Checked on release 3.0.74.2 "Accounting for Kazakhstan" (version 3.0).

The counterparty sent a reconciliation act, but you have a different debt amount. Or the director asks: "How much money is in the accounts and how much do we owe suppliers right now?" You won't flip through hundreds of entries. You will open one report — the trial balance. In five seconds, it will show the beginning balance, transactions for the period, and the ending balance for each account. This is where any accounting check and any month-end closing begins.

1. Purpose

The trial balance is a summary table for all accounts in the chart of accounts: opening balance, debit and credit transactions, and closing balance. This is the main self-checking tool: it shows you the structure of the balance sheet, catches "stuck" balances and red (negative) amounts even before submitting reports.

2. Where to find

Section "Reports" → "Standard Reports" → "Trial Balance". In most interfaces, the link is directly placed in the "Standard Reports" group on the main page of the section.

A quick way is the navigation link. Menu "Service" (or link icon) → "Go to navigation link", insert:

e1cib/list/Report.TrialBalanceStandard

The report will open immediately, without searching through the menu.

2a. How to know your release

"Help" → "About the program" (or the "i" icon in the upper right corner). There are two key lines: platform version (for example, 8.3.24) and configuration version — which is the release (you should have 3.0.74.2 or higher). If the release is lower, some settings and accounts may look different; check this number before repeating the steps.

3. How to fill out (configure)

The report does not create entries — it reads already prepared entries. Your task is to correctly set the selection boundaries.

Field / setting
Why it's needed and what happens in case of error

Period (mandatory)
Boundaries "from ... to ...". If you take the wrong month, the balances and transactions will not match the reconciliation act. For the reconciliation act, take the same interval as the counterparty, day by day.

Organization (mandatory if there are multiple firms)
There may be several legal entities in the database. If the organization is incorrect, you will see someone else's figures. With one firm, the field is filled in automatically.

"Generate" button
The report does not automatically rebuild. If you change the period or setting, click "Generate" again; otherwise, you will see old data.

"Show settings" → "Indicators" tab
Check boxes for which data to display in the cell: BU (accounting), NU (tax, with permanent and temporary differences), currency amount, quantity. If you forget NU, you won't see tax data when calculating corporate income tax (CIT).

"Grouping" tab
By which dimensions to detail: by subaccounts, by sub-accounts (counterparties, contracts, inventory). Without sub-accounts, account 1210 will show one total figure, and you won't understand who exactly owes.

"Filter" tab
Limitation by organization, department, specific account, or counterparty. Useful when the database is large, but you need one section.

"Formatting" tab
Highlight negative balances in red, show title, signature, units. It does not affect "convergence" — only readability.

"By subaccounts" checkbox
Expands the first-order account (for example, 1200) to subaccounts (1210, 1250, etc.). Without it, you will only see aggregated groups.

Practice: generated trial balance → double-click on any amount to drill down into details (account card, trial balance by account, sub-account analysis). This way, you can go from the total amount to a specific document in two clicks.

4. An example with figures and entries

LLP "Astana-Trade" on the general regime, VAT payer. In September 2026, there were transactions:

1. Purchase of goods from the supplier for 1,160,000 ₸ with VAT 16%.
Price without VAT — 1,000,000 ₸, VAT — 160,000 ₸.

- Dr 1330 Cr 3310 — 1,000,000 ₸ (goods received)

- Dr 1420 Cr 3310 — 160,000 ₸ (VAT to be credited from incoming electronic invoice)

2. Sale of part of the goods to the customer for 928,000 ₸ with VAT 16%.
Price without VAT — 800,000 ₸, VAT — 128,000 ₸. Cost of goods sold — 600,000 ₸.

- Dr 1210 Cr 6010 — 800,000 ₸ (revenue from sales)

- Dr 1210 Cr 3130 — 128,000 ₸ (VAT accrued, outgoing electronic invoice)

- Dr 7010 Cr 1330 — 600,000 ₸ (cost of goods sold written off)

3. The customer paid 928,000 ₸ to the current account.

- Dr 1030 Cr 1210 — 928,000 ₸

How this will appear in the trial balance for September (fragment, accounting):

2,088,000

What you read from this table in seconds:

- Debit turnovers = credit turnovers (3,616,000 = 3,616,000) — double entry is intact, no input errors.

- Final closing balance Dr = Cr (2,088,000 = 2,088,000) — the balance matches.

- For account 1210, the balance is 0 — the customer has fully settled. If the counterparty showed a debt in the act, you would immediately see the discrepancy.

- VAT: payable 128,000 ₸, to be credited 160,000 ₸ — at the end of the quarter, the credit exceeds the accrued amount, refundable/transferable 32,000 ₸.

- There are goods left in stock worth 400,000 ₸ — reconcile with the actual balance.

5. Types of operations (working modes)

The trial balance is a report, so it does not have "types of operations" in the sense of documents. But there are output modes:

- Synthetic trial balance — only first-order accounts (without the "By subaccounts" checkbox).

- With breakdown by subaccounts — the account is broken down into 1210, 1250, etc.

- With breakdown by sub-accounts — within the account, you can see counterparties, contracts, inventory.

- With NU / PR / VR indicators — for calculating corporate income tax and reconciling tax accounting.

- Currency / quantity modes — for accounts in foreign currency and inventory accounting.

6. What is generated (what it shows)

The report does not create entries and does not send electronic documents — it reads the accounting register "Cost Accounting", where entries came from primary documents (receipts, sales, payments). Electronic invoices and VAT returns are generated by sales/purchase documents, not by the report; in the trial balance, you only see their accounting result — amounts in accounts 3130, 1420, 1210, 3310. That is why the trial balance is a mirror: if it is "crooked," it means the primary documents were entered incorrectly, and you correct the primary document, not the report.

7. Print forms

The report does not have a separate form — it prints the generated tabular document:

- "Print" — outputs the trial balance to the printer as is.

- "Save as..." — export to Excel (.xlsx), .mxl, .pdf for sending to the accountant or auditor.

- "Send by email" — attaching the trial balance file directly from 1C.

- The title, signature of the responsible person, and organization are configured in the "Formatting" tab.

8. Common mistakes

"Report not generated" / empty table. Reason — period before the first entries or an organization without operations selected. Check the dates and organization, click "Generate."

Debit turnovers ≠ Credit turnovers, red "Total" line. Usually after a manual operation where only one side of the entry was filled. Drill down into the account → find the document "Operation (accounting)" with an unfilled Cr → add the corresponding entry.

Red (negative) balance on an active account, for example, a credit balance on 1330. More goods were written off than were in stock. Check the sequence of documents and re-post: "Operations" → "Group reposting of documents". Often a message like "Write-off (expense) exceeds the balance."

The trial balance does not match the reconciliation act. Most often due to different periods or a document accounted for by the counterparty that you have not yet posted (or posted with a different date). Reconcile the interval day by day and expand 1210/3310 by sub-accounts "Counterparties."

Data is "old," although the primary document has been corrected. The report does not update itself — click "Generate" again.

No NU / PR / VR columns. Tax accounting indicators are not included. "Show settings" → "Indicators" tab → check the "NU" box.

9. FAQ

How to see who exactly owes among customers in the trial balance?
Expand account 1210 by sub-accounts "Counterparties" and "Contracts": settings → "Grouping" → add sub-accounts. Each debtor will appear as a separate line.

Why are debit turnovers not equal to credit turnovers?
Double entry is violated — usually due to a manual operation with one side unfilled. Find the document through the amount detail and add the corresponding account.

The trial balance does not match the balance sheet — where to look?
The balance sheet is built from the same data. Discrepancies are usually in unposted documents or manual adjustments to registers without entries. Perform group reposting and check for any records in the "Cost Accounting" register without a supporting document.

How to view the trial balance for one account in detail?
Double-click on the account line — "Trial balance by account" or account card with breakdown to the document will open.

Can I generate a trial balance for multiple organizations at once?
In the standard trial balance report, it is built for one organization. For a consolidated view, use the report with filtering by organization or generate for each firm separately.

How to export the trial balance to Excel for the auditor?
Generate the report → "Save as..." → .xlsx format. The structure of rows and columns will be preserved.

Why does the amount for account 3130 "VAT" not match the declaration in form 300.00?
The trial balance shows the accounting balance of the account, while the declaration shows data from VAT registers and electronic invoices. Discrepancies are usually due to documents without issued electronic invoices or different periods. Reconcile through VAT reports, not just by account 3130. The VAT rate in 2026 is 16%.

What does a red number in the trial balance mean?
A negative or "incorrect" sign balance: for example, a credit balance on an active inventory account. This signals an error — drill down to the document and correct it.

How to include tax accounting indicators (NU, PR, VR)?
"Show settings" → "Indicators" tab → check "NU." Then tax data and differences will appear next to the accounting amounts — they are needed for calculating corporate income tax (CIT).

The report shows old data after correcting the document — why?
The trial balance does not recalculate automatically. After correcting the primary document, click "Generate" again.

10. Related reports and documents

The trial balance is the entry point. From here, by double-clicking, you can drill down into:

- Trial balance by account — detailing one account by sub-accounts.

- Account card — all entries for the account in chronological order, with documents.

- Account analysis / Sub-account analysis — account turnovers in terms of correspondences.

- Account turnovers, General ledger, Chess report — summary checks during period closing.

The figures in the trial balance are generated by primary documents: "Receipt of goods and services", "Sale of goods and services" (with the issuance of electronic invoices and, if necessary, VAT returns), bank and cash documents, "Operation (accounting)" for manual entries, as well as regulatory documents for month-end closing. You always correct the primary documents — the trial balance only shows the result.
