If your release differs, the location of the "Versions" command and the set of buttons may slightly differ, but the logic remains the same.

3. How to "fill": version fields

You almost never fill this reference book manually — versions are created automatically when saving a file. However, understanding the fields is useful for reading the history and configuring storage. Below is what each field means and the consequences of incorrect values.

Incorrect extension — the file will not open with the required application.

Size
Volume in bytes.
Important for controlling storage limits.

Volume
Volume of file storage on disk (if the storage mode in volumes is enabled). Empty means the file is in the database itself.
If the volume is unavailable/full — the version cannot be saved or opened.

File storage / File path
Where the data physically resides: inside the database (value storage) or a path in the volume on the disk.
Broken path = "file not found" when opening.

Signed with EDS
Indicates that the version is signed with an electronic signature. A signed version cannot be changed.
Editing a signed version breaks the signature.

Essentially, only one is mandatory — Owner: without it, the version is not linked to anything. The rest is filled in automatically by 1C.

4. Analyzed example

Situation. You are managing a contract with LLP "Astana-Snab". A file Contract_2026.docx is attached to the contract.

- Version 1. You attached the original contract on January 15, 2026. An element was created: Version number = 1, Author = Ivanova, Size = 48 KB, Extension = docx.

- Version 2. On January 20, 2026, the lawyer asked to remove the prepayment clause. You opened the file for editing (Edit), made changes, clicked Finish editing, and wrote in the comment field "Removed prepayment". 1C created version 2, and version 1 remained in history.

- Version 3. On January 25, 2026, a signed scan was received from the counterparty — you replaced the content with a PDF. Version 3: Extension = pdf, comment "Final with signatures".

Now there are three entries in the version list. You need to check what exactly changed between versions 1 and 2:

- select both versions → Compare versions (for docx, comparison opens in Word with highlighted edits);

- see that the paragraph about prepayment has been removed — all correct.

Made a mistake and want to revert to version 1? Select it → Make active (Restore). Version 1 becomes current, but versions 2 and 3 are not deleted — the history is preserved in full. This is the main value of the reference book: no save is lost.

There are no entries here and cannot be — this is a file archive, not a business operation.

5. Types of operations (what can be done with a version)

- Create version — automatically when saving the edited file.

- Open version — view a specific edition without changing the current one.

- Save as... — export the selected version to disk.

- Compare versions — compare two editions (for Word/Excel — standard application comparison).

- Make active / Restore — designate an old version as current.

- Edit comment — clarify the note to the version.

- Delete version — clear unnecessary editions (usually available to the administrator; frees up space in volumes/database).

6. What is formed when working with versions

No accounting entries, ESF, SNT, and movements in tax registers are created by the object — we will repeat this directly to avoid searching for something non-existent.

What actually happens when saving a version:

- a new element of the "FileVersions" reference book is created;

- the owner file updates the link to the current (active) version;

- the version data is placed in storage: either in the file storage volume on disk or inside the information database;

- when performing a full-text search, 1C extracts the text of the version into a service field so that the file can be found by content;

- service attributes are recorded: author, date, size, EDS/encryption flag.

7. Printed forms

The reference book does not have classic printed forms (like an invoice) — it is not a reporting document. Available actions with the version:

- Open — view in the associated application;

- Save as... — export the version to a file on disk;

- Print — only using the application that opened the file (Word, Excel, PDF viewer), not through 1C.

8. Common errors

"File size exceeds the maximum allowable"
The limit from the settings has been triggered. Path: Administration → File Handling Settings → Maximum File Size. Increase the limit or compress the file (for example, PDF instead of a heavy scan).

"No working file storage volume found" / "Error writing file to volume"
Storage in volumes is enabled, but the volume is unavailable, full, or the user has no rights (network folder). Check Administration → File Handling Settings → File Storage Volumes: availability of the path, free space, write permissions for the user under which the 1C server operates.

"File is occupied by another user" / "File is locked for editing"
Someone has taken the file for editing and has not finished. Let them click Finish editing, or the administrator can unlock it through the Occupied Files list (Administration → Maintenance → Files occupied for editing).

"File version not found" / "Failed to retrieve file data"
The file was stored in a volume on disk, and the path/folder has changed or been deleted. Restore the volume folder from backup or specify the correct path for the volume. If the data is not available — the version cannot be opened, only a backup copy can help.

Version comparison does not start
For comparison in Word/Excel, MS Office must be installed and comparison enabled. For PDF and images, content comparison is not available — they can only be opened side by side.

Editing a signed version
A version marked "Signed with EDS" cannot be edited — the signature will become invalid. Create a new version based on a copy.

9. FAQ

How to view all versions of the attached file?
Open the file card → More → Versions. A list of all saves with the author, date, and comment will appear.

Can a previous version be restored if the new one was saved by mistake?
Yes. In the version list, select the desired one and click Make active (Restore). Newer versions are not deleted — they remain in history.

Are old versions deleted automatically?
No. By default, all versions are stored. Cleanup is manual (deleting unnecessary versions) or through scheduled storage settings if set by the administrator.

Where are the files physically located — in the database or on disk?
It depends on the settings. If file storage volumes on disk are enabled — data is in volumes, and only links are in the database. If not — files are stored inside the information database. See Administration → File Handling Settings.

Does this reference book create accounting entries or ESF?
No. This is a service object for storing files. It has no relation to VAT, IIT, chart of accounts, ESF, or SNT.

Why does the database size increase due to files?
Each version is stored separately, and when stored "inside the database," they weigh it down. The solution is to move storage to volumes on disk and delete unnecessary versions.

Who can delete versions?
Typically, a user with administrator rights or responsible for files. Regular users usually do not have access to delete versions — this is to protect the history.

Can two versions of a Word contract be compared?
Yes. Select both versions → Compare versions. The standard Word comparison will open with highlighted differences (Office must be installed).

What does the "Comment" field for a version mean?
This is your note that you enter when finishing editing ("took comments into account", "final"). It helps to quickly find the desired edition.

Is the file visible in the full-text search of 1C?
