Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).

The counterparty has sent you a reconciliation act, an invoice, and a scanned contract to your corporate email — three files attached. You read the email directly in 1C, so the message opened within the program. Now you need to save the attachments, sign one of them with an electronic digital signature (EDS), and send it back, and create a document in the database from the scanned act. All these files "attached" to the email are stored in the object "IncomingEmailAttachedFiles". This is a technical storage for attachments, and understanding how it works is useful when an attachment has "disappeared," won't open, or takes up too much space in the database.

1. Purpose

The document stores files attached to an incoming electronic email (IncomingEmail) in the built-in email client of 1C. One instance of the document = one attachment. This is a service object: it does not create accounting entries, does not generate electronic invoices (ESF) or tax returns (SNT), and does not calculate taxes. Its task is to reliably hold the file itself, its EDS signature, encryption, and extracted text for searching.

2. Where to find

This list is rarely needed by the accountant directly — usually, attachments are worked with from the email itself:

- Section "Main" (or "To the Manager") → "Mail" / "Current Mail Affairs" panel → open the incoming email → the "Attached Files" panel on the right or at the bottom of the email card.

- Double-click on the attachment — to open; right-click — "Save as," "Sign with EDS," "Encrypt," "Delete."

To open the service list of all attachments directly: "Service" → "Go to navigation link" and paste:

e1cib/list/Document.IncomingEmailAttachedFiles

This list will be useful for the administrator or when you need to assess how much space the attachments occupy in the database.

2a. How to know your release

"Help" → "About the program" (or the "i" icon in the upper right corner). In the opened window — the version of the platform (for example, 8.3.24) and the configuration release ("Accounting for Kazakhstan, version 3.0, release 3.0.74.2"). If your number differs — the location of buttons and the set of attributes of the email client may not exactly match this instruction.

3. How to fill

This document is rarely created manually — attachments appear automatically upon receiving an email. However, it is useful to understand the attributes because you see them in the file card and can change them.

Field
Purpose / what happens in case of error

Owner (mandatory)
A link to the incoming email to which the file is attached. Automatically filled. If "unlinked" — the file will become an "orphan," disappear from the email, but will not be deleted from the database. Do not touch manually.

Name (Description) (mandatory)
The name of the file as it arrived. You recognize the attachment in the list by it. You can rename it for yourself — it does not affect the content.

Extension (mandatory)
pdf, xml, xlsx, p7s, etc. Determines which program will open the file. If erased/misrepresented — Windows will not understand which program to use to open it.

Size
The size of the file in bytes. Filled by the system. Large attachments (scans, archives) inflate the database — see "Storage Type."

Author
The 1C user who received the email and whose file was added to the database. Needed for filtering "my attachments."

Creation Date / Modification Date
Service dates of the file. The modification date builds the version history if the file was edited within 1C.

File Storage Type (In database / In volume)
Where the file physically resides: inside the .dt database or in a volume on the disk. Changing the volume through "File Storage Settings." An error here = the file will not open if the volume is unavailable.

Signed with EDS
Indicator of the presence of an electronic signature. Automatically set after signing. A signed file cannot be edited — otherwise, the signature will be invalidated.

Encrypted
Indicator of encryption. An encrypted file cannot be opened without the recipient's certificate.

Occupied by user
Who "took for editing." While the file is occupied, others can only edit it after "Release."

4. Analyzed example

Situation. On 07.09.2026, an email from LLP "Astana-Snab" arrived with the subject "Reconciliation Act for August" with the attachment Reconciliation_Act_08-2026.pdf (size 214 KB). You need to: save, sign with your EDS, and send back.

Sequence of actions:

- Main → Mail → opened the email. In the "Attached Files" panel, you see the line Reconciliation_Act_08-2026.pdf. Behind it is the document IncomingEmailAttachedFiles with attributes: Owner = this email, Extension = pdf, Size = 214,016 bytes, Author = you.

- Right-click → "Sign with EDS" → selected your certificate. In the file card, the flag "Signed with EDS" = Yes, a signature file Reconciliation_Act_08-2026.pdf.p7s is created next to it.

- Right-click → "Save with EDS" — both PDF and .p7s are saved to disk.

- Button "Reply" → in the new email, added both files using the "Attach file" button → sent.

No accounting entries. The attachment document does not move anything in the accounts — it only stores the file and its signature.

If accounting is also needed for this act — you create a separate accounting document (for example, "Reconciliation of Settlements" or, if the attachment was an invoice for goods, "Receipt of Goods"), and attach the PDF scan to it through the "Attached Files" of that document. That is where real movements will occur — for example, upon receipt of goods for 1,160,000 ₸ with VAT 16%:

Debit
Credit
Amount, ₸
Content

1330
3310
1,000,000
Goods received

1420
3310
160,000
VAT 16% to be credited

But these are movements of the accounting document, not the attachment file.

5. Types of operations

The document does not have separate "types of operations" — it is not an operational but a file object. Functionally, with the attachment, you can:

- Open / View (including previewing text in the panel).

- Save as — export to disk.

- Sign with EDS and Check signature.

- Encrypt / Decrypt.

- Edit → Release (lock during editing).

- Delete (to the trash/deletion mark).

6. What is formed when posting

The document is not posted and does not create accounting movements. When it is recorded, only the service infrastructure for file storage changes:

- the binary file itself (in the database or in the volume on the disk);

- the record of the EDS signature (.p7s) and the "Signed" indicator;

- extracted text of the file — for full-text search of attachments;

- version history of the file if it was edited within 1C.

No accounting entries (1210, 3310, 3130, etc.), no ESF and SNT — these documents are formed by separate accounting objects, to which you can attach the saved file from the email.

7. Print forms

The object does not have its own print forms — the content of the attachment is printed using the means of the program that opens it (Acrobat, Excel, Word). Only the commands "Open", "Save", and "Print" are available from 1C, which sends the file to an external application. Separately, you can print the EDS verification protocol if the attachment is signed.

8. Common errors

- "File is occupied by user …" — someone (possibly you in another session) has taken the attachment for editing. Solution: right-click → "Release"; if the person is not present — remove the lock under administrator rights.

- "Failed to open file: the specified extension is not associated with any program" — there is no application for this type on this PC. First "Save as", then open with the appropriate program, or assign an association in Windows.

- "Integrity of the electronic signature is violated" when checking EDS — the file was modified after signing. The signature is invalid: request the correct file from the sender again.

- "File not found in the storage volume" — storage type "In volume," and the network directory of the volume is unavailable. Check access to the volume in "Administration → File Handling Settings."

- Sharp increase in database size — all attachments are stored "In database." Switch storage to volumes on disk to prevent files from inflating the .dt.

9. FAQ

Does this document have accounting entries?
No. It is a technical storage for attachments of the incoming email. Accounting entries, ESF, and SNT are made by accounting documents to which you can attach the saved file from the email.

How to extract an attachment from an email and save it to disk?
Open the email → "Attached Files" panel → right-click on the file → "Save as." If the file is signed — "Save with EDS," then .p7s will also be saved next to it.

Can I sign the attachment with my EDS directly in 1C?
Yes. Right-click → "Sign with EDS" → select the certificate. After that, the file cannot be edited; otherwise, the signature will become invalid.

Where are attachments physically saved — in the database or on disk?
It depends on the "File Storage Type" setting. By default — in the database; for large attachments, it is better to set volumes on disk in the administration section to avoid inflating the database.

If I delete the email, will the attachment also disappear?
Yes, when deleting the owner email, its attachments are marked for deletion along with it. First, save the necessary files to disk or attach them to the accounting document.

How to make a document in the database from a scan in the attachment?
The attachment file does not become a document by itself. Create the necessary accounting document ("Receipt of Goods," "Reconciliation Act," etc.) manually, and attach the scan to it through its own "Attached Files" panel.

Why won't the attachment open?
Either there is no program for such an extension on the computer (save and open manually), or the file is encrypted and requires your certificate, or the storage volume is unavailable.

How to find an email by the text of the attachment?
1C extracts text from attachments into the full-text search index, so searching by the content of PDF/DOCX works if indexing is enabled in administration.

Can I limit the maximum size of attachments?
Yes, limits and rules for file storage are set in "Administration → File Handling Settings" (maximum size, volumes, version storage duration).

What is the file .p7s that appeared next to the attachment?
This is the detached electronic signature of the file. It is stored and transmitted along with the original attachment; the recipient verifies the signature using it.

10. Related documents

- Introduced on the basis of: IncomingEmail — the attachment exists only in conjunction with a specific incoming email (attribute "Owner").

- Related objects of the email client: OutgoingEmail and its attachments (when you forward a file), email accounts.

- Where the file "flows" next: the saved attachment is attached to accounting documents — "Receipt of Goods and Services," "Invoice," "Reconciliation of Settlements," "Contract" — through their "Attached Files" panel. It is these documents that then generate accounting entries, ESF (ESF IS), and SNT.

How to know your release: "Help" → "About the program" — there you will find the version of the 1C:Enterprise platform and the configuration release.

This guide is prepared for "Accounting for Kazakhstan," version 3.0, release 3.0.74.2. In other releases, the location of the email client commands and file storage settings may differ.
