Invoice Register in 1C:Accounting for Kazakhstan 3.0 — Complete Accountant's Guide

Applies to: 1С:Бухгалтерия для Казахстана, release 3.0.74.2 · by 1C-Sapa Group, 1C partner

Сапа Т.И. — Эксперт по 1С и бухгалтерскому учёту, преподаватель-практик

Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

A counterparty sent a reconciliation statement. In their "issued to you" column there is 1,160,000 ₸, but in your records it shows a different amount. Calling and clarifying each line takes a long time. You open the Invoice Register, set the period and filter by this counterparty — and within a couple of seconds you see all issued and received invoices: dates, numbers, amounts, VAT, and ESF status. Next you find that very line where the amount diverged and understand whose mistake it is. This is the main work with this object: reconcile the data, find the discrepancy, and verify that no invoice was lost.

1. Purpose

The "Invoice Register" is a report, not a document. It outputs a list of all issued and received invoices (paper and ESF) for a period for your organization. It makes no postings and posts nothing — it only reads already entered data. It is needed for reconciliation with counterparties, self-check before submitting form 300.00, and control over ESF issuance.

2. Where to find it

Path in the interface:

  • Section "Purchases and Sales" (in some releases — "Sales" / "Purchases") → reports block → "Invoice Register".
  • Or via the menu "All functions" → Reports → "Invoice Register".

The fastest way is to open it directly via the navigation link. Copy it, then in 1C: Tools (Main menu — the ▼ button in the top-left corner) → "Go to navigation link", paste it and click "Go":

e1cib/list/Отчет.ЖурналУчетаСчетовФактур

2a. How to find out your release

Main menu (▼ button at the top left) → "Help" → "About". In the window that opens you will see two lines: the platform version (for example, 8.3.24.xxxx) and the configuration release — "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". This entire instruction describes the behavior of release 3.0.74.2; in neighboring releases the names of sections and columns may differ slightly.

3. How to fill in (set up the report)

The report is not "filled in" like a document — you set parameters in the header and click "Generate". Let's examine each field and what happens if you set it incorrectly.

Field What it is for What happens if you make a mistake
Period (from … to …) — REQUIRED Limits the selection by invoice date. Usually a quarter is set (for VAT) or a month. An empty period will output everything for all years or nothing. A shifted period — "missing" invoices, although in fact they are simply outside the interval.
Organization — REQUIRED (when there are several legal entities in the database) Selects documents only for the required legal entity. If there are several companies in the database and the field is not filled in, you will mix other companies' invoices with yours and will not reconcile with any counterparty.
Type of invoices (Issued / Received / All) Separates sales (you are the seller) and receipts (you are the buyer). With "All" the lines get mixed; for reconciliation in one direction this is inconvenient.
Filter by counterparty Leaves only the invoices of the selected partner — what is needed for a reconciliation statement. Without a filter the list will be huge, and you will have to look for the needed line by eye.
Filter by contract / warehouse / consignee organization Pinpoint reconciliation by a specific contract. Too broad a filter — extra lines; too narrow — "missing" lines.
Grouping / order (by counterparty, by date, by invoice type) Controls the table structure and subtotals. An inconvenient grouping does not distort the amounts but makes reading harder.
ESF status / only not issued ESF (if present in the report variant) Shows for which sales an ESF has not yet been issued in the ESF IS. Miss it — and you risk not issuing the ESF on time.

After setting up, click "Generate". With the "Settings" button (or "More → Change report variant") you can add/remove columns: counterparty BIN/IIN, amount without VAT, VAT amount, rate, ESF indicator, ESF issue date.

4. A worked example with figures and postings

For Q3 2026, for "Your Company" LLP there are two transactions with counterparties.

Operation 1 — sale (you are the seller). Goods worth 1,000,000 ₸ without VAT were shipped to "Astana Trade" LLP. VAT at a rate of 16% = 160,000 ₸. Total invoice (ESF) is 1,160,000 ₸. Cost of goods — 700,000 ₸.

Postings of the "Sales of Goods and Services" document, whose data enters the register as an issued invoice:

Dr Cr Amount, ₸ Description
1210 6010 1,000,000 Revenue from sales, buyer's AR
1210 3130 160,000 VAT payable (16%)
7010 1330 700,000 Cost of goods written off

Operation 2 — receipt (you are the buyer). Goods worth 500,000 ₸ without VAT + VAT 16% = 80,000 ₸, total 580,000 ₸ were received from "Snab" LLP. The supplier issued you an ESF.

Postings of the "Receipt of Inventory and Services" document, whose data enters the register as a received invoice:

Dr Cr Amount, ₸ Description
1330 3310 500,000 Goods received, AP to supplier
1420 3310 80,000 VAT recoverable (for offset)

How it looks in the report. You set the period 01.07.2026–30.09.2026, the organization, type "All" — the register outputs:

Type Date Invoice No. Counterparty BIN Without VAT, ₸ VAT 16%, ₸ Total, ₸ ESF
Issued 12.07.2026 ESF-000045 "Astana Trade" LLP 12040… 1,000,000 160,000 1,160,000 Issued
Received 20.08.2026 ESF-000112 "Snab" LLP 05114… 500,000 80,000 580,000 Received
Total issued 1,000,000 160,000 1,160,000
Total received 500,000 80,000 580,000

Now let's return to the reconciliation statement from the introduction. The counterparty showed you 1,160,000 ₸ — in the register there is exactly this line, the ESF is issued. This means the discrepancy was on their side (for example, they did not allocate your payment). The question is closed in a minute.

5. Operation types (report variants)

There are no separate "operation types" here as with a document. There are selection variants:

  • Issued invoices — where you are the seller (sales, advance invoices).
  • Received invoices — where you are the buyer (receipt).
  • All — both directions in one list.
  • Additionally — a filter by the paper / electronic (ESF) indicator, by counterparty, contract, VAT rate.

6. What is generated during work

Here is an important point that is often confused. This is a report. When you click "Generate", it:

  • makes no accounting postings;
  • creates no movements in accumulation and information registers;
  • does not issue or send ESF and SNT to the ESF IS;
  • posts nothing and writes nothing to the database.

It only reads already existing data — sales/receipt documents and the invoices associated with them — and outputs them in a table. All postings and electronic documents (ESF, SNT) are created by primary documents: "Sales of Goods and Services", "Invoice (issued/received)", "Receipt of Inventory and Services". The register merely shows the result.

7. Printed forms

  • The on-screen tabular form of the report — it is what is printed as the "Invoice Register".
  • The "Print" button — outputs the generated table to a printer.
  • The "Save" / "More → Save as" button — export to Excel (.xlsx), PDF, Word, tabular document (.mxl).
  • "Send" — sending the generated report by email as an attachment (if a mail account is configured).

8. Common mistakes

"Organization not selected" (or the report is empty when there are several legal entities). → There are several organizations in the database, and the "Organization" field is not filled in. Fill it in the header and generate again.

The report is empty, although the invoices definitely exist. → Check the period: most often it is shifted (set to the previous quarter) or the invoice date falls outside the boundaries. Check the filter — perhaps there is a filter by counterparty/contract under which nothing falls.

The amounts in the register do not match the VAT declaration (form 300.00). → The register is built from invoices, while the declaration is built from VAT turnovers taking into account adjustments, exempt turnovers, and proportional offset. A discrepancy is normal; reconcile the register not with the declaration, but with the invoice registers and ESF IS data.

There is no line in the register, but you definitely issued the ESF in the ESF IS cabinet. → The ESF was issued directly in the web cabinet, but the sales document/invoice was not created in 1C. The report sees only the 1C database data. Enter the document into the accounting records.

Duplicate lines for the same counterparty. → Usually this is a separate advance invoice and a shipment invoice — these are two different invoices, not a duplicate. Check the numbers and type.

9. FAQ

Does this report make postings? No. It is a report: it only outputs data, does not post documents, and creates no movements on accounts and registers.

Where do I get the navigation link to open the report right away? e1cib/list/Отчет.ЖурналУчетаСчетовФактур — paste it into "Main menu → Tools → Go to navigation link".

Does the register show electronic invoices (ESF)? Yes. Both paper and electronic invoices enter the report; in the settings you can output a column with the status and issue date of the ESF.

What VAT rate will I see in 2026? The standard VAT rate in Kazakhstan in 2026 is 16%. In the example, on a turnover of 1,000,000 ₸ the VAT is 160,000 ₸. The 12% rate is outdated and should not appear in new documents.

Can the register be generated for only one counterparty? Yes, set a filter by counterparty (and, if necessary, by contract) in the report header — only its invoices will remain. This is the standard technique for a reconciliation statement.

Why do the register amounts not equal the VAT declaration? The declaration takes into account adjustments, non-taxable and exempt turnovers, and the offset proportion. The register is a simple list of invoices. Small discrepancies are the norm.

Is it mandatory to maintain and submit this register? Requires checking for your tax regime: after the transition to mandatory ESF issuance, the paper register as a standalone tax form has effectively lost its role, and in most cases the report is used for internal control and reconciliations rather than for submission to the state revenue authorities.

How do I export the register to Excel? Generate the report and click "Save" (or "More → Save as"), select the .xlsx format.

The report is empty — what to check first? The period and the filter. 9 out of 10 "empty" reports are a shifted period or an extra filter by counterparty/contract.

Can I see for which sales an ESF has not yet been issued? Yes, if you enable the ESF status column in the report variant (or the "not issued" filter). This makes it convenient to control the issuance deadlines.

10. Related documents

The register creates nothing "based on" — it reads the data of these objects:

  • Sales of Goods and Services — source of issued invoices.
  • Invoice (issued) / ESF issued — the issued invoice itself, enters the register.
  • Receipt of Inventory and Services — source of received invoices.
  • Invoice (received) / ESF received — the received invoice.
  • Advance invoices — are also reflected in the register.
  • Related reports for reconciliation: "Invoice Registry", Analysis of account 3130 / 1420, VAT declaration (form 300.00), exports from the ESF IS.

How to find out your release: Main menu (▼ at the top left) → "Help" → "About". There the 1C:Enterprise platform version and the configuration release are indicated.

The instruction was prepared for "Accounting for Kazakhstan", edition 3.0, release 3.0.74.2. In other releases the names of sections and the set of columns may differ.
