The error "warehouse address does not match the actual address" when sending an ESF (electronic invoice) occurs due to outdated data in the warehouse card that does not match the actual address registered in the system. In most cases, the problem is solved by updating the data directly in the card of the problematic warehouse via the "Update warehouse" button, after which the document goes through without errors.

Why the error occurs

The "Virtual Warehouse" module (accounting for goods subject to traceability, and the ESF module) checks the warehouse address specified in the document against the data registered in the information system. If the warehouse card in 1C stores an address that differs from the actual one (current in the registry), the system rejects the document when sending the ESF. Typical reasons for the discrepancy:

  • the warehouse address was changed in the registry, but the old data remained in the 1C card;
  • the warehouse card was filled in manually and was not synchronized with the system;
  • after relocating or registering a new facility, the data was not pulled into the database;
  • the address details were filled in with errors (extra spaces, abbreviations, a different format).

It is important to understand that the error refers to a specific warehouse — the one indicated in the message text when sending the ESF. It is precisely this warehouse that should be dealt with first.

How to fix it: step-by-step procedure

  1. Open the card of the problematic warehouse — the one indicated by the error when sending the ESF.
  2. Find the tab or section related to Virtual Warehouses.
  3. Click the "Update warehouse" button — this will pull the current address data from the system.
  4. After updating, retry sending the ESF.

As a rule, after this action the error disappears, and the document goes through without problems. The "Update warehouse" button requests data directly from the information system and brings the address in the card into line with what is registered in the registry.

If the error persists

If the error does not disappear after updating the warehouse, you should check whether the actual address itself in the registry is up to date — additional data synchronization may be required. In this case, proceed as follows:

  • Check the address in the registry. Make sure that the information system itself (taxpayer's cabinet / virtual warehouse module) specifies the correct actual address of the facility. If there is an error in the registry, updating in 1C will not help — you first need to correct the data on the system's side.
  • Verify the facility details. Check that the warehouse in 1C is linked to the same facility (by code/identifier) that is registered in the system. If the warehouse is matched incorrectly, the update will pull in someone else's address.
  • Check the address format. The discrepancy may lie not in the address itself, but in its spelling — extra characters, a different order of elements, abbreviations. Bring the spelling into line with the form used in the registry.
  • Repeat the synchronization. After changes in the registry, the data needs time to update; repeat clicking "Update warehouse" and try sending the ESF again.

If this does not help either, it makes sense to contact the technical support of the organization providing 1C services or the support for ESF-related issues, attaching the exact error text and the data of the problematic warehouse.

How to avoid the error in the future

  • Whenever the actual warehouse address changes, first update the data in the registry, and then pull it into the warehouse card in 1C.
  • When creating a new warehouse, immediately perform a data update so that the address is pulled from the system rather than entered manually.
  • Periodically reconcile warehouse addresses in 1C with those registered in the system, especially before mass issuance of ESF.
  • Do not edit the warehouse address manually "over" the pulled-in data — this creates a discrepancy with the registry.
