Verified on release 3.0.74.2 "Accounting for Kazakhstan" (edition 3.0).

You opened the trial balance, added a column with counterparties, set a filter by account 1210, and enabled color highlighting of negative balances. The report became convenient. You closed it — and the settings disappeared. The next day you had to rebuild everything from scratch. To prevent this, the setup must be saved as a report variant. This is exactly what the "ReportVariants" object is responsible for.

Important right away. This is not an accounting document. "ReportVariants" does not create postings, does not calculate VAT, does not issue an ESF or SNT, and does not move accounting registers. It stores only the report layout: which fields, groupings, filters, and colors you set. That is why this guide contains no analysis of Dr/Cr — the object physically does not have them, and inventing them would be deceptive. Below is how to actually use this object.

1. Purpose

"ReportVariants" is a storage of report settings. One report (for example, the trial balance) can have dozens of variants: "Trial balance for all accounts", "Trial balance 1210 by counterparties", "Debts over 90 days". You build the required view once and save it under your own name so you can open it in one click.

2. Where to find it

Three ways:

- From the report itself. Open any report (for example, Reports → Trial balance). At the top there is the "Select variant" button (a list of saved variants) and "Settings" (editing the current one). Through "More → Other → Change report variant" the designer opens.

- As a list of all variants. The "All functions" command (the Tools menu or the "star/gear" icon) → the Catalogs section → Report variants. Here you can see all variants for all reports at once.

- A direct 1C navigation link. The "Tools → Go to navigation link" menu, paste:

e1cib/list/Документ.ВариантыОтчетов

The object's list will open directly.

2a. How to find out your release

The "Help → About the program" menu (or the "i" icon in the top right corner). In the window that opens:

- Platform version — for example, "1C:Enterprise 8.3.24…";

- Configuration — "Accounting for Kazakhstan, edition 3.0";

- Version — here is your release, for example 3.0.74.2.

Check the release before applying the instruction: the location of buttons may differ between versions.

3. How to fill it in (create a variant)

A variant is almost never created "from scratch through the catalog" — it is saved from a ready report. The procedure is as follows:

- Open the report and click "Settings" (or "Change report variant").

- Configure the view: add/remove fields, groupings (rows and columns), filters, sorting, conditional formatting.

- Click "Finish editing" → "Save report variant…".

- In the save window, fill in the fields.

Key fields of the save window and the variant card:

Field
Why it is needed and what happens on error

Name (required)
How the variant is named in the "Select variant" list. Give a descriptive name ("Trial balance 1210 by counterparties"). An empty one or "Variant1" — you won't find the right one later.

Report (required, filled in automatically)
Which report the variant is linked to. It is not changed manually — otherwise the variant will "detach" from its report and won't open.

Placement / Availability
"Only for me" — only you see the variant. "For all users" — everyone will see it (rights are needed). If you make a mistake — colleagues either won't find your variant, or, on the contrary, you will clutter the common list.

Author
Who created the variant. Filled in with the current user. It is later used to search for "whose variant this is".

Group/section (placement in the reports panel)
In which section of the command interface to display it. If not specified — the variant is still available from the report form, but will not appear in the common panel.

Note / Description
Free text: what the variant is for. Not required, but helps colleagues.

Settings (structure, filters, formatting)
The very "body" of the variant — stored inside the object. This is exactly what you built in the designer.

The actually required fields are Name and Report. The rest is about convenience and access.

4. Worked example

Task: make a trial balance variant that shows only settlements with customers (account 1210) broken down by counterparties, so you can quickly see receivables.

Steps:

- Reports → Trial balance, period — Q3 2026.

- Settings → Show settings. In "Filters" you add the condition: Account = 1210.

- In "Row groupings" you set: Subconto1 (Counterparties).

- In "Conditional formatting": if Closing balance Dr > 0 — yellow background (visually catch debtors).

- Generate — the report produces a table. Numbers (example):

Counterparty
Opening balance Dr
Turnover Dr
Turnover Cr
Closing balance Dr

LLP "Astana Trade"
0
2 320 000
1 000 000
1 320 000

SP Kim
145 000
580 000
725 000
0

LLP "Caspiy Logistic"
0
928 000
0
928 000

Total
145 000
3 828 000
1 725 000
2 248 000

Here the amounts include VAT at the rate of 16% (for example, a shipment of 2 000 000 ₸ + VAT 320 000 ₸ = 2 320 000 ₸ for "Astana Trade") — these are the figures of the accounting itself that made it into the report.

- The setup suits you → "Save report variant…" → Name: "Trial balance 1210 — customer receivables", availability — "Only for me" → Save.

What happened "in the postings"? Nothing. Not a single accounting entry was created. The only movement is that a new element with your setting appeared in the "ReportVariants" list. Tomorrow you open the trial balance → "Select variant" → "Trial balance 1210 — customer receivables" — and immediately see the same yellow table for the required period.

5. Kinds (types of variants)

- Predefined — supplied together with the configuration (standard views of the trial balance, account analysis, account card). They cannot be deleted, but can be copied and the copy modified.

- User — created by you or colleagues.

- Personal ("only for me") — seen only by the author.

- Shared ("for all users") — seen by everyone who has rights to the report.

In essence there is one "operation type" here — storing a setting; variants differ only by origin and scope of visibility.

6. What is generated upon recording

- A record in the "Report variants" list — a new or modified element with the saved structure, filters, and formatting.

- The variant appears in the "Select variant" list of the corresponding report, and with a specified placement — also in the reports panel of the section.

What is not generated (and should not be): postings to accounts (1210, 6010, 7010, etc.), movements in accumulation/information accounting registers, electronic documents ESF and SNT, tax calculations. The object has nothing to do with accounting and tax movements.

7. Printed forms

The variant itself has no separate printed form — the report built according to the variant is printed. From the report form the following are available:

- Print the generated report (the "Print" button / Ctrl+P);

- Save the result to a file: "Save as…" → Excel (.xlsx), PDF, .mxl, HTML;

- Send the spreadsheet document by email (if an account is configured).

That is, the variant defines how the output looks, and the report result itself is what gets printed and exported.

8. Common mistakes

- "Report variant not found" when opening a saved link. Usually the variant was deleted or was personal to another user. Solution: recreate the variant or open the report and select an existing variant again.

- "Insufficient rights to save the report variant for all users." You do not have the right to publish shared variants. Save it as "Only for me" or ask the administrator to grant the right or to save the variant on behalf of the administrator.

- The variant was saved, but colleagues do not see it. You chose "Only for me". Open the variant card and change the availability to "For all users".

- After a configuration update the user variant "went wrong". If in the new release the report's set of fields changed, the old setting may refer to a missing field. Open the variant, remove the "broken" fields, and save again.

- The list of variants is cluttered. You spawned "Variant1", "Variant2 (copy)". Go to All functions → Catalogs → Report variants, mark the unnecessary ones for deletion, and perform deletion of the marked objects.

- The period is not saved. In most reports the period is relative/session-based and is not always "baked into" the variant — when opening, check and set the period again, or specify it in the filters with an explicit date.

9. FAQ

Q: Is "ReportVariants" a document? Does it create postings?
A: No. Despite the technical name of the kind "Document…", in essence it is a catalog-storage of report settings. It does not create postings, register movements, or tax calculations.

Q: How do I save my report setup so I don't have to build it every time?
A: Configure the report → "Finish editing" → "Save report variant…" → set a name → choose availability → "Save".

Q: How does "Only for me" differ from "For all users"?
A: A personal variant is seen only by you; a shared one — by all users with rights to this report. To publish a shared variant you need the appropriate rights.

Q: I ruined the standard report view. How do I restore it?
A: In the report form select the predefined (standard) variant in the "Select variant" list. Predefined variants are not deleted and are always available as a "reference".

Q: Can I copy someone else's variant and refine it?
A: Yes. Open the variant, make changes, and save it under a new name via "Save report variant…" — the original will remain untouched.

Q: Where are my variants stored — in the database or on my computer?
A: In the information base itself, in the "Report variants" list. That is why personal variants are available to you from any workstation when logging in under your user.

Q: Why are the amounts with VAT in the variant calculated at 16%?
A: The rate is taken from the accounting data, not from the variant. Since 2026 a VAT rate of 16% is in effect in the RK; the variant merely shows the already calculated amounts in a convenient breakdown.

Q: How do I delete unnecessary variants?
A: "All functions → Catalogs → Report variants", mark the unnecessary ones for deletion, then "Administration → Deletion of marked objects". Predefined ones cannot be deleted.

Q: Can I export a report by variant to Excel?
A: Yes. Generate the report with the required variant and click "Save as…" → .xlsx (or PDF/HTML). The report result is exported, not the variant object itself.

Q: I opened a saved link to a report — it says "variant not found". What should I do?
A: The variant was deleted or it is someone else's personal variant. Build the report again with the required variant and, if necessary, save it for everyone.

10. Related objects

- Reports (Trial balance, Account analysis, Account card, General ledger, tax reports) — each variant "lives" inside a specific report and does not exist without it.

- Users — define the author and the visibility of personal variants.

- The section's reports panel — where a shared variant is displayed if its placement is set.

- User settings storage — alongside variants it stores the current (unsaved) settings of forms and reports.

A report variant is not entered "on the basis of" an accounting document and does not itself generate documents — it is linked only to the report.

How to find out your release

Help → About the program: the Platform version line (for example, 8.3.24) and the Configuration version — "Accounting for Kazakhstan, edition 3.0", release 3.0.74.2. The location of the "Settings" and "Select variant" buttons may differ between releases, so check.

This guide was prepared for "Accounting for Kazakhstan", edition 3.0, release 3.0.74.2.
