Verified on release 3.4.5.21 "Trade Management for Kazakhstan" (edition 3.4).

You issue a waybill for goods (SNT) to a customer, click "Post", and 1C stops you: "Consignee's virtual warehouse is not filled in." Or the other way around — a supplier sent you an SNT, the goods left one of their virtual warehouses, but you received them into a completely different one, and the balances in your ESF IS account "don't match." In both cases, you end up here — in the "Counterparty's Virtual Warehouses" reference book. It's a small but critical reference book: until it has the correct warehouse identifier for your counterparty, the electronic waybill won't go through to the government system.

1. Purpose

The reference book stores the virtual warehouses (VW) of your counterparties — the same warehouses from the "Virtual Warehouse" module of the ESF IS, between which traceable goods are legally moved. You specify these warehouses in the SNT as shipment and receipt points so that the movement of goods in your 1C matches the movement in the SRC (State Revenue Committee) account. Each record is subordinate to a specific counterparty.

2. Where to find it

This is a subordinate reference book — you can't open it directly from the menu, only through the owner counterparty:

- Master Data and Administration → Partners → Counterparties → open the desired counterparty → the "Virtual Warehouses" tab/hyperlink (or "More → Counterparty's Virtual Warehouses").

- In the SNT document — in the "Consignor's/Consignee's virtual warehouse" field, click the selection button → "Show all" → "Create".

To open the list directly in 1C: Main menu → Tools → Navigate by reference link and paste:

2a. How to find out your release

Help → About (or the "i" icon in the top right corner). In the window that opens, the top line is the platform version (8.3.xx), below is "Trade Management for Kazakhstan, edition 3.4" and the release number, for example 3.4.5.21. The instructions below have been verified on exactly this release; on neighboring 3.4.x releases the set of fields is the same.

3. How to fill it in

Open the counterparty's card, go to its virtual warehouses, click "Create".

Field
Required
Why, and what happens if you get it wrong

Owner (Counterparty)
Yes
Filled in automatically from the counterparty's card if you create it from within the counterparty. If you create it from a document — select it manually. Get the owner wrong, and the warehouse will end up attached to the wrong partner, and it won't be selectable in the SNT.

Name
Yes
Your working name, for example "Main warehouse of Bereke LLP" or "Store on Abai Ave." Only you see it — it doesn't go to the government system. Make it descriptive — with several counterparty warehouses, you select the right one by name.

VW identifier (virtual warehouse number)
Yes, effectively
The warehouse code assigned in the counterparty's ESF IS account. This is exactly what goes into the electronic SNT. Get even one digit wrong, and the waybill either won't be accepted by the SRC, or the goods will "land" in a stranger's warehouse and VW balances will diverge. Confirm it with the counterparty or in the SNT they issued to you.

BIN/IIN
Indirectly
Usually inherited from the counterparty. The virtual warehouse is "tied" to the owner's BIN — this is how the government system knows whose warehouse it is. Check that the BIN in the counterparty's card is correct.

Address / KATO
No
The warehouse location (KATO code). Filled in if the goods require geographic binding (e.g., excisable or restricted-circulation products).

Main (flag)
No
Mark the warehouse that is substituted by default. Doesn't matter with one warehouse; with several — saves clicks and reduces the risk of picking the wrong one.

Comment
No
Free-form note for yourself.

After filling it in — "Save and close". Now this warehouse is available for selection in all SNTs for this counterparty.

Important: this reference book by itself does not generate any postings or register movements — it is master reference data. It "works" inside SNT and sales/receipt documents. That's why the example below is worked through on the "SNT + Sale" chain, where the virtual warehouse is actually involved.

4. Worked example with postings

Situation. Astana-Trade LLP (you, a VAT payer) sells 100 packages of traceable goods to Bereke LLP at 1,160 KZT with VAT. The goods are traceable — meaning an SNT is required for the sale.

Step 1. Set up the virtual warehouses.

- Your own VW (in the "Organization's Virtual Warehouses" reference book): "Central warehouse", identifier KZ-01234567.

- Counterparty's VW (in our reference book): owner — Bereke LLP, name "Bereke Warehouse (Dostyk Ave.)", identifier KZ-07654321.

Step 2. Calculate the amounts (VAT 16%).

Indicator
Amount, KZT

Cost excluding VAT (100 × 1,000)
100,000

VAT 16%
16,000

Total payable
116,000

Cost of goods (100 × 600)
60,000

Step 3. Postings for the "Sale of Goods and Services" document.

Dr
Cr
Amount, KZT
Description

1210
6010
100,000
Sales revenue, customer receivable

1210
3130
16,000
VAT 16% payable as part of the customer's debt

7010
1330
60,000
Cost of goods sold written off

Total for account 1210 (Bereke LLP receivable) — 116,000 KZT.

Step 4. SNT. Based on the sale, you create an SNT. In the header:

- Consignor → consignor's virtual warehouse = "Central warehouse" (KZ-01234567);

- Consignee → consignee's virtual warehouse = "Bereke Warehouse (Dostyk Ave.)" (KZ-07654321) — the very record from our reference book.

Upon posting, 100 packages are written off from your KZ-01234567 in the "Virtual Warehouse" module and credited to the counterparty's KZ-07654321. You send the SNT to the ESF IS — the counterparty confirms receipt.

Step 5. Payment. Money arrives: Dr 1030 Cr 1210 — 116,000 KZT, the receivable is closed.

If you had selected the wrong or a non-existent warehouse in the SNT, the postings in 1C would have stayed the same, but in the SRC account the goods would have "gone" to the wrong place, and the counterparty's VW balances wouldn't match. Hence the rule: the warehouse identifier in the reference book must be exactly the same as in the counterparty's account.

5. Operation types

The reference book has no separate "Operation type" switch — it's a static list. But by the role of the record, a counterparty's virtual warehouse is used in two scenarios:

- Consignee's warehouse — when you ship goods (sale, outgoing SNT). Goods go to the buyer's VW.

- Consignor's warehouse — when you receive goods (receipt, incoming SNT). Goods arrive from the supplier's VW; you verify that it matches.

6. What is generated when used

The reference book itself does not create any movements. They are generated by the documents where the virtual warehouse is substituted:

- Postings — in the sale/receipt (see example: 1210, 6010, 3130, 7010, 1330, etc.).

- Electronic documents — SNT (accompanying waybill for goods) specifying the consignor's and consignee's VW, and for taxable operations — an ESF (electronic invoice) in the ESF IS.

- Movements in the "Virtual Warehouse" module — write-off/credit of item positions by codes between warehouses (internal VW and traceability accounting registers), which are then synchronized with the SRC account.

7. Printed forms

The reference book's card itself has no printed form. Printing is done from the documents where the warehouse is involved:

- SNT — printed and electronic form of the accompanying waybill.

- Waybill for release of inventory to third parties (Form Z-2).

- Invoice (ESF) — for taxable sales.

- Goods waybill / act, if you're preparing accompanying sales documents.

8. Common errors

"Consignee's (consignor's) virtual warehouse is not filled in."
The SNT won't post. Open the document, in the consignee/consignor block select a warehouse from the reference book. If there isn't one — create it using the "+" button right in the selection field.

"The virtual warehouse does not belong to the specified counterparty."
You selected a warehouse tied to a different owner. Check the record's Owner field — it must match the counterparty in the SNT. If necessary, recreate the warehouse under the correct counterparty.

"The virtual warehouse identifier does not match the ESF IS data" / rejection when sending the SNT.
The identifier in the reference book doesn't match the actual VW number in the counterparty's account (typo, outdated warehouse). Take the exact identifier from the incoming SNT from the counterparty or request it from them, correct it in the warehouse card, resend the SNT.

"The BIN/IIN of the virtual warehouse owner is not specified."
A virtual warehouse cannot exist without a BIN. Open the counterparty's card, fill in the correct BIN, then go back to the warehouse.

Duplicate warehouses.
The same VW is set up twice under different names — the "wrong" one gets selected in the SNT. Mark the extra one for deletion and keep one record; if there are several real warehouses, give them different descriptive names.

9. FAQ

1. How does a counterparty's virtual warehouse differ from an ordinary warehouse (storage location)?
An ordinary warehouse is your internal logistics (shelves, premises) for management accounting of balances. A virtual warehouse is a warehouse from the government ESF IS, tied to a BIN, between which traceable goods officially "move" via SNT. These are different reference books with different purposes.

2. Is it mandatory to set up a virtual warehouse for every counterparty?
Only for operations that require an SNT: traceable, restricted-circulation, import/export, and excisable goods. For an ordinary sale without an SNT, a counterparty's virtual warehouse is not required.

3. Where do I get the counterparty's virtual warehouse identifier?
From the counterparty itself: it is visible in their ESF IS account and in the SNTs they issue to you (consignor's details). Request it officially — an error in a single digit breaks receipt.

4. The counterparty has several virtual warehouses — what should I do?
Create as many records as there are warehouses, with clear names (by address, branch). In the SNT, select the one goods actually go to/from. Mark the most frequently used one as "Main".

5. What is the VAT rate in the SNT for such goods?
Starting in 2026, the base VAT rate in Kazakhstan is 16%. If the operation is taxable, VAT on the sale is calculated at 16% (in the example above — 16,000 KZT on a base of 100,000 KZT), posting Dr 1210 Cr 3130.

6. Does the reference book generate postings?
No. It is master reference data. Postings (1210/6010/3130, 7010/1330) are generated by the sale or receipt document, and the movement of goods between warehouses is handled by the SNT and the "Virtual Warehouse" module.

7. Can I create a virtual warehouse directly from the SNT?
Yes. In the consignee's/consignor's warehouse selection field, click "Show all → Create". Set the owner to the same counterparty as in the document, specify the identifier — and the record is immediately available.

8. The SNT went to the wrong warehouse — what should I do?
Recall/cancel the incorrect SNT in the ESF IS according to the procedure, correct the identifier in the warehouse card, then issue the SNT again to the correct virtual warehouse. The sale's postings usually don't change — only the VW addressing is corrected.

9. Why isn't the counterparty's warehouse being selected in the SNT?
Three reasons: the record has a different Owner; the record is marked for deletion; or it was set up under a counterparty that doesn't match the consignee in the document. Check the owner and remove the deletion mark.

10. Related documents

What it's filled in based on / where it comes from:

- Counterparties — the record's owner; a warehouse cannot be created without the counterparty's card.

- Incoming SNT from the supplier — the source of the exact consignor's VW identifier.

Where it is used (what is entered involving this warehouse):

- SNT (accompanying waybill for goods) — the main consumer: consignor's and consignee's VW.

- Sale of Goods and Services / Receipt of Goods and Services — documents that generate postings to which the SNT is tied.

- Organization's Virtual Warehouses — the "mirror" reference book of your own ESF IS warehouses.

How to find out your release: Help → About — shows the 8.3 platform version and the configuration release. This material was prepared for "Trade Management for Kazakhstan", edition 3.4, release 3.4.5.21. On neighboring 3.4.x releases the reference book's field set is the same; in case of significant discrepancy, check the description for your version.
