If electronic invoices are not being uploaded to the database, the reason usually lies in the settings of the exchange parameters with the ESF (electronic invoice) system — they need to be checked and adjusted if necessary. Below we will go through the diagnostic procedure: from the exchange settings in 1C to the state of the account in the ESF IS (information system) itself.
Where to start
Open the data exchange settings with the ESF system in your 1C:Accounting for Kazakhstan configuration and check whether the connection and synchronization parameters are specified correctly. It is precisely incorrect or corrupted exchange settings that most often become the reason why documents stop being uploaded automatically. After checking and adjusting the parameters, restart the exchange — the ESF upload should resume.
Before changing anything, record the current behavior: at which stage exactly the failure occurs (authorization, retrieving the document list, uploading a specific ESF) and what error message the program displays. The error text is the main clue; the further course of action depends on it.
What to check in the exchange settings
- Connection parameters with the ESF IS. Make sure that the correct service address is specified in the settings, as well as the login and credentials under which the exchange is performed.
- Electronic digital signature (EDS/certificate). Check that the certificate being used has not expired, corresponds to the correct taxpayer, and is properly installed in the system. An expired or incorrect signature is a common reason for authorization failure.
- Synchronization settings. Verify the period for which the upload is performed, as well as the filters by counterparties/document types — due to a narrow period or filter, the required ESF may simply not fall into the selection.
- Configuration release relevance. Make sure that the current version of 1C:Accounting for Kazakhstan is installed. When changes occur in the ESF system, older releases may stop exchanging data correctly.
- User rights. Check that the user under whom the exchange is launched has rights to upload ESF documents.
What to check outside of 1C
Sometimes the reason lies not in the configuration but in external conditions. Pay attention to the following:
- Availability of the ESF IS itself. Log in to the ESF web cabinet and make sure that the documents are there and the system is working normally. If the service is unavailable or maintenance work is being carried out, uploading to 1C will also be impossible.
- Internet connection and access to the service. Check that the workstation has access to the ESF system addresses and that it is not blocked by a firewall, antivirus, or proxy.
- Taxpayer status in the ESF IS. If the account is blocked or there are restrictions, the exchange may not go through.
Step-by-step diagnostic procedure
- Write down the error text that 1C displays during the exchange.
- Check whether the ESF web cabinet opens and whether the required documents are visible there.
- Check the validity period and correctness of the EDS certificate.
- Open the ESF exchange settings in 1C and verify the connection parameters, credentials, and synchronization period.
- Make sure that the current configuration release is installed.
- Adjust the settings and restart the exchange.
- If the error persists — save the registration log/exchange log to pass on to a specialist.
Typical errors
- An expired or incorrect EDS certificate, causing the system to reject authorization.
- Connection parameters with the ESF that got corrupted after an update or database transfer.
- Too narrow a synchronization period or filter — documents are "not visible" during upload.
- An outdated configuration release that does not support the current exchange format.
- Connection blocking by an antivirus, firewall, or proxy server.
- Attempting to upload under a user without the necessary rights.
What to check (checklist)
- Whether the connection parameters and credentials in 1C match the actual data in the ESF IS.
- Whether the EDS certificate is valid and correctly selected.
- Whether the synchronization period and filters are set correctly.
- Whether the current configuration release is installed.
- Whether the ESF IS is available and whether there are documents there for the required period.
- Whether there is a connection block on the network side.
If it is difficult to figure out the settings on your own, it makes sense to turn to a 1C support specialist who will configure the exchange correctly and make sure that all parameters comply with the requirements of the electronic invoice system. When contacting a specialist, prepare the error text and information about the stage at which the upload is interrupted in advance — this will speed up the resolution of the problem.
