Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

You are closing the month. You run "Month-End Closing" — and it complains: there are negative stock balances for goods, cost cannot be calculated. Or more simply: the storekeeper swears the coffee is on the shelf, but in the turnover balance on account 1330 it shows minus 10 kg. Or the profit by item item turned out to be astronomical, because the goods were written off "to zero" — at zero cost, since at the moment of sale it was not yet in the warehouse. All of this is one and the same symptom: somewhere a balance went negative. The "Negative Stock Balance Control" report shows exactly where, on what date, and in which document this happened, so that you don't have to search for a needle in a thousand postings manually.

1. Purpose

The report finds items and accounts where the balance became negative. It does not change data and does not make postings — it makes a diagnosis: it shows the goods, warehouse, accounting account, date, and the document that caused it to "go negative". Then you correct the sequence of documents and the negative disappears.

2. Where to find it

Path in the interface:

  • The "Warehouse" section (in some interfaces — "Inventory" / "Inventory Accounting") → the "Reports" block → "Negative Stock Balance Control".

A quick way is to open it directly via a navigation link. The "Tools" menu (or the ☰ icon) → "Go to navigation link" → paste:

This link opens the report instantly, bypassing the search through sections. It is convenient to save it to favorites (the star) if you check balances regularly.

2a. How to find out your release

The "Help" → "About" menu. In the window that opens you will see two important lines: the platform version (for example, 8.3.24.xxxx) and the configuration release — "Accounting for Kazakhstan, edition 3.0 (3.0.74.2)". The guide is written for release 3.0.74.2. If you have a different release, the location of the report button may differ slightly, but the logic and fields are the same.

3. How to fill it in (configure the report)

The report is not posted and is not saved as a document. You set the selection parameters and click "Generate". Let's go through each field.

Period / As of date (required) Sets the moment as of which balances are checked. Usually the end of the month or the current date is set. Too early a date — you won't see negatives that appeared later. Too late — you'll see negatives that have already been "closed" by a later receipt, and you'll be fixing a non-existent problem.
Organization (required if there are several in the database) Limits the data to one company. An empty field with several organizations — a mess of others' balances in one table, nothing can be understood.
Warehouse Selection by a specific warehouse. Leave empty to check all warehouses at once. If you set the wrong warehouse — the negative in a neighboring warehouse will go unnoticed.
Item / Group Check a single item or folder. Convenient when "Month-End Closing" has already named the problematic position. Too narrow a selection will hide related positions (for example, components).
Accounting account Limit the check to an inventory account: 1310, 1320, 1330 (goods), 1350. The wrong account — a negative on a different inventory account won't be shown.
Control type (accounting / warehouse accounting) Choice of data source: balances by accounting accounts or by the warehouse accounting register. By default both are checked. By disabling one, you risk missing a discrepancy between the warehouse and accounting.
Settings → Grouping How to build the rows: Warehouse → Item → Document. Without grouping by document you will see the "negative" but won't understand which document created it. Keep the detail down to the recording document.

Practice: set the period to the last day of the month being closed, select the organization, leave the warehouse and account empty (the full picture), and be sure to enable grouping down to the recording document. Click "Generate".

4. A worked example with postings

Situation. LLP "Aromat" trades in coffee. There are two documents in the database:

  • 10.01.2026 — "Receipt of Inventory and Services": 10 kg of coffee beans were purchased at 3,000 ₸/kg. Posting: Dr 1330 Cr 3310 = 30,000 ₸, VAT Dr 1420 Cr 3310 = 4,800 ₸ (16% of 30,000).
  • 05.01.2026 — "Sale of Inventory and Services": 10 kg sold at 5,000 ₸/kg.

Note: the sale is earlier than the receipt. As of 05.01 the goods are not yet in the warehouse.

Postings of the sale dated 05.01.2026 (income and VAT):

Here is the root of the problem. The cost was written off as zero, because on 05.01 the balance on account 1330 is zero and goes to −10 kg. The gross profit on the position "ballooned" to 50,000 ₸ instead of the real 20,000 ₸.

What the "Negative Stock Balance Control" report will show (period — 31.01.2026):

How to fix it. The problem is in the chronology. You correct one of two things:

  1. move the receipt date to 04.01.2026 (before the sale), or
  2. if the dates are correct and the problem is in the input order — run "Restoration of the batch accounting sequence" (Operations → Period Closing) or a batch re-posting of the documents for the month.

After re-posting, the cost on 05.01 will be picked up correctly:

The profit becomes honest: 50,000 − 30,000 = 20,000 ₸. You generate the report again — the row is gone, there is no negative. Only now does it make sense to run "Month-End Closing".

5. Types (modes) of the report

This is a report, not a document, so it has no "operation types". But it has control modes — essentially, what it can check:

  • By accounting — negative balances on inventory accounts (1310, 1320, 1330, 1350).
  • By warehouse accounting — negative balances on the warehouse quantitative accounting register (without accounts, only quantity by warehouses).
  • Reconciliation warehouse ↔ accounting — discrepancies between the quantity in the warehouse and the balance on the account (a frequent cause of "floating" cost).
  • Detail down to the document — a grouping mode where the recording document that generated the negative is visible.

6. What you get when generating

The report does not make postings, does not generate ESF or SNT, does not move registers — it is an analysis tool, not a primary document. As output you get:

  • a table with columns: warehouse, item, account, quantity and amount of the negative balance, date of occurrence, recording document;
  • a drill-down: a double-click on a row opens either the account card or the document itself that caused the "going negative" — you can open and correct it right away;
  • color highlighting of negative values (usually in red) so that negatives catch the eye.

Electronic documents (ESF via the ESF IS, SNT) are generated by movement documents — sale, transfer. This report only helps to find documents where the quantity is incorrect, so that you correct them before issuing an ESF/SNT.

7. Printed forms

The report has no separate primary document form — the result of its generation is printed:

  • "Print" — output of the generated table to the printer.
  • "Save as…" — export to Excel (.xlsx), PDF, spreadsheet document (.mxl).
  • "Send" — attach the result to an email (for example, to the storekeeper or for approval).

Before printing, set up the grouping and selection — exactly what is on the screen is printed.

8. Common mistakes

Message: "Negative stock balances for goods of organizations. Posting is impossible (or completed with an error)". Occurs when posting a sale/write-off when the prohibition of write-off in excess of the balance is enabled. The cause — there are no goods as of the document date. Solution: check the receipt (date, warehouse, item), if necessary move the receipt date or run the sequence restoration. The prohibition setting is "Administration → Accounting Parameters → Inventory → Negative Stock Balance Control".

Error: "Cost not calculated. There may be negative balances" during month-end closing. "Month-End Closing" cannot allocate cost to positions with a negative. Solution: first generate this report, eliminate all rows, then restart the closing.

The negative appears and disappears when the period changes. The classic "backdating": a late receipt document covers an early negative. Formally, at the end of the month the balance is positive, but during the month there was a negative — and the cost as of the sale date went to zero. Solution: look not only at the end of the period, but also at the date the negative arose, re-post the documents in chronological order.

The report is empty, although month-end closing complains. Most likely, too narrow a selection is set (the wrong warehouse/account/organization) or the report date is earlier than the date of the problematic document. Remove the selections, set the date to the end of the month, generate again.

Discrepancy warehouse ↔ accounting. By warehouse accounting there is no negative, but on account 1330 there is (or vice versa). Usually the cause is a document that set the wrong accounting account for the item, or a manual operation on the inventory account without a warehouse movement. Look for manual operations on accounts 1310–1350.

9. FAQ

Q: Does the report make any postings or fix the negative itself? A: No. This is a diagnostic report. It only shows where the negative is and because of which document. You fix it — with document dates or by restoring the sequence.

10. Related documents

The report itself is not entered on the basis of anything and is not a basis for anything. But it works in conjunction with inventory movement documents:

Documents that most often create a negative (these are the ones you correct):

  • "Sale of Inventory and Services" — sale earlier than receipt;
  • "Write-off of Inventory", "Requisition-Invoice" — expense in excess of the balance;
  • "Transfer of Inventory" — transfer of what is not yet in the sending warehouse;
  • "Production Report for the Shift" — write-off of materials ahead of their receipt.

Documents used to eliminate the negative:

  • "Receipt of Inventory and Services", "Receipt Invoice" — add/redate the receipt;
  • "Posting of Inventory" — post the goods that are actually available;
  • "Inventory Count" — align accounting with the actual facts;
  • "Restoration of the batch accounting sequence" / batch re-posting — bring order to the chronology.
