To have the tax accounting (TA) indicator set automatically in 1C:Accounting for Kazakhstan documents, you just need to enable the corresponding parameter once in the user's personal settings. After that, you won't need to manually check the tax accounting reflection box in each document — the program will do it itself when creating new documents.
Why the tax accounting reflection indicator is needed
In 1C:Accounting for Kazakhstan, accounting (Acc.) and tax accounting (TA) are maintained in parallel. The "Reflect document in tax accounting" indicator determines whether a business transaction will generate entries in the tax accounting registers. It is this data that is then used when calculating taxes and generating tax reporting (TR) submitted to the SRC.
If the TA indicator is not set, the document will be reflected only in accounting, but not in tax accounting. In practice, this leads to discrepancies between accounting and tax accounting, to distortion of the tax base, and to errors when filling out declarations. Therefore, in most cases documents affecting income and expenses must be reflected in both accounting and tax accounting.
How to set up automatic TA marking
- Go to the Administration section → User and rights settings → Users.
- Open the card of the required user.
- Go to User settings.
- Find the "Reflect documents in tax accounting" parameter in the list.
- Set the value to "Yes".
After this, when creating new documents, the tax accounting reflection indicator will be set automatically, without manual intervention. This is convenient: it reduces the number of routine actions and, more importantly, reduces the risk of forgetting to check the box manually.
The setting is configured individually for each user
Please note that the setting is made individually for each account. If several employees work with the database and everyone needs automatic TA marking, the setting should be repeated for each user separately.
This approach is convenient when there are users with different tasks in one database. For example, if some employees enter only auxiliary or service documents, while others enter primary documents affecting the tax base, you can enable automatic TA marking only for those who really need it.
What is important to consider in your work
- The setting affects only newly created documents. It does not apply to documents entered earlier — their TA indicator will have to be checked and, if necessary, corrected manually.
- Even with automatic setting enabled, the TA indicator in a specific document can be removed or changed manually if the transaction should not be reflected in tax accounting.
- Automatic TA marking does not eliminate the need to control the correctness of accounting. The program only checks the box; the correctness of the transaction itself, the accounts, and the analytics is still the accountant's responsibility.
- Not all documents require reflection in tax accounting. There are transactions that by their nature affect only accounting. For them, an automatically set indicator may turn out to be redundant — check such cases separately.
Step-by-step implementation procedure
- Determine which users need automatic TA marking.
- For each of them, set the "Reflect documents in tax accounting" parameter to "Yes".
- Create a test document and make sure the TA indicator was set automatically.
- Check that after posting the document, entries were generated not only in the accounting registers, but also in the tax accounting registers.
- If necessary, check previously entered documents where the TA indicator may not have been set, and correct them.
Common mistakes
- The setting was enabled for only one user, and it is assumed that it applies to everyone. As a result, documents entered by other employees end up without the TA indicator.
- They forget that the setting does not affect already created documents, and do not check "historical" transactions.
- They rely entirely on automation and stop controlling documents where, on the contrary, TA should not be set.
- When there is a discrepancy between accounting and tax accounting data, they look for the cause in the calculations, although the source is in documents not reflected in tax accounting.
What to check
- Check that the "Reflect documents in tax accounting" parameter is set to "Yes" for all users who need it.
- Make sure that in new documents the TA indicator is indeed set automatically.
- Reconcile the accounting and tax accounting data — check whether there are discrepancies due to documents without the TA indicator.
- Before generating tax reporting (TR), verify that all documents affecting the tax base are reflected in tax accounting.
