open right away — click "Show All" in the "Sales" section panel.

Quick way to open directly from 1C: Main menu (burger icon button in the top left corner) → Tools → Link (or "Navigate by navigation link") and paste:

e1cib/list/Отчет.ВыручкаИСебестоимостьРозничныхПродаж

Click "Go" — the report form will open.

2a. How to find your release

Main menu → Help → About the program. In the window that opens you'll see the platform version (e.g., 8.3.24.x) and the configuration release — the line "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". If your release differs, the set of settings and columns may vary slightly — check against this number.

3. How to configure the report

The report is not a document, so what you'll "fill in" are not attributes but selection and grouping parameters in the form header. Let's go through each field: what it's for and what happens if set incorrectly.

Period (REQUIRED). Two dates — "from" and "to". This is the main filter. Set a narrow period — you'll see only part of the sales and conclude that trade has "dropped". Leave the start of the period empty — 1C will take data from the very first sale in the database, and the report will bloat. Set exactly the interval you're reporting for (usually a calendar month).

Organization. If the database has a single legal entity — you can leave the field untouched. If there are several — be sure to select the needed one, otherwise the revenue of two companies will add up into one pile, and the declaration figure will be wrong.

Warehouse / Store. Key selector for retail. Leave it empty — you'll get a summary across all outlets. Want to break down one store — specify it. Choose the wrong warehouse (a wholesale one) — the report will be empty, because there are no retail sales there.

Item / Item Group. Selector by product. Needed when analyzing a specific category ("how much did we earn on coffee"). Leave it unfilled — you see everything.

Report variant (the "Select variant" button at the top). Determines the ready-made layout: summary, by stores, by items, by cashiers. Choose the wrong variant — the figures are correct, but not broken down the way you asked.

Settings → Row groupings. Here you set the level of detail: Store → Item → Document. Remove all groupings — you get a single total row for the whole period (convenient for checking the total). Add too many — the table becomes unreadable.

Settings → Filters. Fine conditions: for example, "only sales with a markup below 20%". Helps pick out problem items.

After configuring, click "Generate" (F5). Forget to click it after changing the period — you're looking at old figures and drawing wrong conclusions. This is the most common reason for "the report is lying".

4. A worked example with numbers

Store "Tsentralny", September 2026. Over the month, goods were rung up for 2,320,000 ₸ in retail revenue (the amount with VAT as on price tags). The VAT rate in 2026 is 16%. The cost of goods sold according to accounting data is 1,300,000 ₸.

We generate the report: Period 01.09.2026–30.09.2026, Store = "Tsentralny", grouping by item. The report will show:

Indicator Calculation Amount, ₸
Revenue with VAT price tags 2,320,000
VAT in revenue 2,320,000 × 16 / 116 320,000
Revenue excluding VAT 2,320,000 − 320,000 2,000,000
Cost from accounting 1,300,000
Gross profit 2,000,000 − 1,300,000 700,000
Profitability 700,000 / 2,000,000 35%

The report itself doesn't make journal entries. But for these numbers to get into it, the retail sales documents ("Retail Sales Report" or "Cash Receipt" with a shift) must be posted. It is they that generate the movements that the report then reads. For the month, the entries for the "Tsentralny" store look like this:

Dr Cr Amount, ₸ Description
1010 6010 2,000,000 Sales revenue recognized (excluding VAT)
1010 3130 320,000 VAT payable accrued (16%)
7010 1330 1,300,000 Cost of goods sold written off

Turnover totals: Cr 6010 = 2,000,000 ₸ (this is the "Revenue" in the report), Dr 7010 = 1,300,000 ₸ (this is the "Cost"). The difference of 700,000 ₸ is the gross profit that the report will calculate automatically. If in the report you see revenue of 2,000,000 but the Cr 6010 turnover in the trial balance is different — it means part of the receipts is not posted or was posted in a different period.

5. Report variants

The report is universal — it has no "operation types", but it has ready-made layout variants (the variant selection button):

  • Summary — total amounts of revenue, cost, and profit for the period.
  • By stores (warehouses) — comparison of outlets against each other.
  • By items / item groups — which products give a markup and which sell at breakeven.
  • By cash registers / cashiers — if detail is tracked down to the workstation.
  • By periods (day/week/month) — sales dynamics within the interval.

Any variant can be refined via "Settings" and saved as your own (the "Save variant" button).

6. What the report shows (source registers)

Since this is a report, not a document, when "generated" it doesn't post anything, doesn't create e-invoices or waybills, doesn't write to registers — it only reads already accumulated data. The source is the accumulation register for sales revenue and cost, which is populated by retail documents. From there it takes:

  • turnover for revenue excluding VAT (corresponds to Cr 6010);
  • cost of written-off goods (Dr 7010 / Cr 1330);
  • quantity of goods sold;
  • calculated gross profit and profitability.

Electronic documents (e-invoices in the IS ESF, waybills) are issued not from the report but from the sales/transfer documents. The report only helps to reconcile against what has already been issued.

7. Printed forms

The report has no separate template — the generated table itself is printed:

  • Print (Ctrl+P) — output the current tabular form to a printer.
  • Save as… — export to Excel (.xlsx), .pdf, .mxl, 1C spreadsheet document.
  • Send by email — as an attachment from the report form.

Before printing, check that the needed groupings are expanded: collapsed rows won't make it onto paper in the details.

8. Common errors

"Required field 'Period' is not filled in" — the report won't generate without a date interval. Set the period in the header and click "Generate".

The report is empty even though there were sales. Most often the wrong warehouse/store is selected (wholesale instead of retail), or the retail documents aren't posted. Check the "Warehouse" filter and open the "Retail Sales Reports" journal — check for unposted ones.

Revenue in the report doesn't match the Cr 6010 turnover. Usually the reason is that receipts from a closed shift aren't posted, or part of the sales fell into an adjacent period. Compare the cash register closing dates with the boundaries of the report period.

Cost is zero even though the item was sold. Cost hasn't been calculated: the "Cost Calculation" routine (Month-End Closing) hasn't been run, or the item was received without a price. Until cost is calculated, gross profit will be overstated by exactly that amount.

"Negative" markup on an item. The item was sold below purchase price, or the receipt price wasn't entered. Find the item via grouping by item and check the receipt document.

9. FAQ

Question: Does the report make journal entries or issue e-invoices? Answer: No. This is an analytical report: it only reads data from posted retail documents. Journal entries and electronic documents are generated by the "Retail Sales Report" and "Cash Receipt".

Question: Is the revenue in the report with or without VAT? Answer: Without VAT. From the retail amount as on price tags, VAT at the rate of 16% is extracted, and net revenue (Cr 6010 turnover) goes into the report. The 16% VAT goes to account 3130.

Question: Why is the cost empty or understated? Answer: The cost of goods hasn't been calculated. Run the "Cost Calculation" routine operation in month-end closing, then regenerate the report.

Question: The report doesn't match the trial balance for 6010 — what's wrong? Answer: Usually unposted receipts or sales in a different period. Compare the report period with the cash register closing dates and check the retail sales journal for unposted documents.

Question: How do I view profit for a single store? Answer: In the header, in the "Warehouse/Store" field, select the needed outlet and click "Generate". To compare several — leave the field empty and enable grouping by stores.

Question: Can I see the markup for each item? Answer: Yes. Select the "By items" variant or add the "Item" grouping in settings — each item will show revenue, cost, and profitability.

Question: Does the report account for customer returns? Answer: Yes, posted return documents in retail reduce revenue and cost for the period. If a return isn't posted, the figures will be overstated.

Question: Is the VAT rate in the report 16%? Answer: Yes, in 2026 the rate in effect in Kazakhstan is 16%. If some items have an exemption or a different rate, VAT is extracted at the rate from the sales document, not as a single figure.

Question: Can the report be exported to Excel? Answer: Yes: "Save as…" → .xlsx format. Before exporting, expand the needed groupings, otherwise collapsed rows won't make it into the file.

Question: How does this report differ from "Gross Profit"? Answer: "Gross Profit" covers all types of sales (wholesale + retail), while this report is focused specifically on retail and breakdowns by stores/cash registers.

10. Related documents

What the report is built on (data sources):

  • Retail Sales Report — the summary document for a shift, the main data source.
  • Cash Receipt — for transaction-by-transaction registration of sales at the register.
  • Return of Goods from Customer (retail) — reduces the figures.
  • Receipt of Goods and Services — forms the cost that the report writes off in sales.

What is done based on the report's data (indirectly): the report is analytical; no "based on" documents are entered from it. But based on its results you make decisions: adjust retail prices (the "Set Item Prices" document), initiate a markdown/revaluation, prepare data for the VAT declaration (form 300.00) and CIT/IIT on sales income.

Frequently asked questions

Does the report create postings or issue an e-invoice (ESF)?
No. This is an analytical report: it only reads data from posted retail documents. Postings and electronic documents are generated by the "Retail Sales Report" and "Cash Register Receipt".
Is the revenue in the report with or without VAT?
Without VAT. VAT at a rate of 16% is extracted from the retail amount shown on price tags, and the net revenue (turnover Cr 6010) is included in the report. The 16% VAT is posted to account 3130.
Why is the cost price empty or understated?
The cost of goods has not been calculated. Run the routine operation "Cost Calculation" during month-end closing, then regenerate the report.
The report doesn't match the trial balance for account 6010 — what's wrong?
Usually this is due to unposted receipts or sales in a different period. Check that the report period matches the cash register closing dates and check the retail sales journal for unposted documents.
How can I see profit for a single store?
In the header, select the desired location in the "Warehouse/Store" field and click "Generate". To compare several, leave the field empty and enable grouping by store.
Can I see the markup for each product?
