Document "Fixed Asset Production" in 1C:Accounting for Kazakhstan 3.0 — How to Account for Depreciation Based on Production Volume

Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).

End of the month. You start the "Month-End Closing," and the depreciation on the machine in the workshop has been calculated as zero. Or conversely — it has been calculated "as usual," even though the line has been idle for a month. You open the fixed asset card and see the method of depreciation "Proportional to the volume of production (work)." Everything is correct: for such a fixed asset, the program does not know how much it has produced until you enter this information. The entry is made with exactly one document — "Production of Fixed Assets." Let's break it down to the last field.

1. Purpose

The document "Production of Fixed Assets" registers the actual volume of production (work) produced by the fixed asset for the month. It is needed only for fixed assets that have the depreciation method — "Proportional to the volume of production (work)." Based on the entered production, the amount of depreciation is calculated at month-end closing.

2. Where to find

Menu path: section "Fixed Assets and Intangible Assets" → block "Depreciation" (Depreciation Calculation Parameters) → "Production of Fixed Assets" → button "Create".

1C navigation link: e1cib/list/Document.ProductionOfFixedAssets Copy it and paste it through "Service and Settings" (or "File") → "Go to Navigation Link" — a list of documents will open immediately.

Tip: if the item is not visible in the menu, check the functionality settings (Main → Functionality → Fixed Assets and Intangible Assets). Fixed asset accounting must be enabled.

2a. How to find out your release

"Help" → "About the Program" (or the icon with the 1C logo in the upper right corner). In the opened window, you can see the version of the platform (for example, 8.3.24.xxxx) and the configuration release — the line "Accounting for Kazakhstan, version 3.0 (3.0.74.2)." The menu, fields, and entries may differ in different releases, so refer specifically to this line.

3. How to fill out

Before entering, ensure that the fixed asset is correctly configured for accounting. In the document "Acceptance of Fixed Assets" (or in the fixed asset card) there should be:

  • Depreciation method = "Proportional to the volume of production (work)";
  • the estimated volume of production (work) for the entire service life should be filled in — this is the base on which the cost is divided. If the volume is not specified, depreciation will never be calculated.

Now for the document itself.

Field Mandatory Purpose and what will happen in case of error
Organization Yes Determines whose accounting the production is recorded under. If there are multiple organizations and the wrong one is selected — the production will be "attached" to someone else's fixed asset, and depreciation will not be calculated for the correct organization.
Date Yes Sets the month for which the production is accounted. Set it to the last day of the month (for example, 31.01.2026). If you set the date to the wrong month — depreciation will "move" to the neighboring period.
Number No Assigned automatically upon recording. Do not touch it manually.
Department Sometimes Substituted for cost analysis. Affects whose expenses the depreciation will fall into if the analysis is conducted by departments.
Table part — "Fixed Asset" Yes The object whose production you are registering. Choose only fixed assets with the method "by volume of production." If you select a fixed asset with a linear method — the document will be processed, but it will not affect depreciation.
Table part — "Production" (volume) Yes The actual volume of production/work for the month in the same physical units as the estimated volume in the fixed asset card. Zero or empty → depreciation for the month will be zero. If the units do not match (tons instead of pieces) — the amount of depreciation will be distorted.

You can fill out several fixed assets at once — one line for each object. One document for the month covers all production for the organization.

Monthly workflow:

  1. Create "Production of Fixed Assets" for the current month.
  2. Select fixed assets line by line and enter the actual volume.
  3. Process the document (it records data in the production register).
  4. Start "Month-End Closing" → "Depreciation Calculation" — this is when the accounting entries for depreciation appear.

It is important to understand: the document "Production of Fixed Assets" does not create accounting entries. It only "informs" the program of the volume. The money (depreciation) is calculated and processed by the regulatory operation of month-end closing.

4. An example with numbers and entries

Condition. LLP "Astana Plast" has accepted a plastic injection molding machine for accounting:

  • initial (depreciable) cost — 5,000,000 ₸;
  • depreciation method — "Proportional to the volume of production (work)";
  • estimated production volume for the entire service life — 500,000 units.

Depreciation rate per unit = 5,000,000 ₸ ÷ 500,000 pcs = 10 ₸ per unit.

In January 2026, the machine produced 8,000 units.

Your actions:

  1. "Fixed Assets and Intangible Assets" → "Production of Fixed Assets" → "Create".
  2. Organization — LLP "Astana Plast", date — 31.01.2026.
  3. Line: Fixed Asset — "Plastic Injection Molding Machine", Production — 8,000.
  4. Process.
  5. "Month-End Closing" for January → "Depreciation Calculation".

Depreciation for January = 8,000 pcs × 10 ₸ = 80,000 ₸.

The entry that will be generated by "Depreciation Calculation" (machine — production equipment):

If it were an administrative object (for example, fixed assets of the accounting department), the entry would be Dr 7210 "Administrative Expenses" Cr 2420 for the same amount.

In February, the machine produced, say, 3,500 units — enter a new "Production of Fixed Assets" for 3,500, and the depreciation for February will be 3,500 × 10 = 35,000 ₸. Thus, month by month, depreciation "follows" strictly based on production and will stop when the accumulated volume reaches 500,000 units.

5. Types of operations

The document "Production of Fixed Assets" does not have a "Type of Operation" switch — its task is one: to register the production volume for the period. Variability is provided by the table part:

  • production for one fixed asset — one line;
  • production for a group of fixed assets for one month — several lines in one document;
  • zero production (downtime) — enter 0, and depreciation for the month will not be calculated, while the fact "the month has been worked, but there was no production" will be recorded.

6. What is generated upon processing

  • The document does NOT create accounting and tax entries. It is a registering document.
  • Movements in the production register — information about the production volume for each fixed asset for the period. It is from this register that "Depreciation Calculation" takes the actual volume.
  • Electronic documents (ESF, VAT) are not generated — the document is not related to sales, VAT, and turnover.

Accounting entries for depreciation (Dr 8410/7210 Cr 2420) appear later — during the regulatory operation "Depreciation Calculation" as part of "Month-End Closing."

7. Print forms

"Production of Fixed Assets" is a service data entry document, and it does not have a regulated print form. For internal purposes, you can print the document form itself through "Print" (if the button is available in your release) or print the list of documents from the list form. Regulated forms for fixed assets (depreciation calculation statement, fixed asset report, etc.) are printed from fixed asset reports and from "Month-End Closing," not from here.

8. Common errors

"The field 'Fixed Asset' is not filled" The object is not selected in the line. Fill in the "Fixed Asset" column or delete the empty line.

Depreciation was calculated as zero, although there was production Common reasons: (1) the document "Production of Fixed Assets" for this month was not processed; (2) the document date fell into another month; (3) there is 0 or empty in the "Production" column in the line. Double depreciation for the month Two documents "Production of Fixed Assets" have been entered for the same fixed asset for the same month. The program will sum the volumes. Leave one document, mark the extra for deletion, and re-close the month.

Production has been entered, but there is no depreciation, and the method is linear The fixed asset's depreciation method is not "by volume of production." The document "Production of Fixed Assets" does not affect linear and other methods. Either change the method (by changing the depreciation parameters), or do not include this fixed asset in the document.

The fixed asset has already been fully depreciated The accumulated volume has reached the estimated amount, and the residual value is zero. Further depreciation will not be calculated, no matter how much production you enter. This is correct behavior.

9. FAQ

Does the document affect VAT and ESF? No. "Production of Fixed Assets" is not related to sales, VAT, and electronic invoices.

Basis for entry / what should be done earlier:

  • "Acceptance of Fixed Assets" — this is where the method "by volume of production" and the total production volume are specified. Without it, "Production of Fixed Assets" is meaningless.
  • "Receipt of Fixed Assets (equipment)" — precedes acceptance for accounting.

What uses the data from "Production of Fixed Assets":

  • "Month-End Closing" → "Depreciation Calculation" — reads the volume from the production register and generates entries for depreciation (Dr 8410/7210 Cr 2420).

"Production of Fixed Assets" is not entered "based on" another document and does not serve as a basis itself — it is a standalone monthly document for entering actual data.
