The counterparty sends a reconciliation act: "for August, we purchased from you for 5,800,000 ₸." You open your database — and according to your data, it's 5,640,000 ₸. The difference is 160,000 ₸. Where is it? Did you forget to record one sale? Did a return "consume" the shipment? Reconciling based on one document takes hours of work. Instead, you open the "Sales" report, set the period, filter by this buyer — and in a minute, you see a list of all shipments with amounts. One sale from August 28 was not recorded. The question is closed.

This is the main task of the report: to quickly see how much, to whom, and what you sold, what the revenue is, the cost of goods sold, and gross profit — without manually scrolling through documents.


1. Purpose

The "Sales" report shows the volume of sales for a period broken down by buyers, items, contracts, organizations, and warehouses. It provides revenue (excluding VAT), cost of goods sold, gross profit, and profitability. This is an analytical report — it does not record or change anything in the accounting, it only reads already entered sales documents.


2. Where to find

Two ways:

  • Through the menu: section "Sales" → block "Reports""Sales". In some interfaces, the report is also available from the "For Management" section.
  • Through the navigation link (quickly): menu "Service" (or "Main" → menu icon) → "Go to navigation link" → paste:

2a. How to find out your release

Menu "Help""About the program". In the opened window:

  • Platform version — for example, "1C:Enterprise 8.3 (8.3.24.xxxx)".
  • Configuration — "Accounting for Kazakhstan, version 3.0".
  • Configuration version — this is the release, for example 3.0.74.2.

The instructions below were checked on release 3.0.74.2. If you have a different release, the location of the fields may differ slightly, but the logic remains the same.


3. How to fill out (configure)

The report does not have "document fields" — it has configuration parameters. Let's break down each one.

Order of work:

  1. Set the period (the period selection button at the top — there are quick options "This month", "Quarter", "Year").
  2. Select the organization.
  3. If necessary, open "Settings" (gear button or "Show settings") → tab "Filter" → add a condition (for example, Counterparty = LLP "Altyn").
  4. On the "Structure" tab, set the row grouping.
  5. Click "Generate" (button at the top). The report will be built.

Tip: save a successful configuration via "Settings" → "Save report variant" — you won't have to assemble it again.


4. An example with figures and entries

Situation. LLP "Astana-Trade" (VAT payer) sold LLP "Altyn" a batch of goods in August 2026. The sale was documented with "Sale (act, invoice, ESF)" for 1,160,000 ₸ including VAT. The VAT rate in the RK in 2026 is 16%.

Let's break down the amount:

  • Cost excluding VAT: 1,160,000 / 1.16 = 1,000,000 ₸
  • VAT 16%: 160,000 ₸
  • Cost of goods sold (accounting): 700,000 ₸

Entries generated by the sales document (these are the amounts summed up by the "Sales" report):

Note: in the report, revenue is shown excluding VAT (1,000,000, not 1,160,000). This is a common reason for "discrepancies" with the counterparty, who states the amount including VAT. If the reconciliation act mentions 1,160,000, and the report shows 1,000,000 — you are not mistaken, the report is about income (account 6010), not accounts receivable (account 1210).

When the buyer pays, a separate entry Debit 1030 Credit 1210 — 1,160,000 ₸ (money received in the current account) will occur, but it will not appear in the "Sales" report — this is about money, not sales.


5. Types of operations (report variants)

The report is configured for the task. Typical variants:

  • Sales by customers — customer ranking, for reconciliations and assessing the client base.
  • Sales by items — what sells best.
  • Sales by item groups — aggregated by categories.
  • Gross profit (by items / by customers) — where you are really earning, and where you are selling "at cost".
  • Sales by contracts / warehouses / managers — if you keep such analytics.
  • Sales dynamics over periods — comparison of months/quarters.

Switch through "Settings" → select variant or through ready buttons in the report header.


6. What is generated when building

The report does not make entries, does not create ESF and SNT, does not move registers — it only reads data. It is important to understand this: if the report is empty or has little data — the problem is not with the report, but with the primary documents.

The report reads movements from the registers formed by the sales documents:

  • accounting register for accounts 6010 (income) and 7010 (cost of goods sold);
  • VAT registers (for reference output of VAT, if the indicator is included);
  • warehouse and batch accounting registers (for cost of goods sold).

However, ESF (electronic invoice in the ESF system) and SNT (accompanying invoice for goods) are generated not by the report, but by the document "Sale (act, invoice, ESF)" — by the button "ESF" / "Create based on" → "Invoice (ESF)". The report only shows the result of these shipments in monetary terms.


7. Print forms

The report itself does not have separate "print forms" — it prints the generated table. Options:

  • Print (Ctrl+P) — output the tabular document to the printer.
  • Save as → Excel (.xlsx), PDF, Word, HTML — for sending to the buyer or manager.
  • Send by email — directly from the report, if the email account is configured.

If you need primary documents with signatures (invoice, AVR, invoice) — these are print forms of the sales document, not the report.


8. Common errors

"Mandatory fields not filled: Period" — the period is not set or is incorrect. Set the correct interval and click "Generate".

The report is empty, although there were sales. Common reasons:

  1. Sales documents are not recorded (gray, without a "checkmark"). Record them.
  2. There is an extra filter (by counterparty/warehouse from the last time). Open "Settings" → "Filter", remove unnecessary.
  3. The wrong organization or period before/after shipments is selected.

"The amount does not match the counterparty's act." Almost always — VAT: the report gives revenue excluding VAT (1,000,000), while the counterparty states the amount including VAT (1,160,000). Multiply the revenue by 1.16 or add the VAT indicator/sum of the document to the report.

"Gross profit is negative or zero." Cost of goods sold is not closed: the goods receipt document is not recorded, the month-end closing is not performed (cost calculation), or the goods are written off without a price. Perform "Month-end closing" and regenerate the report.

"Duplicate amounts." The organization is not selected in a multi-entity database — sales of all legal entities are combined. Specify a specific organization.


9. FAQ

Does the "Sales" report record documents? No. This is an analytical report; it only reads data. All entries, ESF, and SNT are made by sales documents.
