Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).
A counterparty sent a reconciliation report, and your sales for the month show 12,400,000 ₸. And the manager asks: "How much did we earn on this?" In the turnover balance for account 6010 you only see revenue, not margin. You open the "Revenue and Cost of Sales" report — and within a couple of seconds you see: sold for 11,000,000 ₸ excluding VAT, cost of sales 7,300,000 ₸, gross profit 3,700,000 ₸, profitability 33.6%. At the same time, you understand why the amount in the reconciliation act is higher than your revenue: the counterparty calculates with 16% VAT, while the report shows income net of tax.
The main point right away: this is a report, not a document. It doesn't post anything and doesn't create an ESF (electronic invoice). It collects movements already made by documents and shows them in convenient breakdowns. That's why the figures in it are exactly as you posted them in sales documents and in the cost calculation.
1. Purpose
The report shows revenue (income from sales excluding VAT), cost of goods sold, gross profit, and profitability for a period. Breakdowns — items, customers, managers, warehouses, organizations, deals. This is the main tool for evaluating sales margin.
2. Where to find it
Section "Sales" → "Sales Reports" → "Revenue and Cost of Sales".
If the report isn't in the list — click "All reports" at the top of the panel, it's also there in the sales reports group. Through the full list of section reports you'll always find it.
Quick way to open it directly: "Service" → "Go to navigation link" (or Ctrl+click in the address bar) and paste:
e1cib/list/Отчет.ВыручкаИСебестоимостьПродаж
2a. How to find your release
"Help" (the "?" icon in the top right corner) → "About the program". In the window that opens: the platform version "1C:Enterprise" (e.g., 8.3.27) and the configuration release — a line like "Trade Management for Kazakhstan, edition 3.4 (3.4.5.21)". If your release is older — some settings and column names may differ.
3. How to fill in (configure the report)
There are no input fields here — there are report parameters. You set them in the header and via the "Settings" button.
| Parameter | What it's for | What happens if set incorrectly |
|---|---|---|
| Period (REQUIRED) | Boundaries of the sales sample. Current month by default. | Take the wrong month — the figures won't match the turnover balance. Check both dates: "from" and "to". |
| Organization | Filter by legal entity. If there's only one organization in the database — you can leave it as is. | Not selected in a multi-company database — you'll add up sales from all companies and won't understand the discrepancy. |
| Report variant | Ready-made views: "by item", "by customers", "by managers", "by item and customers". Selected at the top. | Choose the wrong variant — you won't see the needed breakdown (e.g., margin by manager). |
| Warehouse | Limits the sample to one warehouse/group. | Leave it blank when you need one store — you'll get a total for all outlets. |
| Customer / Partner | Filter by a specific counterparty — convenient for a reconciliation act. | Forget to remove the old filter — you'll see "empty" and think there were no sales. |
| Manager | Calculate margin by salesperson for motivation purposes. | — |
Using the "Settings" button (gear icon / "More" → "Settings") you add filters, groupings, and columns. Useful ones to enable: "Revenue", "Cost of Sales", "Gross Profit", "Profitability, %". After editing the settings, click "Generate" — otherwise the table won't be recalculated.
An important point about VAT: the "Revenue" column in this report is income excluding VAT (what was posted to account 6010). Look for the sale amount including VAT in the "Customer Settlement Statement" report or in the sales documents themselves.
4. Worked example with journal entries
Scenario. LLP "Astana-Trade" (VAT payer, rate 16%) sold a batch of goods to customer IE "Saule" in September 2026. Sale price including VAT — 580,000 ₸. Cost of this batch under account 1330 — 320,000 ₸.
We calculate the VAT exclusion at 16%:
- VAT in the price: 580,000 ÷ 1.16 × 0.16 = 80,000 ₸
- Revenue excluding VAT (income): 580,000 − 80,000 = 500,000 ₸
Journal entries made by the "Sales of Goods and Services" document (the report doesn't create them, it only summarizes):
| Dr | Cr | Amount, ₸ | Description |
|---|---|---|---|
| 1210 | 6010 | 500,000 | Sales income recognized (excluding VAT) |
| 1210 | 3130 | 80,000 | VAT payable accrued (16%) |
| 7010 | 1330 | 320,000 | Cost of goods sold written off |
What the "Revenue and Cost of Sales" report will show for this line:
| Indicator | Value |
|---|---|
| Revenue | 500,000 ₸ |
| Cost of sales | 320,000 ₸ |
| Gross profit | 180,000 ₸ |
| Profitability | 36.0% |
Profitability = 180,000 ÷ 500,000 × 100% = 36%. If the counterparty shows 580,000 ₸ in the reconciliation act — the difference is exactly the VAT of 80,000 ₸, there's no error.
5. Operation types (report variants)
There's no document here, so "operation types" are ready-made presentation variants that you switch at the top of the window:
- By item — margin broken down by products and groups.
- By customers (clients) — how much was earned from each counterparty.
- By managers — revenue and profit by salesperson.
- By item and customers — dual breakdown.
- By warehouses / stores — comparison of sales outlets.
Any variant can be customized with your own groupings and saved to "Favorite variants" using the "Save report variant" button.
6. Where the report gets its data from
The report reads the accumulation register "Revenue and Cost of Sales". Sales documents write movements into it, and — for cost of sales — the scheduled cost calculation operation. Key nuance:
- Revenue enters the register immediately upon posting the sale.
- Cost of sales is finally formed only after "Cost of Goods Calculation" (month closing). Before the calculation, the cost of sales column may be empty or preliminary — gross profit would then be overstated.
Therefore, the correct margin for the month is visible only after the month is closed.
7. Printed forms and export
The report doesn't have its own printed forms (like a document does) — the generated table itself is printed and exported:
- Print — "Print" button (printer icon), outputs the table to paper.
- Save as — Excel (.xlsx), PDF, ODF, HTML, spreadsheet document (.mxl).
- Send by email — directly from the report window as an attachment.
8. Common mistakes
"Cost of sales equals zero / gross profit equals revenue". The reason — the cost calculation for the period wasn't performed. Open "Financial Result and Controlling" (or "Month Closing") → "Cost of Goods Calculation", run it for the needed month, and regenerate the report.
"The report is empty even though there were sales". Most likely there's a forgotten filter (by customer, warehouse, or manager) or the wrong period. Open "Settings", clear the filters, check the "from"/"to" dates, click "Generate".
"Negative cost of sales on a line". A classic sign of selling "into the negative" for a warehouse — the item was written off before it was received. Check the sequence of receipt and sales documents, restore the sequence, and recalculate the cost of sales.
"Message: 'No data found for the report. A filter may not be set'". Empty result with an active filter. Remove excess filter conditions in the settings.
"Revenue in the report is less than the amount in the counterparty's act". This isn't an error: the report shows income excluding VAT, while the counterparty shows it including 16% VAT. Divide their amount by 1.16 to reconcile.
"Doesn't match the turnover balance for account 6010". Check that the period and organization match, and that the warehouse/manager isn't filtered in the report. Customer returns reduce revenue in the report — take them into account.
9. FAQ
Q: Does the report show revenue including or excluding VAT? A: Excluding VAT. This is income reflected in account 6010. Look for the amount including VAT in the sales document or in the customer settlement statement.
Q: Why is the cost of sales zero? A: The "Cost of Goods Calculation" for the month hasn't been run. Perform the month closing and regenerate the report.
Q: How do I see the margin for a specific customer for a reconciliation act? A: Select the "By customers" variant, set the filter "Customer = …" and the needed period, click "Generate".
Q: Are customer returns taken into account? A: Yes. A return reduces revenue and cost of sales for the period, so the total may be lower than the sum of shipments.
Q: Can I see profit by manager? A: Yes, the "By managers" variant shows revenue, cost of sales, and gross profit broken down by salesperson.
Q: Does the report create journal entries or ESF? A: No. This is a report. Journal entries (Dr 1210 Cr 6010, Dr 7010 Cr 1330) and ESF are created by sales documents, and the report only displays them.
Q: How do I export to Excel for the manager? A: Generate the report, then "Save as" → .xlsx format. You can also send it by email directly from the report window.
Q: Why does profit change after the month closing? A: Before the cost calculation, only revenue enters the register; the cost of sales is refined during closing. After the calculation, gross profit becomes correct.
Q: How is profitability calculated? A: Gross profit ÷ Revenue × 100%. In the example, 180,000 ÷ 500,000 = 36%.
Q: What should I do about negative cost of sales? A: This is a sale before receipt. Restore the sequence of documents (receipt before sale) and recalculate the cost of sales.
10. Related documents
The report isn't entered "based on" — it aggregates data. The following form the report's indicators:
- Sales of Goods and Services — provides revenue (6010) and cost of sales (7010/1330).
- Retail Sales Report — retail revenue and goods write-off.
- Return of Goods from Customer — reduces revenue and cost of sales.
- Cost of Goods Calculation (month closing) — finally populates the "Cost of Sales" column.
- ESF / SNT — accompany the sale in the ESF information system, but don't affect the margin figures in the report.
For cross-checking, the "Company Gross Profit", "Customer Settlement Statement" reports and the turnover balance sheet for accounts 6010 and 7010 are convenient.
