Report "User Information" in 1C:Accounting for Kazakhstan 3.0 — How to View Who Has Access to the Database

Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).

The accountant has left, and a month later the auditor asks: "Who else accesses your database and with what rights?" You open the user list — there are two dozen lines, half of them unclear, and it’s not visible who has access and who does not. Opening each card takes half a day. This is exactly the case for the report "User Information": with one click, it outputs all database users into a table — login name, whether access is allowed, and how the person is authenticated. Then you print it, export it to Excel, and hand it over to the auditor.

Immediately important: this is a service (administrative) report, not a document. It does not post anything, does not generate electronic invoices (ESF)/tax returns (SNT), and does not make movements in accounting registers. There are no amounts, VAT rates, or accounts here, and there shouldn’t be — the report is about people and their access, not about money.

1. Purpose

The report shows a list of users of the information database and their accounting settings: login name, whether access to the program is allowed, type of authentication (1C, OS, OpenID), display in the selection list. It is needed by the administrator and chief accountant for access auditing: who accesses the database, who has restricted access, who is duplicated.

2. Where to find

Path in the interface:

  • Administration → User and Rights Settings → Users — open the list, then "More" → "User Information" (or the "Reports" button above the list).
  • Universal path: Main Menu (☰) → All Functions → Reports → "User Information". If the "All Functions" item is missing — enable it: Service → Options → Show "All Functions" command.

The fastest way is to open directly via the navigation link. Copy the line below, then in 1C: Main Menu (☰) → File → Open is not available for links, so use Service → "Go to Navigation Link" (or Ctrl+click on the link from the email/note):

Only a user with administrator rights or a profile where access to user settings is open can work with the report. A regular operator typically does not see the report — this is normal.

2a. How to find out your release

Main Menu (☰) → Help → About the Program. In the opened window:

  • Platform version — for example, 8.3.24.xxxx (line "1C:Enterprise").
  • Configuration release — line "Accounting for Kazakhstan, version 3.0", version 3.0.74.2.

If your release differs, the set of columns and menu items may shift slightly, but the logic of the report remains the same.

3. How to configure and generate

This report has no "document fields" — you do not fill in attributes, but configure the output. The order is as follows.

  1. Open the report in any way from section 2.
  2. Click "Generate" (F5) — the report will immediately output all users with default columns. Often this is enough.
  3. Configure the composition of columns — the "Settings" button (or "More → Change Variant"). Available indicators:
Column Purpose / what will happen if not viewed
Login name The login under which the person accesses. If empty — access by login/password is not possible, only OS authentication works.
Full name Full name or title of the user. This helps you understand who it is. Discrepancies with "Login name" are a common source of confusion.
Access to the program allowed Key audit column. If the flag is removed — the person will not enter the database. This is what is checked for dismissed employees.
1C:Enterprise authentication Access by 1C login and password. If enabled without a password — a security hole.
OS authentication Access by Windows/domain account. Shows who accesses "without 1C password".
OS user Specific domain account (for example, ORG\ivanov). Helps identify whose access it is.
OpenID authentication External authorization. Usually disabled in a typical local database.
Show in selection list Whether the user is visible in the login window. A hidden user can log in, but is not visible in the list — this is normal for service accounts.
Invalid / Marked for deletion Service indicator. Helps separate "active" users from archived ones.
  1. Filtering. In the settings, you can leave only the necessary ones: for example, filter "Access to the program allowed = Yes" to get a list of only active accounts. Filtering is your main tool during the audit.
  2. Grouping and sorting. You can group by the "Access allowed" indicator or sort by "Login name" to quickly find duplicates.
  3. Save the setting — "More → Save Variant", so you don’t have to collect it again next time.

There is one mandatory action here — click "Generate". Everything else is fine-tuning for the task.

4. Analyzed example

Task: before submitting the report, you check that dismissed employees have their access closed and prepare a certificate for the auditor.

  1. You open the report, click "Generate". You get a table:

  1. You see the problem: the dismissed Ivanov P.P. has Yes in the "Access allowed" column. This is a risk — the person can still enter the database.
  2. Double-clicking on the row opens the user card (or go to Administration → Users → Ivanov P.P.), uncheck the "Access to the program allowed" flag, and save.
  3. Click "Generate" again — now Ivanov has "No". Access is closed.
  4. Using the "Save" button, export the table to Excel and attach it to the package for the auditor.

Note: Bank Exchange and Administrator are not shown in the selection list — these are service accounts, and that is how it should be. However, Sergeeva with the "Access = No" flag is on leave — access is temporarily closed correctly.

There are no postings in this example — the report only reads data about users. No figures in accounting change.

5. Types (variants) of the report

There are no "operations" like in a document. There are output variants that you collect through filtering and settings:

  • Full list — all users, all columns (by default).
  • Only active — filter "Access to the program allowed = Yes".
  • With access by 1C password — filter "1C:Enterprise authentication = Yes" (for checking password policy).
  • With domain authentication — filter "OS authentication = Yes".
  • Hidden/service — filter "Show in selection list = No".
  • Marked for deletion / invalid — for cleaning the database.

6. What is generated during generation

Once again, directly and without hedging, because this is a frequent question:

  • No postings (Dr/Cr) — none. The report does not make any accounting movements.
  • No electronic documents (ESF, SNT) — none. This is not a primary document; it does not send anything in the ESF/SNT information system.
  • No movements in accounting registers — none. The report only reads the user directory and authentication data.

At the output, you receive a tabular document on the screen — it can be printed, saved, and copied. That’s all.

7. Print forms

The report does not have a separate form (like "Invoice" or "Act") — the generated table itself is printed:

  • Print — the "Print" button (Ctrl+P) outputs the table to the printer.
  • Save as... — export to Excel (.xlsx / .mxl), PDF, HTML, text. For the auditor, Excel or PDF is usually taken.
  • Copy — you can select an area and paste it into an email or memo.

8. Common errors

"Insufficient rights to perform an operation on the information database" (or the report is not visible in the menu at all). → You do not have administrator rights. Ask the administrator to grant access or generate the report. Regular users do not intentionally see data about others' accounts.

"The 'User Information' item is missing from the report list". → Enable Service → Options → "Show 'All Functions' command", then search for the report through All Functions → Reports. Or open via the navigation link e1cib/list/Report.UserInformation.

"The report is empty / only shows me". → The report has processed, but with the rights of a regular user. The full list is only available to the administrator.

"Dismissed employee is in the report with the flag 'Access allowed'". → This is not a report error, but an open access. Open the user card and uncheck "Access to the program allowed" (marking for deletion is not enough — this flag is crucial).

"The 'Login name' column is empty, but the user is working". → Such a user accesses via OS authentication (Windows account). Check the "OS authentication" and "OS user" columns.

"The report takes a long time to generate in a client-server database". → Remove unnecessary columns and set a filter — the selection will become faster.
